DEPARTMENT OF SOCIAL RESPONSIBILITIES

BEFORE PROGRAMME
1) Contacted all participants via email, facebook and Whatsapp to attain their
personal information ( ie. Passport number and full name )
2) Contacted the personnel from Pusat Kesihatan UiTM (PK) to deal about the
emergency procedure because this programme involved international
students.
3) Contacted the personnel from Unit Kenderaan to attain the information
regarding the procedure on how to apply for the UiTM transportation
services during the program
4) Applying for the insurance policy once all of the information is completely
gathered and compiled.
5) Dealing with the personnel from eTIQA Insurance & Takaful to complete
the process of gaining the insurance policies for all of the delegates in
order to apply for the transportation services.
6) Applying for first aid kits and set an agreement with Pusat kesihatan
regarding to the medical services and emergency procedure plan.

Friday (23rd October 2015)- three days before the event

Helping the APSC central officers to set up a transportation schedule to


fetch the international students from KLIA 1 and KLIA 2.
Assigning an officer from Social Responsibilities Department to pick up a
few early arrival delegates from Institut Teknologi Sepuluh Nopember at
KLIA.
Helping the central officers to distribute the medical agreement form and
room registration.
Assigning an officer to stay at Intekma Resort to survey the welfare and
providing accommodations services to the delegates.

Saturday (24th October 2015)- two day before the event

Guiding the early arrival delegates by providing taxi contact numbers,


nearby restaurants and maps.
Assigning an officer from Social Responsibilities Department to pick up a
few early arrival delegates from Palawan State University at KLIA.
Helping the central officers to distribute the medical agreement form and
room registration.
Assigning an officer to stay at Intekma Resort to survey the welfare and
providing accommodations services to the delegates.

Sunday (25th October 2015)- one day before the event

Helping the Liaison Officer Department to pick up all the arriving delegates
at KLIA 2.
Assigning an officer from Social Responsibilities Department to pick up a
few early arrival delegates from Palawan State University at KLIA.
Helping the central officers to distribute the medical agreement form and
room registration.
Assigning an officer to stay at Intekma Resort to survey the welfare and
providing accommodations services to the delegates.
Guiding the delegates to the nearest restaurant during the dinner and
help to solve any problem regarding to the SIM card purchasing and telco
services.
Guiding fellow delegates by providing taxi contact numbers, nearby
restaurants, clinic, shops and maps.

Monday (26th October 2015)

Gathering all the participants at the lobby for the journey from Intekma to
Dewan Seri Budiman (DSB).
Helping Liaison Officer Department to notify all of the participants to be on
time.
Contacting the Transportation personnel and discussing about the details
of the bus schedule.
Accommodate all of the participants from Intekma to DSB and vice versa.
Assigning an officer to help the OGW crews to deal with Polis Bantuan and
reserving the parking for the speakers and VIPs.
Contacting and notifying the transportation personnel regarding to the
changes of the programme schedule.
Assigning an officer to stay at Intekma Resort to survey the welfare and
providing accommodations services to the delegates.

Tuesday (27th October 2015)

Gathering all the participants at the lobby for the journey from Intekma to
Dewan Seri Budiman (DSB).
Helping Liaison Officer Department to notify all of the participants to be on
time.
Contacting the Transportation personnel and discussing about the details
of the bus schedule.
Accommodate all of the participants from Intekma to DSB and vice versa.
Assigning an officer to help the OGW crews to deal with Polis Bantuan and
reserving the parking for the speakers and VIPs.
Contacting and notifying the transportation personnel regarding to the
changes of the programme schedule.

Wednesday (28th October 2015)

Gathering all the participants at the lobby for the journey from Intekma to
Dewan Seri Budiman (DSB).
Helping Liaison Officer Department to notify all of the participants to be on
time.
Contacting the Transportation personnel and discussing about the details
of the bus schedule.
Handling and collecting the OGW survey forms from the participants.
Accommodate all of the participants from Intekma to DSB and vice versa.
Assigning an officer to help the OGW crews to deal with Polis Bantuan and
reserving the parking for the speakers and VIPs.
Contacting and notifying the transportation personnel regarding to the
changes of the programme schedule.
Escorting all the delegates during the KL trip.
Helping the Head of Logistic Department to arrange the transportation
services before and during the KL trip.
Notify the delegates about the programme schedule.
Distribute the First Aid kits to the acting liaison officers.
Assigning an officer to stay at Intekma Resort to survey the welfare and
providing accommodations services to the delegates.

Thusrsday (29th October 2015)

Gathering all the participants at the lobby for the journey from Intekma to
Setia City Mall (SCM) for the bowling tournament.
Helping Liaison Officer Department to notify all of the participants to be on
time.
Contacting the Transportation personnel and discussing about the details
of the bus schedule.
Accommodate all of the participants from Intekma to SCM and vice versa.
Notify the delegates about the programme schedule.
Joining the bowling tournament with the participants.
Guiding the participants to the Setia Convention Centre Square for a photo
session.
Contacting and notifying the transportation personnel regarding to the
changes of the programme schedule.
Assigning an officer to stay at Intekma Resort to survey the welfare and
providing accommodations services to the delegates.
Gathering every participants at the lobby for the journey from Intekma to
Dewan Seri Budiman (DSB) for the gala dinner.
Accommodate all of the participants from Intekma to SCM and vice versa.

Friday (30th October 2015)

Gathering all the participants at the lobby for the journey back to their
country of origin from Intekma to KLIA 1,KLIA 2 & KL Sentral.
Helping the delegates regarding to their check out process.
Contacting the Transportation personnel and discussing about the details
of the bus schedule.

IMPROVEMENTS
-

Everything should be done earlier including gathering all of the


personal information and contact numbers of the delegates from
each universities to make sure that everything will run slick.
Strength of team should be more ( 10 peoples / department ). On
the other hand, Social Responsibility Department only stands by
only 3 crews.
All tasks must be divided equally and NOT to be controlled by only a
few individuals to prevent any misunderstanding and conflicts
between the officers resulting by any sign of exhaustion due to lack
of rest.
Walkie Talkie ( important throughout the event) keeping the program
run smoothly and any problem encountered be solved quickly.
Professionalism is the key to the outstanding and efficient work.
