WRENCH Working Steps / Rules of Credit

1st CYCLE
DISC ORIGINATE DRAW STAGE / STAGE

As soon as the originator starts work on a document, the native files are to be
uploaded into the relevant task in WRENCH. By this action (uploading of docs.),
5% progress is captured / reflected in WRENCH;

Originator can work on the W-drive and do multiple check-ins and check-outs
ensuring that the latest / updated documents are always uploaded in WRENCH
tasks daily;

Originator completes the check list; checking the status boxes for the required
check points and ensuring that these check points are complied;

Once the documents are ready for check, it is to be routed to DISC check stage.
The originator may also provide the hard copy for checking.

DISC CHECK STAGE


The checker, checks the documents, scans the check prints and adds the PDF file to the
task. Use Comment File (s) tab to add the IDC comments;

It is then routed back (rejected) to the Disc Originate/Draw Stage).

Once Originator has incorporated the IDC comments and Routed to the Checker,
The checker converts the native file to PDF, adds the same in Squad Check
Comment.

Checker then assigns the sequence for the disciplines required to do the squad check

And routes the document to the MULTI-DISC SQUAD CHECK Stage and with this
action, 30% progress is captured/reflected in WRENCH.

MULTI DISC SQUAD CHECK

All disciplines involved in squad check get automated e-mails at the start of squad
check process. Subsequent e-mails will be sent as the routing progresses.

The First discipline checks out the squad Check Comments; Prints the Squad
Check Comments & does the mark ups on the hard copy.

The marked up copy is then scanned and checked in the Squad Check
Comments in the WRENCH task.

While Checking In the user should, browse / Selects the required PDF file (Scanned /
Marked up) and close route.

The second discipline checks out the squad Check Comments made by the first discipline;
Prints the Squad Check Comments & does the mark ups on the hard copy and repeats the

rest of the steps in the 1 stage The other disciplines in sequence follow the same steps
and close route one by one;

The final discipline in the SC stage also follows the same steps and routes to DISC
REVIEW stage and with this action, 60% progress is captured / reflected in
WRENCH.

Following up on squad check is the responsibility of originating discipline. The


originator is to follow up closely the progress of the documents through squad
check team.

PL. NOTE THAT THE SQUAD CHECK COMMENT FILE MADE BY THE 1 DISCIPLINE IS
USED BY ALL SUCCEDDING DISCIPINES TO MARK UP THEIR COMMENTS. BY THIS
CONSOLIDATED COMMENT IS ENSURED / REFLECTED IN ONE SINGLE DOCUMENT.

DISC REVIEW

The checker reviews the SC comments and routes back (rejects) to the DISC
ORIGINATE / DRAW stage with instructions to incorporate the comments;

The originator incorporates the SC comments and routes to DISC check Stage. The
checker then bypasses the document directly to DISC APPROVE stage.

DISC APPROVE

Before sending to approval stage, the originating discipline shall provide a hard
copy to approver. Once approver reviews and accepts the documents , this can be
routed in wrench to approver stage.

After the approver reviews the document it could be rejected to DISC REVIEW in
case of comments or if approved can be routed forward to PE REVIEW stage.

PE APPROVE

Before sending to approval stage, the originating discipline shall provide a hard
copy to approver. Once approver reviews and accepts the documents, this can be
routed in wrench to approver stage.

After the PE review the document, it could be rejected to DISC APPROVE stage
and if OK, it will routed forward to DCC Issue stage.

DCC ISSUE

Prepare DCPI and ensure that the Document is routed to DCC workspace for issue.

Once the DCC receives the document through WRENCH and the signed hard copy,
the transmittal is prepared;

The PDF of the signed hard copy is added as Specter File(s) to the task;

The transmittal is issued for Review and the document routed to DCC CLIENT
COMMENT stage and with this action 70% progress is captured / reflected in
WRENCH.

When the client comments (with approved codes) are received, the same are
scanned and added to task as client comments;

DCC routes this to the DISC ORGINATE / DRAW stage.

Based on the approval code/document class, the originator updates the document
to be, re-issued for review or issued for approval or final issue

How to Add Drawings & Documents to Tasks in WRENCH
Step 1. Login to WRENCH, in the main window under My Wrench click on Workspace

Step 3. . Once clicked on Task it will show the list of Tasks available in your Workspace.
Select the Task in which you want to add the Drawing / Document. (You can group it for
ease of search E.g. By Project Number)

Step 4. Double click on the Task in which you want to add the Drawing / Document.

