Available Job: Constituency Assistant for Trustee Tiffany Ford

Note: This is a one-year, part-time contract position with the possibility of


extension.
Description:
Reporting directly to Trustee Tiffany Ford, the Constituency Assistant provides
trustee's office. The employee assists the trustee in relaying all inquiries and issues,
maintaining strong communication with constituents.
1. Receives constituent inquiries made in person, by telephone or written
correspondence in a professional manner and in accordance with directions from
the Trustee:

Gathers information regarding constituents inquiries

Maintains a tracking system to identify pending issues and time lines

Exercises tact and initiative, with the trustees best interests and the
Community needs in mind
2. Acts as an assistant to the Trustee within the constituency in terms of
information and public relations in accordance with directions from the Trustee
and the particular requirements of the constituency:

Prepares routine correspondence as directed by the Trustee

Coordinates the provision of scrolls, acknowledgements and congratulatory


letters as required

Identifies invitations, meeting notices or urgent matters for immediate


attention

Assists with communications and correspondence, including formal letters,


email, speaking notes, press releases, blog posts, editorials, and social media
3. Provides administrative support for the constituency office

Assists in maintaining up to date mailing lists and telephone directories for


community groups, parents, constituents and frequent contacts

Maintains an accurate file system on issues, legislation, correspondence and


expenditures

Assists with the completion of purchase orders, invoices, contracts, etc. For
processing and payment.
4. Under the supervision of the Trustee aides in the planning and execution of
constituency events, including public forums, ward council, and special events:

Recruits and liaises with volunteers to convey job responsibilities and


Maintains relevant documents and correspondence to ensure planned
events run smoothly
Assists, as necessary, in the planning and ordering of supplies for relevant
events
Attend and support the execution of events
Occasional weekend and evening hours required in the completion of eventrelated duties

Skills and Qualifications:

Post-secondary education and/or background in Communications, Public


Relations, Law or Social Work preferred; some relevant work experience
preferred; equivalencies considered

Basic-to-intermediate knowledge of general office procedures

Basic-to-intermediate computer skills, including word processing and email;


some spreadsheet, database and Internet research experience

Strong interpersonal skills

Good oral communication

At minimum intermediate writing skills; experience writing press releases,


blog posts and correspondence, including email and formal letters, an asset

Ability to interact with a variety of individuals with tact and professionalism


Hours and Compensation:
This position is for a part-time contract lasting one-yearwith the possibility of
extensionworking approximately 15-20 hours per week (minimum three business
days). Scheduling is somewhat flexible, and our office will work with potential
candidates to determine which days will be worked each week.
Compensation of $17.50 per hour
You must be able to work in Canada
