ClearanceApplicationProcess

1. SettleAccountabilities.Ifastudenthasaccountabilities,he/sheshouldgototheconcernedoffices
tosettlethem.Studentswhohavewaivedaccountabilitiesarenoteligibletoapplyfor
Clearance.
2. ApplyForClearance.ThestudentcanapplyforclearanceusingtheUniversityClearancemodule
accessiblethroughhis/herCRSaccount.Uponapplication,thestudentneedstospecifyhis/her
purpose/sforapplication.
3. PrintClearanceApplicationForm.Uponsubmission,thestudentshouldprinthis/herClearance
ApplicationForm.
4. GradFeeAssessment.Ifthestudentisgraduating,he/sheshouldproceedtotheOURARSOffice
forGradFeeAssessment.
5. PayattheCashiersOffice.ThestudentthengoestotheCashiersOfficetopayfortheclearance
certificationfee(currently30.00).Ifapplicable,he/sheshouldalsopayforthegraduationfee.
6. SubmitPaidApplicationFormandOfficialReceipttotheOUR.Oncethestudenthaspaid,
he/shethenproceedstotheOURARSOfficetosubmitthepaidapplicationformandofficialreceipt.
7. MonitorClearanceStatus.Thestudentcanmonitorhis/herclearancestatusonhis/herCRS
account.
8. Claim(Optional).Thestudentmayclaimhis/hercertificateofclearanceassoonastheclearances
statusbecomesCleared.

ClearanceApplicationMechanics

ThefollowingstudentscannotapplyforClearance:

Studentswithunpaidmatriculationforclassesenlisted,eitherobtainedthroughtheBatch
RunorEprerog.Studentsmusteitherpayorcanceltheseenlistmentsbeforeapplying.

StudentswithunfinishedChangeofMatriculation(COM)applications.Studentsmust
eitherfinishorcanceltheirongoingCOMapplicationsbeforetheycanapplyforClearance.

Studentswithunpaiddroppingapplications.Unpaiddropsmusteitherbepaidorcancelled
beforetheycanproceedwithClearance.

StudentswithunpaidResidencyapplications.OngoingResidencyapplicationsmusteither
bepaidorcancelledbeforeapplyingforClearance.

Studentswhohaveaccountabilities.Theymustfirstsettletheiraccountabilitiesbefore
applyingforClearance.

StudentswhoarecurrentlyenrolledwithanongoingLOAapplication.Theymusthave
theirapplicationsapprovedbeforetheycanapply.

Studentswhoarecurrentlyenrolledwhiletheclassperiodhasnotyetofficiallyended.It
isadvisedforthemtowaitfortheendoftheclassperiodbeforeapplyingforClearance.

Forstudentswithnopreviouslyconferreddegree(s)whoarecurrentlyenrolledandareapplyingfor
clearanceforthepurposeofacquiringtheirOfficialTranscriptofRecords,theymayproceeddirectly
totheTranscriptSectiontobegintheirtranscriptapplications.

StudentswithatleastoneconferreddegreeneedstobeclearedbeforeapplyingforTranscript.

Astudentwhoincursanaccountabilityafteracertificateofclearancehasbeenissuedwillhaveto
settlesaidaccountabilityandreapply.

ApplicationsthathavenotbeensubmittedphysicallytotheOURARSwillexpire6monthsafterthe
dateofonlinesubmission.Shouldthestudentreapply,thestudentmaypresentthereceiptmade
withthepreviousapplication.

Theprocessingofclearanceapplicationsofficiallystartsoncethestudentsubmitshis/herpaid
applicationformattheOURARS.

Notes

IfthestudentdoesnthaveaCRSaccount,he/shemayproceedtotheOURARSforclearance
application.

Ifyoufindanyinconsistencieswiththeenrollmentdetailsprintedontheapplicationform,please
contactOURARSOfficeforappropriateaction.

Normally,clearanceisreleasedaweekafterBORapprovalofgraduationbutduringpeakperiods
(MarchJulyandDecemberJanuary),processingtakeslongerbecauseofthevolumeofrequests.
