Ref. Company Standard

1 Standard for Worksheet name:


a) For those Worksheet intended to print out as calculation, use ALL CAPITAL LETTER for the Worksheetname
(e.g. "MAIN")
b) For those worksheet intended for user reading, use CAPITAL LETTER for first character and small letter for
the remaining characters. (e.g. "Notes")
c) For those worksheet intended for intermediate calculation, which is not for print out or user reading, use all small
letter for the sheet name. (e.g. "moment distribution")

2 Standard for page layout:


a) Margin for Portrate - Left =0.42913 in; Top = 0.5 in; Right = 0.5 in; Bottom = 0.8 in; Footer = 0.25 in; Header = 0.25 in.
Margin for Landscape - Left =0.42913 in; Top = 1.0 in; Right = 0.47 in; Bottom = 0.76 in; Footer = 0.25 in; Header = 0.25 in.
b) Footer content - Left = "File:" + Filename + " " + "Sheet:" + Sheetname; Right = Date + ", " + Time
c) Header content - Empty
d) If there are more than 1 page for a sheet, the page sequence must be from top to bottom; no page shall be made
on the right. User may insert page break by "Select row to break. Click Menu Insert | Click Page Break"
e) Those cell (white area) that will be printed out shall be selected and assigned as print area by "Selecting the entire
area. Click Menu File | Print Area | Click Set Print Area."
f) All sheet shall contain the company logo and address.
g) The "MAIN" worksheet should be optimized to print to full page, with restriction to the above margin setting.
h) The column "Ref." shall have width = 8.5 excel unit (14.5mm). This column width shall not be changed in any
worksheet for calculation print out. This column is outside the readability area (1 inch calculated from the left
paper width). However, this information still can be read by pulling the bound document with little strength.
Those information put in this column shall not form part of the calculation. It shall only be used for
internal reference only.
i) All page setup shall use A4 size paper.

3 General Column and row size:


a) General row height = 11.25 (This height is optimized for Arial font size = 8)
b) General column width = 8.5 (This width is optimized for date format and scientific number format)
c) Column width and row height may be adjusted to suit individual sheet.

4 General font type and size


a) Font type = Arial
b) Font size = 8pt

5 Standard font color

6 Standard cell fill/shade color


a) No fill, which is enclosed by Grey color - for area to be printed out.
b) Grey color and no fill area outside Grey color - for area used for spreadsheet remark, checking and
explanation which will not be printed out.

7 Standard for "reference":


a) Variable in a formula shall be "Name" reference instead of "Cell" reference.
b) Use common "Name" for a variable. (e.g. H indicate height, W indicate width, L indicate length, Fcu, Fy, etc.)
c) For user input variable, the variable name shall start with CAPITAL LETTER, eg. Fcu, BarSize
d) For derived/calculated variable, the variable name shall start with small letter.
(Any difficult, to bring up for discussion)
8 Standard function name:
a) User defined function name shall start with "usr". (This is to differentiate user defined and built-in function)

9 General presentation format:


a) Equal sign - Equal sign is not recommended to occupy one cell. It is recommended to put the equal sign after
the end of previous cell in the same row. To align the equal sign for better readability, user may right align the

b) For a very complex calculation where the result is obtain after a series of formula, it is recommended that
these complex calculation to be place at a "calculation sheet", which is not for print out. The result of the
calculation shall be simply linked from the "presentation sheet", which is for print out.
c) To space out a line of text from any border, user may use "Indentation" to indent the text from the left border
of a cell.

10 Standard worksheet (as reference. Irrelevant worksheet could be deleted):


a) Theory : To state the theory and assumption used.
b) About : To describe about this spreadsheet, Version, by, amended by, copy right, etc.
c) Notes : Special explanatory notes refer to worksheet "MAIN", etc if necessary
d) Variables : to defined all variables
e) General Parameter : to specify Liveload factor used, Dead load factor, Formwork Cost , Steel bar price which is
(Public constant) fixed at particular period not up to user to define.
f) Example : for sewerage calculation, we may need to show examples.
g) How to use : to describe how to use this spreadsheet.
h) Faq : frequently asked questions

11 Procedure to update this write up file:


a) Save the existing file with file format "_Standard Excel calculation sheet format=superseded=yymmdd.xls"
b) Do necessary amendment to any worksheet in this file, which serve as a standard.
c) Change the "Update" date for this worksheet with amendment date (The cell for "Update" is near to the company logo).
d) Save and overwrite the existing standard file. (IMPORTANT: Do not change the filename of this latest write up)

12 Good Practice of Writing Spreadsheet


a) use simple and easy to understand method to facilitate comment and further improvement (by others).
b) use VB standard function or company standard funciton ike calculation of Ast required

13 Assigning worksheet protection feature


a) Ensure all the cells in worksheet for calculation is protected by "Hidden" format, to hide all formula once the worksheet
is protected. (Procedure to protect cells by "Hidden" format is: Select cells | Click Menu Format | click Cells |
Click tab Protection | Check "Hidden" | Click OK)
b) Ensure all the cells in worksheet for calculation, except for cells require user input and white cells outside the grey
border, is protected by "Locked" format, to disable user editing, once the worksheet is protected.
(Procedure to protect cells by "Lock" format is: Select cells | Click Menu Format | click Cells | Click tab Protection |
Check "Locked" | Click OK)

14 Protecting the worksheet (by user with Administrator right)


a) Run program: \\Nt98\_softwre_000\Office_Software_000xxx\I_Password generator_xx9xxx\PasswordGenerator.exe
b) Type in a 6 characters (can lowercase/uppercase alphabet and any number) in field key. Type Click button ">>",
to obtain the password.
c) In this workbook, click Menu File | Click Properties | Click Tab Custom
d) At field "Name", type "Password key"
e) At combo box "Type", select "Text"
f) At field "Value", type the key obtained in (b)
g) Click Button Add
h) Click OK
i) Click Menu Tools | Protection | click "Protect sheet"
j) At field password, type the password obtained in (b)
k) Click OK to show up dialog box "Confirm password"
l) Type the password obtained in (b) again.
m) Click OK.
n) SaveAs this file into a new file with the filename ended with "=protected" follow by a date and the file extension.

15 Protecting the Macro if VB code exist (by user with Administrator right)
a) Click Menu Tools | Macro | Click "Visual Basic Editor"
b) At "Visual Basic Editor", click Menu "Tools" | Click ..Properties, to show up dialog box "..Project properties"

c) At field "Value", copy the content (it is the key)

f) At field "key", paste the key.
g) Click button ">>", to obtain the password.
i) Copy the content of the field "Password" (it is the password for worksheet)
j) In the worksheet, click Menu Tools | Protection | Click "Unprotect" to show up dialog box "Unprotect sheet".
k) Paste / type in the password obtained in (I)

17 Unprotecting the Macro if VB code exist (by user with Administrator right)
a) Click Menu Tools | Macro | Click "Visual Basic Editor"
b) At "Visual Basic Editor", click Menu "View" | Click "Project Explorer", to show up dialog box "Window Project Explorer"
c) At Project Explorer, expand the tree view. If the Macro is protected, then dialog box "..Password" will show up.
