Assistant to CEO & Regional Director Middle East & Africa (m/f)
To support CEO & Regional Director MEA in regional Head Office in Dubai Airport Freezone Area (DAFZA) we
are looking for an Assistant (m/f) to start as early as possible. You will be assigned with the following tasks:

Your Tasks

Organize the CEOs calendar, schedule meetings, conference calls, and appointments as well as
coordinate administrative side of conferences, seminars etc.

Prepare meeting presentations and arrangements (including agenda, taking minutes, distributing
relevant documents to the meeting attendees, etc.)

Travel arrangements for CEO and his guests (visas, hotel and tickets booking, expense claim, etc.)
and develop travel itineraries

Carrying out background research and presenting findings

Internal and external communication/ correspondence on international level

Liaising with clients, suppliers, and other staff members

Incoming invoice handling and monitoring

Manage business registration license renewal

Liaison with licensing authority(s) management, PRO's/local facilitators for documents legalization
or/ and notarization

Assist in the processing and completion of expense reports

Maintain a secure and up-to-date filing system, ensuring total confidentiality for sensitive information

Obtain and follow-up on CEO reports from the countries

Basic secretarial functions which include answer telephones and take messages, manage the in/out
faxing, emails and letters, maintains office records, etc.

Handle all administrative work related to the CEO Office

Execute special projects as assigned

Ordering of stationery

Coordinate messenger and courier service

Collaboration with regional and corporate communications

Our
Requirements You have gained 2-3 years of working experience and are an organizing talent, ideally in a similar role or

environment.
In addition, you should have the following skills:

Adequate communication skills and a confident demeanor towards international senior management

Excellent command of English language (verbal & written)

Strong analytical skills and problem-solving competence

Must be a pro-active person with a willing and a positive can-do attitude

Structured and detail-oriented approach to work

Ability to think and work independently, but also within a team

Must manage highly sensitive material in a strictly confidential manner

High degree of flexibility, commitment, and willingness to learn quickly

Ability to work well under pressure and realize that every task is important

Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint) and general computer
literacy

Positive attitude with a minimum need of supervision

Good interpersonal skills, accuracy, and initiative

Previous UAE or Gulf experience is beneficial

Accounts/Financial Background (accounting experience in previous position) preferred, but not a


must

Any international experience you can bring to the table, e.g. acquired while studying abroad,
completing foreign internships, or taking jobs in other countries, is certainly a big plus.
