About Morning Briefings
About Morning Briefings
When companies are on a roll and are bump-to-bump against each other in coming up with
new ideas to achieve more goals each day, having a morning briefing is a great start to
motivate the company employees in to sharing their thoughts on what would help the
company progress. A morning briefing is a kickstart to each employees day, knowing what
needs to be done and what needs to get accomplished in the days work.
Usually, those in the software and product development, newspaper publishing, or the
outsourcing companies and advertising businesses are the ones that practice daily morning
briefings. For software and product development companies, discussing what needs to be
worked on immediately is a major concern. Even medical institutions such as hospitals and
clinics practice having a morning briefing. In their morning briefings, the attendees are
mostly the physicians who conduct patient rounds who practice this, or the nurses or nurse
managers who are responsible for the patients and staff.
The company owners and their employees need to get updated on the recent statuses of each
departments progress: what the department has already done, what have been achieved by
certain people, if quotas have already been met, if there are new updates and problems that
need to be addressed, employees who need motivation or a raise, employees who are not
doing their work well, the companys financial status, and the list goes on and on.
A morning briefing is also held most of the time in advertising companies. Commercials are
constantly changing and the viewers want to see something new every day. Advertising
writers are given at least 24 hours to come up with fresh, out-of-the-box ideas they can share
in a panel board. The next day, in a morning briefing, what the writer came up with is
discussed, gets approval from the managers, and is quickly produced by the creative team and
getting ahead of the competition.
For outsourcing companies with employees on shifting schedules, updating the team leaders
on the number of projects that have been finished overnight is the main purpose of having a
company morning briefing. Those who have worked on the night shift update those on the
morning shift what had been finished, what orders need to still be worked on, or if there are
any follow-ups that need to be addressed.
For the hospitals and clinics on the other hand, the purpose of a morning briefing is to
provide a structured approach to assist the doctors and nurses in identifying the problems that
occurred the night before, and the potential problems that might be encountered during the
day.
To organize a meaningful morning briefing and have effective outcomes after, keep in mind
that people have to focus on what to be done today and tomorrow instead of dwelling on
yesterdays reports and other past events. The leader of the meeting should speak with a loud
voice or at least, can be distinctly heard throughout the entire room to get every attendees
attention. Also, know exactly what the main purpose of the meeting is, share what you are
expecting from others and what they can also expect from you.
In some morning briefings where each company department reports what happened
yesterday, only a little time is spent on discussing and working on todays plans. When each
staff member is required to read his or her status updates, some attendees will get bored and
not listen to the whole production report as these do not directly affect them or apply to them.
In other companies where other employees come in late for work, the project deadlines and
work schedules get delayed too when not everyone is present in the morning briefing. Also,
some people come unprepared in morning briefings and couldnt even focus yet on what
needs to be done for the day. Even if the morning briefings come with free breakfast and
coffee, employees dread to wake up very early just to come up with a report overnight and
keep themselves awake and participative in the meeting.
Find a way on how you can improve the communication between everyone else in the
morning briefing, focus on exchanging only the important details, describing the most recent
accomplishments, and problems that needed immediate solutions. Acknowledge employee
contributions and encourage them to have an open communication with the team. Motivate
them by sharing an inspiring thought for the day.
One simple to operate tool that a manager can use in preparing and conducting morning
meetings is Teamreporter. Teamreporter is a web based email app that automates and gives
structure to status reports that remote working teams need to emphasize to their project
manager. Teamreporter has easy to manage interfaces, and is accessible with a simple
registration process. In just a few short steps, one can be managing his Teamreporter app
already.
