Guidelines for Field Visit

1. In fulfilment of this course, each participant should visit an NGO or the CSR wing of a business
organisation (hereinafter referred to as the “field organisation” or FO) from 13-09-10 to 17-09-
10, at the conclusion of which he/she should submit a Field Visit Report.
2. It is the responsibility of the participant to choose the FO he/she proposes to visit and also to
obtain the necessary permission from them. While choosing the FO, the following points must be
kept in mind:
2.1. It should be one which is doing some real work for the benefit of people.
2.2. It should be of a reasonable size in terms of its operations so as to give you an
opportunity to learn more and to help more.
2.3. Preferably, it should not be one’s own or one’s family-run organisation. This is to
afford you an opportunity to see how others are working.
2.4. If more than one participant wishes to visit the same FO, then they should take the
prior permission of the course instructor. For such permission to be given, it would be
necessary to show that the FO is a big organisation and that the participants would be
involved in different sets of activities.
2.5. Please note that Rotary Club, Lions Club etc. will not per se qualify as FO.

4. Prior to leaving for the Field Visit, the participant has to submit the Field Visit Approval Form
in the prescribed format (see Annexure A below) in hard copy to our Secretary, Mr. Pramod
Limaye (Extn.549).
5. During the field visit, the participant is required to attend the chosen FO every day and be
there throughout its working hours. The participants may utilise this opportunity in three ways:

• First, every participant should try to get a first-hand awareness about the activities of
the FO.

• Second, the participant may actually participate in one or more activities of the FO (for
example, teaching children).

• Third, at the end of the visit, the participant may offer suggestions for improvement to
the FO.
In addition, even after their return from their field visit, some participants of the previous
batches have continued their association with the FO and have made some meaningful
contributions like preparing a marketing or a fundraising plan, upgrading their office manual or
accounting practices and designing a website.
6. Every participant should maintain a Daily Journal where he/she should record all their
activities, experiences and reflections.
7. At the end of the field visit, the participant has to obtain an Attendance Certificate from the
FO on their letter head.
8. Within FIVE days after the commencement of Term II, the participant has to submit—
(i) the Attendance Certificate,
(ii) the Journal and
(iii) the Field Visit Report (FVR) to the Course Instructor.
If more than one participant visits the same FO, each participant should submit his/her own
FVR.
9. The FVR should have three parts.

• Part One should contain a brief description of the FO - its genesis, the founders,
organisational structure, its activities, reach, funding and the various issues confronting
the FO. This should not be a mere reproduction from the FO’s brochure or website.
It should be written in one’s own words in a succinct manner.

• Part Two should contain the suggestions and recommendations of the participant to
improve the functioning of the FO.

• In Part Three, the participant should write about his/her learnings from the field visit.
10. The FVR should conform to the following style elements:
10.1. Submission format : Computer-written hard copy
10.2. File format : MS Word
10.3. Paper size : A4
10.4. Margins : 1" on all four sides
10.5. Font : 11 pt Arial OR Times New Roman
10.6. Line Spacing : 1.5
10.7. Paragraph Spacing : 6 pt Before and 6 pt After
11. The FVR should have a Cover Page containing the following items:
10.1. Name of the programme and Year,
10.2. Name of the course,
10.3. Name of the FO,
10.4. Name of Instructor(s),
10.5. Name and Roll No. of the participant, and
10.6. Date of Submission.

12. The FVR will be evaluated as PASS or FAIL.
