E-PRP & E-INB - ASSESSMENT GUIDE – REVISION 01.

 TOPICS (E- PRP & E-INB).

1. To get start E-INB / E-PRP system

2. E-INB / E-PRP login procedure

3. To open e-PRP / e-INB security window

4. Check & Verify information of Requestor, Function Head & bearer in requestor form

5. Check & Verify OSRAM property / Asset taking OUT / IN.

6. To upload a photo image of Property / Asset under security window.

7. To Approve / Save / Reject in Progress & Tracking window.

8. Property / Asset returning by bearer under e-PRP


1. E-PRP & E-INB (Property Release Pass & Inter Building Material Transfer)
1.1. OPEN GOOGLE CHROME or GOOGLE EDGE

1.2. Copy paste the link below in URL (Uniform Resource Locater)

 Go to Intranet > Department > Security & Loss prevention > e-PRP & e-INB system > copy the link.
2. e- PRP (Property Release Pass) & e- INB (inter Building Material Transfer)

2.1. On laptop screen (2x) double click on e-PRP System icon

2.2. Key in E-PRP system password - Osr@m2021$

2.3. Connect the QR or barcode scanner

2.4. LOGIN DESKTOP – Online PRP & Inter-building System

2.5. Ensure keyboard not in “Caps Lock”

 Key in your Username,

 Key in your Password.

NOTE: Do not click on the Remember Username check box.

 Click on Sign In (it will take you into e-PRP system mode).

3. e- PRP (Property Release Pass) & e- INB (inter Building equipment Transfer)

3.1. Click on Security drop down box

 Click on Scan QR code


3.3. Understand Complete or
Incomplete QR code.

3.2. Ensure place your cursor in QR code input


and scan QR code

3.4. Scan QR code”.


E-INB or e-PRP number will appear in QR code input..
(Ex: PEN-PRP20219-20342 or PEN-INB202110-30622)

 Press Go button to open requestor form in window.


4. e- PRP (Property Release Pass) & e- INB (inter Building equipment Transfer)

4. Requestor Form will appear


4.1. Check requestor information.
4.2. Function Head information.
4.3. Bearer information
Ensure all columns are filled
5. Check and Verify,
5.1. Property / Asset information
• Photo image attached
• Quantity.
5.2. Image & quantity must match /
tally
NOTE: Any dispute Reject for rework.

5. e- PRP (Property Release Pass) & e- INB (inter Building equipment Transfer)

5.3. Under Security Comment:


 Check and verify the Item / Items.

Supervisor to write his comment.


(Ex- Item been verified, found matched with Image and quantity are tally.).

6. To upload a photo image of Property / Asset.

6.1. Take a snap shot of property / Asset to be release by hand phone to upload in to
system.
7. To Reject / Approve / Save in Progress and Tracking window.

7.1. Click “Save” In Progress & Tracking window.


 This process applicable when requestor return partial items materials from
vendor.
 Under security comments, write down the partial quantity returned and click
“Save” (do not select approve)
 When returning balance outstanding item, reopen the system for approval
and close in the system.

7.2. Click “Approve” to close the e-PRP system for item Release / Returned.

7.3. Click Reject for rework found lack information or dispute in quantity
8. Property / Asset returning by bearer under e-PRP
ITEM RETURNING BY BEARER
 Requestor to acknowledge the returning item / items,
 Security can’t access to e-PRP window if requestor didn’t acknowledge in the system..
 A message “1 error has occurred” will pop up.

 Check & verify returning property / Asset are matching with uploaded image.

 Double Click on the “No” – Yellow box, select “YES”

Security cant access to e-PRP window (A message “1 error has occurred” will pop up).

Probable root causes.

1. Returning property / asset not acknowledge by requestor.


2. Requestor fail to “send form to security”
3. Pending Function head approval,
4. E- INB exceeding / delay in transfer (more than a hour).
5. System go into sleep mode (laptop idle time).
6. Incomplete QR Code or Wrong QR code.
