Hotel Indigo Catering Policies

Banquet and Event Details:


Food and beverage selections should be submitted 30 days prior to your function. To ensure our entire team is
prepared and all your needs are accommodated, we require that the final and definite details of your
function be confirmed 2 weeks prior of your arrival. To ensure availability of any changes after this point,
additional fees may apply. The final guarantee of persons attending the function should be communicated 3
business days prior to arrival and match meeting room guarantees. Your bill will be based on the guaranteed
number, plus any guests over and above in attendance. In the event, we do not receive a guarantee, we will
consider the number of guests indicated on the Banquet Event Order (BEO) as the guarantee.

Minimum Person Requirement:


All food and beverage buffets and breaks require a minimum number of attendees. Any food and beverage
function not attaining listed minimums will be subject to per person surcharge of $3 for Breakfast and Break
Buffets and $5 for Lunch Buffets or will be charged on the minimum person requirement, whichever is higher.

Food Service:
All food served on the hotel premises must be supplied by the hotel’s Catering Department. No outside food or
beverage is permitted within your meeting or event space without prior approval from the Sales/Catering de-
partment. If found, it will be charged to your bill at current catering menu pricing. Due to the hotel having no
control of how food is transported, stored or secondarily prepared after it leaves the premises, no leftover
food from catered functions may be taken from the hotel.

Beverage Service:
All alcoholic beverages served on the hotel premises under the hotel’s alcoholic beverage license for the
function may only be served by Tennessee ABC licensed bartenders and servers of the hotel. All beverage
services at the hotel require the services of 1 bartender per 50 guests, charged at $100 each. Alcoholic
beverage service may be denied to any guest who appears intoxicated or are under age.
A security guard is required for certain events. Only hotel approved security firms may be contracted at the
groups expense. The 15% Alcohol Tax will be added to all alcohol purchases.

Taxes and Service Charge:


A 24% Service Charge and applicable sales tax, currently 9.50%, will be assessed to all meeting and event
charges including but not limited to Food and Beverage, Meeting Room Rental, Bartender and Attendant Fees
and/or Audio Visual as specified on the contract and BEO. Fees and taxes are subject to change without notice.

Signage and Decorations:


No hand-written signs or banners are allowed in the public areas of the hotel. Notify the Catering Department
of what you want signage to say on a letter sized printed sign or utilize a professional sign maker.
Scotch tape, nails, push pins, command hooks or other damaging fasteners may not be used to hang any
materials on walls or ceilings in the hotel. Please do not bring a ladder or climb on furniture, chairs or other
equipment to hang décor. They may be hung with the coordination of the Catering Department, fees apply.

Delivery Instructions and Left Items:


All incoming packages should be addressed to your Event Manager and marked with the company’s name and
date of your function. There is a $5.00 charger per box/ 10 lbs. received at the hotel above and beyond 3 boxes
for a max of 20 boxes or 200 lbs. accepted. Because there is limited storage space, boxes cannot be accepted
more than 4 business days prior to arrival and pallet shipments will not be accepted by the hotel. Any items left
in the function space more than 4 days from the completion of your event, without permission from the Sales/
Catering Department, will become the property of the hotel.