Step 5. And it will open up the Task Properties Window. In the below half window, there are
various tabs, Click on Related Item tab, and inside this window do a Right click, and select Add.

Step 6. In the Related Items to Task Window


a) Object Type : Select Document (irrespective of you adding a drawing / document)
b) Relation
: Select Link, if the drawing or document is the one to be issued to Client
OR Select Refer, if the drawing / document is to be added only for In-house
reference purposes, and not to be sent to Client.
c) Mode
: Select New, if the drawing / document is not existing in Wrench Or Select
Existing From Wrench.
d) Objects
: Select Single, if it is 1 number drawing /document OR Select Multiple, if many
drawings / documents are to be added.
e) Click Select.

Step 7. For Single Drawing / Document, it will open up the below Add Document
Window, Click on Browse & Select the document from the path where it is located and
click Open.

How To Add Vendor TQ (Technical Query) in Wrench
For Adding (uploading) Vendor TQ in wrench please follow the below Steps.
Step1. In Wrench main Window, Under Folders, Maximize Documents Tab.

Step3. After Clicking on TQ, Right Click on Wrench Desktop, Select New and Click on Single Document.

Step4. On Clicking Single Document the below Add Document window will be opened, Click on the Browse,
under project ID (as shown below), Enter project No. in Look For under Project Search Window and select
the respective project by Double Clicking on project No.

For generating TQ No, Click on Browse tab (In Document No), on clicking Browse Document
Number Generator window will open, Select Vendor Technical Query & Click Ok.

Step6. On Clicking OK the below Generate Number window will open, Select the Sender Code by Clicking
on Sender Code Tab and Select the Receiver Code by Clicking on Receiver Code Tab, then Click on MR
NO.

Step7. On Clicking on MR Number the below Manual Entry window will open, type the corresponding MR
No for this TQ (You need to type in the Document Genealogy (e.g. ECMR) and No (e.g.005) as shown below
and Click Ok
Note:
*For all Veco Generated MRs the corresponding MR No which will be mentioned in between the TQ no
shall be Vecos MR No.
*For all CPE Generated MRs the corresponding MR No which will be mentioned in between the TQ no
shall be Client MR No.

Step10. Then open the TQ native file and Paste the copied TQ No under Query No / & type in the Date then
save and close the file.

Step11. Then Enter TQ Description. After entering TQ Description, Click on Browse, Select TQ Native file
and Click Open. After selecting the file tick on Add as released document (TQ are added as a released
document as it not going through any Workflow) and click Ok.

You can also send Notification to your Team from Wrench that the following TQ has been added in Wrench.

Step12. For sending Notification from Wrench after Add as released document is ticked, click on
Notification.

Step13. On clicking Notification the below Notifications window will open, click on Browse to select User.

Step14. On clicking Browse, the below User List window will appear. You can select either by group or
provide a User Name / Login Name to initiate a Search and then List of users satisfying the specified search
criteria will be returned. Then Select the User from the Available Users list and click on the right arrow.
Same way you can also remove Users from the Selected User list by selecting the users and clicking on the Left
Arrow. Then click on Ok.

How To Reassign a Task / Deliverable from WBS / Workspace
Reassigning a Task / Deliverable from WBS / Users Workspace is much easier and
time saving as compared to the Reassign Utility. Please follow the below steps to
reassign from WBS / Workspace.
Step 1. Under WBS / Workspace, select the Task you want to Reassign and Double
click on it.

Step 2. On Double Clicking the below Task Properties window will popup. Click on
Reassign Resource.

Step 3. On clicking Reassign Resource, the below Reassign Resource window will
appear. Click on the current stage (From where you want to reassign resource)

Step 4. On clicking current stage, resources for current stage will be available. Click on
Browse to assign New Resource.

Step 5. On Clicking Browse the below User list window will appear with list of current
users of the stage. Remove the users by clicking on the (<<) Double left arrow.

Step 6. Provide a User Name or Login Name to initiate a Search, List of users satisfying
the specified search criteria will be returned. Select the User then click on Right arrow
and click OK.

