The Chisholm Trail District Webelos Woods 2009 adventure is designed to give 1st
& 2nd year Webelos Scouts and their parents a preview of the Boy Scouting
experience. The program introduces Boy Scout values, procedures, methods and
skills to the district’s soon-to-be Boy Scouts. It will serve as an opportunity to
sample the differences between the “adult-led” program used in Cub Scouts and
the more “boy-led” program used in Boy Scouts. Additionally, this event gives the
Webelos a chance to experience first-hand the thrill of camping in the outdoors at
a Boy Scout style camp and will serve to foster a desire to continue in their
“scouting careers”.

This event will begin with check-in starting at 5:00 PM on Friday, October 23,
2009 and end following the Scout’s Own chapel service on Sunday, October 25,
2008. This year’s Webelos Woods will be held at Camp Alma McHenry just outside
of Giddings, TX (see maps further in the document), and promises tons of fun: the
joys of camping, cooking, campfire, camp-wide activities, hikes and exploration of
the great outdoors!

Fees:
• $16 per Webelos youth/adult, $16 per Boy Scout troop youth/adult if paid in full no later
than Oct 1- this includes a T-shirt and collectable patch!
• After Oct 1, NO T-shirt and collectable patch will be available! Same fees apply for
Late/Walk-in Registrations.
• The fee is the same for adults and youth -- applies to all that enter the property even if you
just stay for the day on Saturday.

Registration:
• Opens August, 2009
• Closes on October 22, 2009
All registrations and payments must be received in the Capital Area Council office by mail or drop
off – but October 22.
Registration Steps:
1. Unit Registration Coordinator completes on-line registration through
www.Chisholmtrail-bsacac.org.
Be sure that you print your online registration confirmation form.
2. Unit Coordinator collects Medical forms (parts A & C) FOR EACH Scout AND adult
partner attending. This applies to all that enter the property even if they just stay for
the day on Saturday. TWO COPIES of the Medical form are required – ONE copy in the
possession of the Unit Leader/Coordinator AND ONE copy to be turned in at Checkin to
Webelos Woods Camp Staff
3. Unit Registration Coordinator mails

• Refund requests will only be considered if submitted in writing and mailed to: Capitol

™ No-shows:
• Refunds and/or credits will not be given to units that arrive with fewer participants
than originally paid for. See above refund policy for details.

Meals:
• All units (Webelos and Boy Scout troops alike) are responsible for providing their own
meals, snacks, and drinks.
• It is strongly suggested that Scout Troop contact the packs that typically feed into their
troop and arrange a shared meal.
• Coffee will be provided for all adults in the Dining Hall throughout the day.

Water and Utilities:


Bring your own water- a water trailer (buffalo) will be provided but this is for emergency use only,
so bring your own. Plan for 1 Gallon per person per day. There is no electricity and generators are
not allowed. Cell phone service is available. Each WEBELOS should bring their own canteen or
water bottle that they can carry with them throughout the day. Please make sure that everyone
drinks water all day.

Sanitation:
Porta Potties will be provided throughout the camp. There are no washing or bathing facilities.
Scouts take only pictures and leave only footprints so be sure to take all trash with you when you
leave. Pick it up and pack it out.

First Aid:
There will be a first aid station at camp headquarters. Be sure to bring any personal medications.

Arrival:
• General info
o Park as instructed by parking attendants.
PLEASE CARPOOL where possible as parking space is limited.
o Check-in at the check in table as soon as you are done parking. This must be done
before being assigned a camping area.
o The unit leader must have the following available during check-in (all are required):
ƒ A complete roster listing all scouts and adults in attendance.
ƒ TWO Copies of Medical forms (Parts A and C) for all participants
One Copy for Camp Staff
One Copy in unit leader’s possession
ƒ One check for any outstanding balances due.

o Units should check-in as a group (at the same time). Individuals cannot setup camp
until the unit leader has completed check-in and received a campsite assignment.
• Group-specific info:
™ Webelos Dens:
ƒ Plan to arrive between 5pm & 8pm on Friday evening OR Saturday Morning
prior to 8:30 AM
ƒ The distance from the parking lot to the Webelos campsite area is approx.
1/8-1/4 mile. YES this is a LONG way to be carrying all your stuff so keep it
to a bare minimum or bring a wagon/cart/wheelbarrow to haul your gear
from the parking lot to the camping area. PLEASE MAKE SURE ALL YOUR
ATTENDEES UNDERSTAND THAT THIS IS A CAMP RULE AND AREN’T
SURPRISED WHEN THEY ARRIVE AND THEN TAKE OUT THEIR
FRUSTRATIONS ON OUR POOR SCOUTS TRYING TO DIRECT TRAFFIC
ƒ Webelos dens will be combined with other dens from various packs to make
efficient use of the camping space available. Please be courteous when
setting up your tents to allow for others that may arrive after you.
ƒ
™ Boy Scout Troops:
ƒ Plan to arrive between 5pm & 8pm on Friday night. It is highly advisable to
ensure all have eaten dinner prior to arriving at camp.
ƒ Troop trailers will be allowed to proceed to the designated campsite (as
identified per the parking attendant). Truck/trailer rigs will be allowed to
remain at the campsite as long as roads are not blocked. All other troop vehicles
will need to park per the parking attendant’s instructions.

