Meeting minutes for March 16, 2010

Homeowner Forum: The Reserve

I. Call to order – Meeting called to order at 6:05pm

II. Designation of Quorum


Attendees: Board Members –Bebee Arnold, Johnny Popson, Sue
Reynolds, Kevin Wagers, Fred Waddle, Maria Haagensen, Ken Rebecca
Kaiser and Matoka Snuggs from Charleston Management also present.

III. Approval of Prior Meeting Minutes


a. February 2010 minutes were approved with the following changes
i. Under Committee , architectural review should have Bebee Arnold
as chair

IV. Treasurer’s Report, Fred Waddle


Call Charleston Management for further information

V. Management Report –Matoka


a. Matoka will be taking the next steps to foreclose on a home that has not
caught up on their homeowner’s dues. Letters have been sent with no
response.

VI. Committee Reports

a. The Reserve: Members of the reserve board attended the meeting with the
following questions/issues:
i. Questions about finances/taxes/insurance: Matoka will speak with
Fred and get back to the Reserve board.
ii. Concerns about homes not keeping up on maintenance. Rebecca
and Ken will investigate the homes that are in question. We
discussed seeding our reminder letters and including info in the
newsletter
iii. Concerned about sidewalks. According to Charleston Management
homeowners are responsible for the sidewalk in front of their
homes.

b. Architectural Review, Bebee Arnold


i. No issues at this time.

c. Communications, Sue Reynolds

i. The minutes and newsletter are posted on the website.


ii. The next newsletter is planned for mid April; it will include pool
info, web site updates and annual meeting as well as info on home
maintenance, cars and playground. Also sidewalks, tress, shrubs.

d. Landscaping and Grounds, David Jares

e. Activities, Rebecca Kaiser


i. April 3rd Easter Egg Hunt 10am
ii. April 10th Spring Yard Sale (rain date following Sat)
iii. May 1st Earth Day Clean up (rain date May 8th) 10am

f. Pool
i. No outside companies can teach swim lessons at the pool.

VII. Unfinished Business


a. Web-Site issue
i. Herb from Harrington Grove responded to our request and is
interested. We hope to meet with him in the near future
ii. Jennifer Hicks brought an estimate from a colleague who did her
work website.
b. Pool Ideas
i. Matoka will find out if we need to have a neighborhood survey
regarding our ideas of expanding and improving our pool house.
ii. Ken volunteered to ask a family friend if his architecture company
would be willing to take a look at our property.
c. Private Street Paving
i. Johnny moved to contract Asphalt Medics to fill the cracks on all
private streets. Maria seconded the motion. We decided, after
consulting with the paving companies, to just fill cracks at this
time because we are close to having to repave all private streets.
The cost to fill is $4,875. To see other bids contact Charleston
Management.

VIII. New Business


a. Annual Meeting will be Monday, May 24th at Church of Christ
i. Maria, David and Ken’s terms expire.
