HLPE3534 Sports Day Tues/Friday Group

Discussion Document.
Notes from meetings:

1st Meeting (9/8/17):- Enack, Matt & Eddie

2nd Meeting (10/8/17):- Nicola, Matt and Eddie + the following University Officers:-

Items needed:

- Marquees: with weights (no tent pegs allowed) for the following purposes:

o St Johns / First aid (sunscreen included in this or separate?)


o Water station / fruits etc
o Admin
o Bbq ? TBC (Not recommended by above officers)
o 4, 1 for each of 4 Schools

- 400 cones required approx. (100 per oval)


- Flags for the goal umpires
- Goal post covers for the ones currently on the oval
(There is a services plan to avoid putting holes in watering systems (see Stephen from above)

Further Discussion Points

Teams:

Each class will ideally be divided into 2 girls and 2 boys teams. Each team will require one adult for duty
of care and to coach during the game provided by the school

Ovals:

Four ovals will be created in the space, measuring 80m long and 50m wide each. We will need to put
signs up for each oval e.g. oval 1, 2, etc. Do we want boys to play on just 2 ovals and the girls on the
other 2 or just anybody plays anywhere? (Programming)

Will need to ensure the long jump pit is roped off as out of bounds. We will also be putting rope
bunting from the pavilion to the cricket nets which ropes off the long jump pit (red line on map)

Bunting:

Decision needs to be made about whether we just rope off the major hazard areas or provide bunting in
front of the trees as well to make it clear what is out of bounds

Toilets:

Potentially placing the toilets near the hard standing access road to the pavilion (off Sturt road) and
within visual range of location of school tents, (access from the gate) Nichola will need to liaise with
other groups to agree on a set location for all. Uni Officers strongly recommended we use Kennards
Hire as they have been inducted by the University into their WHS systems. (NICOLA)

Discussion will be had with the WHS reps at Flinders about the cricket square and whether we need to
rope off the area or not. If we can use it, we could potentially put some of our marquees in the middle
and others around the side.

Teachers/school guardians to ensure kids go to toilets in twos only, no alone.

Buses:

Buses are to be directed to attend the day by driving up Flinders Drive (past the hospital, turning left
onto Flinders Drive(?) and Dean from Services (Flinders) will set aside bus parking in the normal car
parking bays for the week. We will need to have traffic monitors to direct the buses to stop there (see
map) (NICOLA)
Rubbish: Flinders Services: (See Deane above)

Once we let them know Services will bring, replace and remove rubbish bins for the 5 days. (NICOLA)

Power:

Some visitors ie Nova Radio, St Johns might appreciate power.

Weather Contingencies:

The WHS Crew have downloaded Weather Policies for us to insert into our handout booklet.

Flinders Services / WHS:

Have requested the WHS form be completed for our event

Have requested a copy of our handout booklet before the events begin.

Parking:

While buses can let kids off and off again at the end of the event days, it is expected that they depart
again when not used.

General parking for parents and visitors will be using existing publics parks near Sturt Campus and or
nearer Flinders Private Hospital (overflow parking)

Signage

Need to draw up signage for crowd control

- Signs designating directions (seating + congregating areas, directions to and from


pickup/dropoff points etc.)
- Signs providing information (out of bounds areas, hazards, facilities, amenities, oval names etc)
- Sponsorship signs.
