GUIDELINES for PREPARATION & DISPLAY of POSTERS

for the 14th WCPH


FOR THOSE NEW TO POSTER PRESENTATIONS

(If you are familiar with poster presentations, please skip to the section on the next page on
“PREPARING YOUR POSTER PRESENTATION”)

In a poster presentation, the authors illustrate their findings through graphs, photos, diagrams and a small amount of
bullet-point text on the poster boards. The authors then hold discussions with the conference attendees who are
circulating among the poster boards.

The main thrust of the material displayed on the poster board should be to:

- clearly identify the topic, so that interested delegates don’t bypass a subject they are interested in.
- provide visual aids to your discussion.

Many presenters find it helpful to start with a brief introduction and allow the remainder of the time for questions.

Although your poster will be displayed for one-and-half days, you need to be physically present in front of your poster
only during the breaks. Experienced attendees often walk through the poster area when nobody is there to choose the
posters of their interest, and come back later during the breaks to meet those particular presenters.

The poster on the extreme left has good diagrams but too many pages of small text.
The two posters in the middle are too wide for their board, but have the right mix of text and diagrams.
PREPARING YOUR POSTER PRESENTATION

1) General Format:
14TH WCPH prefers posters to be large single sheet of paper that has to be rolled in a tube for carrying.

However, 14TH WCPH also accepts “posters” which are several separate sheets of printouts, such as the
printed slides of a PowerPoint presentation.

2) Size The area for sticking your poster will be no more than 5 feet (60 inches or 150 cms) in height, by 38
inches ( 96 cm in width). Do not exceed these size limits.

3) Title & Email address: The title of a poster should use the same words written in your original submission for
review. Above or at the top of the poster there should be a Header with the title and your email address. The
lettering for this section should be not less than 1 inch high

The Title should be very prominent, so that interested delegates don’t miss it. It should be legible from a
distance of up to 2 meters. Use uppercase with lowercase, not all-Caps.

Participants may email you during the Congress asking for an appointment to discuss your poster, so please
include your email address.

4) Legibility:
Content should be well labelled and headlines legible from a distance of up to 2 meters. Use upper and
lowercase letters.

Avoid rows and rows of closely spaced text. You should prefer to explain details verbally rather than expect
visitors to read pages after pages of small text on the poster boards.

Lines of text should contain about 6 to 8 words at most.

Colours should be used to establish differences, not for decoration

5) Organization
Organizing the poster presentation into sections such as Introduction, Methods, Results and Conclusions is
very helpful. Place these sections in the sequence that the viewer is expected to read them. Sheets should be
numbered.

6) The official language of 14TH WCPH is English. Please PROOF READ your poster carefully before printing it,
and get assistance from other colleagues with strong English skills.

7) Please print all sheets in advance and bring them to the conference with you. The poster area does not have
a printing facility.

POSTER BOARDS

8) Poster Boards
14TH WCPH will provide poster boards. These will be made of Octonorm panelling as illustrated in the
photograph above. Octonorm panels are hard plasticized board. Thumbtacks do not penetrate it, so soft
double-sided putty tape will be available for sticking your papers. Use this at the corners of each sheet.

9) Poster Board number


Each poster board is numbered. The poster board number in the first section of this mail indicates the board
where you should stick your poster. Posters on the same general topic will be placed next to each other.

If you want to distribute handouts, bring approximately 10 copies. Bring your visiting cards.

The conference will not offer presenters any additional media for the poster sessions. No audio-visual
equipment, Internet/computer connection will be available.
DISPLAY TIMINGS

10) Physical Presence


To meet attendees interested in your work, please be present in front of your poster during the following times:
• 13:00-13:30 hours during the last 30 minutes of the Lunch break
• 10:00 -13:00 and 15:00 -15:30 hours during the coffee breaks. Poster sessions are informal, so you can
bring your coffee with you!

POSTER HELP DESK

11) Conference Staff in the Poster area will help guide you to your poster board and assist you in putting it up.
They will have double-sided tape.
