Purpose of post:
Under the supervision of the GS6 Operations Assistant, the Administrative Assistant post will perform a variety of
relatively complex clerical duties related to the administration of the office.
Major duties:
To provide administrative and logistic support to the Bilwi and Bluefields offices. As well, ensure
administrative support of the core office.
Provides advice and assists staff members and their dependents by processing requests for visas, identity cards,
drivers licenses and other necessary personnel-related documents, in accordance with the requirements of the
United Nations and the country of the duty station locations.
Manage travel authorizations and record changes keeping track of all required documentation and dealing with
the Travel Agency requesting the issuance of air tickets. As well, ensures compliance of all regulations and
rules related to the travel component. Prepares travel authorization for the drivers under his/her direct
supervision and the drivers assigned to the sub-offices.
To support the management of the office vehicles including the vehicles assigned to the two sub-offices.
Planned and coordination of the vehicles allocation for trips in Managua and the rest of the country excluding
sub-offices.
Drafts correspondence, memoranda and reports via oral instructions, previous correspondence or other available
information sources, in accordance with standard office procedures.
Arranges meetings, both internal and external, some involving high-ranking officials.
Advises and makes arrangements for shipment and receipt of office and project supplies and equipment, and
household effects, including customs clearance.
Drafts operations in SAP-VISION system such as FC/FR, Contracts, Purchases, etc., to be reviewed by
supervisor related to disbursement of IB funds.
The selection process include an interview based on competencies and a written test. Only
