SECRETARY JOB DESCRIPTION

Collects the daily sales from both branches and deposits it in the bank
Files daily sales report, deposit slips, check vouchers, receipts
Records daily sales in excel (get file from POS)
Records all receipts in excel
Manages petty cash (replenish, update, record, etc.)
Manages change fund
Updates Inventory in software
Reorders stocks whenever necessary
Counts stocks every end of the month -> Sends it to the accountant -> Updates
inventory (software)
Manages check vouchers (issues checks -> records -> files -> encode in excel)
Makes the payroll before every 5th and 20th of the month
Cleans the office weekly

NOTE TO CASHIERS

ALWAYS check the change fund if it has the correct amount and ALWAYS sign in
the notebook BEFORE logging in the POS machine
Indicate in daily sales report if AM or PM.
Always separate AM sales from PM sales.
Every cashier should print On Duty and Today drawer info and attach these
on the daily sales report (press drawer info -> press on duty -> press print ->
press today -> press print)
Order slips should be in order
Missing receipts should always be reported to the admin and noted in the daily
sales report
The password of the vault is strictly confidential. If the amount inside the vault
vanishes, the cashiers that day should shoulder the loss unless there is proof of
theft. So please take care of the password and the vault. Make sure its locked
when you leave it.
