Circulation Check Sheet


a. Setting up for Student/Parent/Volunteer Check In without them having
access to entire system
This action cannot be operated on the staffs end. Only designated
personnel has permission to access the entire system. For other persons
to have this access rights would have to be granted on an administrative
level.
b. Changing date & time (changing for special cases such as extended loan
for projects
To change the date and time of an item being checked in be sure you are
on the appropriate patrons account
Make sure that you are also under the Check out tab.
Click Change due date
Either manually type in date or go to the calendar and select the date
Then select the time
Only click Leave on when multiple items are being checked in to have
your new date apply to each item.
Scan item(s)
*Check due date to ensure it reads to the date you set.
c. Entering fines, reserves, & messages for patrons
Under the Charges tab to the left, type in the persons last name that
you are searching
At the bottom of the screen click Add Fee
Enter all relevant information: fee type, fee amount, and a comment. Then
click OK.
Reserves and messages for patrons are not done by librarians in the
Atlanta Public School System.
d. Printing bills, fines, receipts
There is a Print/E-mail charges button at the bottom of the screen. At
this time students cannot receive emails due, to the their e-mail
information not being put into the system. This is not a responsibility of the
media specialist. Therefore although the system will allow this action it
cannot be carried out.
Once a payment has been made, enter the appropriate information under
the Make Payment section. Cash is the only acceptable payment. Click
Pay once complete. You will then be prompted to print out a receipt. A
password is required to waive fees.
e. Using temporary barcodes for periodicals, etc.

Temporary barcodes for periodicals, etc. are not entered into this system.
A paper log with temporary barcodes are kept in a manila folder intended
for items and materials with temporary barcodes.
f. Looking up circulation logs (circulation history for a single item)
Enter or click on the item in question. This can be done several ways.
*You will know if you are on the item if the title pulls up rather than a
patrons name.
Under the Titles & Items tab on the left, you should see to the right of
the screen everything about the items circulation history may be found.