Note: If the user is not available in the Available users list then untick on Filter
resources based on project. As when Filter is ticked then it will filter with the list of
resource available in the Project Resource. If the user is not a resource of that project
then the user name will not be available. On removing the tick the resource will be taken
from the Masters.

Step 7. On Clicking OK, the selected user will be in the New Resources list. Give
comments on Reaasign and click on Reassign.

popup. Click Ok.

2 STEPS IN ACCESSING SPECTER/NATIVE FILE FROM YOUR WORKSPACE AND IN WBS

I. ACCESSING FROM WBS.


Step 1.1. Open WBS, e.g. [WBS-401910], and select a task which you want to view the specter or the native
file, as shown below.

Step 1.2. Click VIEW option to view the native application of the file and click VIEW SPECTER to View the
latest available Specter Copy (PDF File). The document will be automatically displayed, upon clicking
these options.

II. ACCESSING FROM YOUR WORKSPACE.


Step 2.1. Open your workspace, and select a task which you want to view the specter or the native file, as
shown below.

Step 2.2. Click VIEW ATTACHED DOCUMENT option to view the latest native application of the file and
click VIEW SPECTER to View the latest available Specter Copy (PDF File). The document will be
automatically displayed, upon clicking these options.

Existing from Wrench, and then click on Select.

click Search, it will show the search result in the below half window Double click on

WRENCH TIP OF THE WEEK

BULK REPLACE OF FILES FROM WORKSPACE


Many cases users have to replace multiple documents from Workspace, particularly documents like P&IDs &
Isometrics which are created & issued in bulk.
WRENCH provides a convenient method of replacing documents in bulk, irrespective of how many files to be
replaced.

Step 1:
Select the tasks from Workspace whose file needs to be replaced. Right click select Replace.

Step 2:
On selecting Replace an intermediate interface opens as below.

Step 3:
WRENCH can automatically select the files that needs to be replaced against each task/deliverable, for which
user needs to select the Matching option available in the Multiple Replace Manager window.
From Matching Option user needs
to select Advanced Option.

Step 4:
From Properties option user needs to select one of the matching criteria between the existing file in WRENCH
& the file to be replaced. In most cases the file available in WRENCH & the new file being replaced will have
the same File Name.
If yes, please select the matching option as File Name from the drop down against Properties.

Step 5:
After Matching Option is selected, click ok. From the Multiple Replace Manager window, use Select Folder
option to select the folder in which the files which needs to be replaced are available (All the files that needs to
be replaced needs to be in one folder).

Clicking Select Folder will open a window to select the folder in your PC.

Step 6:
Select the folder containing the files to be replaced. Click Ok.
User can give his comments on replace in the option available & then click Apply to selected Files & then Click
OK to have the files replaced.
User can also replace the files one by one, by expanding the tree to find the Select File to replace file.

Addition of CRC (Client Review Comments) in Wrench
Earlier we used to term all Response to Client Comments as RTCC. Now it is CRC (Client Review Comments)
CRCs are basically CH2M HILLs reply to the comments given by the client on the documents submitted.
CRC for a client comment is provided along with the subsequent revision of the document.
CRC is originated & owned by the department engineers. CRC is added to CRC folder defined under each of
the department folder structure in WRENCH.
For adding CRC please follow the below steps.
E.g. If a Civil Engineer wants to add CRC.
Step1. In Wrench main Window, Under Folders, Maximize Documents Tab.

Step4. On Clicking Single Document the below Add Document window will popup, Click on Browse, under
Project No., Enter project No in Look For under Project Search Window and select the project by Double
Clicking on project.

Step5. Then CRC No has to be generated.


For generating CRC No, Click on Browse, on clicking Browse Document Number Generator window
will popup, Select Client Review Comment under Document Number Generator window & Click
Ok. Select Client Review Comments from the drop down menu (2). Add the Client document No. (3),
Click on the Auto Number (4) and the number will appear. Click OK to generate number.

Once clicking OK, CRC No. will appear here for copying to the CRC native file

Step 6. Then open CRC Native file which is on your desktop and paste the copied CRC No. under Tracking
ID and save it.

Step 7. Then Provide CRC Description under Document Description, Click on Browse and select the CRC
native file (CRC to be attached).
