National/Regional Round Guidelines

Dear Coordinators,
These are guidelines regarding organising National and Regional rounds of EBEC. You do not have to
keep to them strictly, but they were thought through and aimed to ensure your convenience and
sustainability of EBEC project. All the decisions are explained further.

Election of next NRR coordinator


before 1st of June

It is advised to have next coordinator chosen by the 1st of June, so he/she could plan his/her summer
better and have a chance to attend Final event as co-organiser/Taste EBEC participant.
Also according to EBEC Handbook all NRRs should take place two months before Final event, so
during these two months current coordinators are not involved in their rounds anymore and can give
proper KT to the next ones.
It is strongly recommended to have next coordinator chosen by the 1st of August, so he/she could
attend KOM (make a visa, buy cheap tickets), which takes place in late September or in the beginning
of October.

Election of next NRR host


before 1st of June

Timeline is the same as with electing next Coordinator. That way then can start cooperating from the
beginning on many issues, such as core-teams election, SIMs, etc.
It is the same way for EBEC Coordinator and next host of EBEC Final.

Election of next NRR core-team


1st of August - 1st of November

Coordinator can start gathering his/her core-team once he/she is chosen (remember about a KT from
previous Coordinator and cooperation with the host and local core-team, good to have both CTs
chosen at the same time). Suitable time to send a call for CT is right after KOM, when Coordinator has
full picture of the project and his/her round in particular.
It is strongly recommended to have core-team elected by the 1st of November, because some Local
rounds take place already in autumn, and since most NRRs take place in April, CTs will have around six
months to work together on the project and ensure better preparation and management of the round.

Local Rounds

Its very convenient to have Local Rounds happening approximately at the same time, because in that
case preparation will go simultaneously which will be easier as for Coordinator, as for CTs and their
LBGs.
Moreover, It is highly advised to have a 1 month interval between a NRR and a Local Round. Planning
the Local Rounds in such way ensures the stability and distribution of EBEC rounds at its most
appropriate balance.

Below, you can see how an ideal NRR rounds elections look like; in accordance with EBEC-related
events being held throughout the year. It is aimed to serve as an insight and overview of the whole
process.