Departure:
• Only the “unit” can check-out as a whole…no individual check-outs please. Patches will be
handed out after the campsite has been inspected.
• Normal check-out is Sunday morning following the Scout’s Own Service and before 12 noon.
• We prefer that units plan to stay until Sunday morning, but we understand some will need to
leave sooner. Therefore, units can check-out anytime Saturday evening before or after the
campfire (up to 10pm). Please ensure the host troop is aware of your needs in advance
should you require early check-out.
• No vehicles will be allowed in the campsite areas for loading. Please plan appropriately.
• Please make sure your campsite is left cleaner than how you found it- remove all trash even
if you don’t think it’s yours. This includes all peanut/ pistachios shells- everything that
didn’t come with the ground you’re walking on!

• Any prescription and non-prescription medications should be in the original container, be in


the possession of a unit adult, and be kept in a safe location.
• No adult can sleep in a tent with any youth other than his/her own son.
• All units MUST CHECK-IN with the registrar upon arrival.
• Obey posted speed limits, and slow to a crawl as you approach camp.
• If you need to leave the camp for any reason you must sign in and out of the roster book at
the office. (Required for emergency response reasons)
• This is a tent camping weekend. No RV’s, trailers, etc. will be permitted.
• Wearing of scouting-appropriate shirts and closed-toed shoes is required at all times.
• No running or throwing rocks in camp.
• No younger siblings will be allowed.
• No pets will be allowed.
• Please assume that we are under a Burn Ban at all times. NO GROUND FIRES WILL BE
PERMITTED!!
• All units MUST have their campsite inspected by the host troop prior to departure.
• All garbage should be hauled out of the campsite and disposed of properly.
• All accidents or injuries must be reported to the First Aid station immediately.
• Propane is the preferred cooking fuel and should be handled responsibly.
• Only battery-powered lights/lanterns are allowed in tents. No open flames or gas lanterns
will be tolerated inside tents at any time.
• Violators of any of the following will be asked to leave the camp immediately. (NO
REFUNDS)
o No firearms or fireworks of any type.
o No alcoholic beverages.
o Per BSA guidelines, tobacco use is highly discouraged and should only be used by
adults out of sight of any and all youth. The only designated smoking area is in the
parking lot.
• Confiscation will occur if the following are found. They will be returned upon departure:
o Electronic devices to include radios, mp3 players, electronic games, etc.
o No fixed blade knives or pocketknives with blades longer than 3 inches.
• Please be courteous. Don’t cut through other campsites - stay on marked trails/roadways.
• Always use the “Buddy System”! Webelos are not allowed to be unattended (anywhere,
anytime). Unit Leaders are responsible for the supervision of their boys at all times.
• “Do a Good Turn” by doing a service project for the camp. For example, pick up any garbage
that you may see.

• Take US 290 from Austin to Giddings. Continue through Giddings 1/2 mile
past Highway 77 to Farm to Market Road 141 (toward Dime Box).
• Turn left on FM 141 and go 8 miles to County Road 121.
• Turn left on CR 121 and go 1 mile to the gate entrance to the property (on
the left). There is a Capitol Area Council sign on the gate.

o Webelos dens will be grouped with other dens that will share the same
campsite to form "provisional troops".
o A senior Boy Scout will serve as Troop Guide for that provisional troop. He
will help guide the Webelos throughout the weekend by assisting with camp
set up, ensuring Webelos know where they are going, and helping all have a
good time.
o Various "round-robin" style activity stations will be hosted by Boy Scout
troops for the provisional troops to rotate through during the morning and
after lunch.
o The theme of this year's Webelos Woods is "Leave No Trace". Troops will
be judged on their use and implementation of Low Impact Leave No Trace
Principles.
o Troop camp sites will be inspected for cleanliness, layout etc. on Saturday to
determine which Troop will be named "Chisholm Trail Webelos Woods Honor
Troop" .
o Packs may want to visit troops for lunch and dinner on Saturday. Those
arrangements should be made directly between the pack and troop.
o Campfire will be held on Saturday night following the troop visits with the
opening ceremony conducted by the Order of the Arrow members.
Competition winners will be announced, and skits will be performed by scout
volunteers. Campfire is guaranteed to be an exciting climax to a fantastic
weekend that the scouts will not soon forget!

Miscellaneous --- NO bats, hardballs or other items that could cause harm.

Troops can check-in starting at 5:00 pm Friday evening. Please check in no later
than 9pm so the unit leader can attend the Leader’s meeting that night and the
unit can complete campsite set-up prior to lights-out.

Webelos check in Sat morning from 7:30-8:30 between 5pm & 8pm on Friday
evening OR Saturday Morning prior to 8:30 AM am.
