Overview
This process documentation is to assist with supervisor and alternate supervisor time card
approval.
Step 1
Email Notification
a) You will receive an email indicating that your employee(s) have submitted their time card.
Alternate Supervisor: You will not receive an email from the employee, only the primary
supervisor will be notified. Therefore, the primary supervisor should advise you if you are to
approve hours in their absence, or the employee should contact you directly if they are aware
that you will have approve hours.
Step 2
Getting into WTE
a) In a browser, go to
https://merlin.noctrl.edu
c) Click on Employees
Alternate Supervisor: Using the pull down menu at the bottom-left (above the Submit button),
select the supervisors name for which you are approving time. When you have selected the
name of the supervisor, a list of employees for that supervisor will appear.

Getting into Web Time Entry
2. The Total Hours column to see if there are any hours shown. If there are hours in
this column but no check mark in the Review Entry column you will want to enter a
check mark to review.
b) Check the Review Entry box for the position(s) you are reviewing, for the time entered.

Review Time
a) The following Time Entry screen will be displayed. This is a review of total hours worked
each day for each column.

ALERT! To avoid data corruption and/or loss of data, do not use your browsers back
button. Always enter data and click Submit.
Step 5
Verify Signature
Always verify that the employee has signed their time card. If you approve this timecard
before the employee has signed it, the employee will not be able to access the timecard to
make changes or to add missing time.

Approve or Reject
Based on the employees time entries, Approve or Reject the time card utilizing the drop down
menu titled, Supervisors Decision.

Step 7
Rejecting a Time Card
If you Reject the time card, you must complete the Email Subject line and enter Supervisor
Comments, which should clarify the discrepancy, and direct the employee how to best make a
correction.
Step 8
Completion & Confirmation
a) Upon completing the process of Approving or Rejecting a time card, click Submit.
b) Logout of Merlin
c) Confirmation appears
Step 8
Completion
An email will be sent to the employee, advising of time card acceptance or rejection. If the time
was rejected, the Supervisor will receive an additional email (as in Step 1), indicating that the
employee has completed the time entry process. Repeat the approval process, this time
marking the time as approved, if applicable. After the time is approved, an indicator will appear
in payroll on a report and on their view of the time card.
