Step-by-step guide on HO-ship application

Congratulations Drs for passing medical school! It's time for your well deserved break. I have
compiled and wrote a step-by-step guide on the housemanship application process to make it
easier for you guys. I know there are a lot of documents to fill up and it can be very
confusing! This guide is based on my own experience.

Step 1: MMC application

- Need to wait for your transcript and Dean's letter ( takes about 2 weeks )
- Fill up the MMC form : Malaysian Medical Council Guideline & Application form
for provisional registration

- The form is 9 pages long ( read up the guideline & fill it up )

- Photograph can be white/blue background.
 - Date of qualification on the MMC form will be the date of your Dean’s letter.
- You need to arrange your documents based on the following order.

- Surat tamat belajar is your dean’s letter.

- Please bring your original certificates to MMC when you submit the form
Step 2: Collecting your Surat Layak Didaftar
 - After filling up your MMC forms and sending it to MMC, you now need to wait for a
letter from MMC. It takes about 2 weeks for them to issue it. You can collect the
letter yourself or you can get a representative to pick it up for you ( authorisation
letter is needed)

- Must bring copy of representative IC ( does not need to be certified )
- One rep only can take for one person

- Usually MMC will call up one person(representative) to inform when the Surat Layak
Didaftar is ready for collection.
- If you have any inquiries you can call up MMC : 03-2691 2171

important thing to take note here is circled in red - T015XXX.
- You will need to key in this number when you fill up your SPA

STEP 3: Filling up your SPA (CRUCIAL PART)

- Once you have your Surat Layak Didaftar you can start filling up your SPA. Its best
to do it on the same day as collection of Surat Layak Didaftar.
- This part is crucial! You want to fill it up correctly to avoid any delay in intake.

- Few things to take note regarding this link

1) we do not have interview anymore
2) section 10 “ Professional/Ikhtas” the guide states choose BERDAFTAR
DENGAN MAJLIS PERUBATAN MALAYSIA. This is incorrect. Please
choose BERDAFTAR SEMENTARA DENGAN MAJLIS PERUBATAN
MALAYSIA.

You need your SURAT LAYAK DIDAFTAR to fill this part up.
- Note that the tarikh keahlian is the date on your Surat Layak Didaftar
- Nombor keahlian is : T015XXX ( ignore the letters/numbers before the letter T)
After you have completed this part, make sure you double check your information before
submitting it.

- Please download the PDF copy of Resume Perakuan Pemohon. Look through it and make
sure all information is complete and nothing is missing. The resume will look something like
this. Please DOWNLOAD PDF for your own reference if needed in the future.

IMPORTANT NOTE
The common mistake in filling up the SPA8i is that the T015XXX number was not filled up.
This is the part where mistakes happen.
So please double/ triple/ quadruple check that this information is filled up. I’m not sure if
people forget to fill it up or sometimes when you click next, the information in this page will
be blank again . When you download the resume PDF, please make sure your nombor
keahlian is on it. In the future, IF SPA said you didn't lepas tapisan because your Nombor
keahlian was not filled in (which is what happens to most of our seniors that tidak lepasi
tapisan) at least you have the PDF as proof that you did fill it up.

- After filling up everything. Please call up SPA to double check that they have
received your application and that it is complete.

- When you call please make sure you take down the name of the officer you spoke to ,
the date and time you called.
- From time to time, just log into your SPA8i and look through all info (especially the
nombor keahlian ) that it is all filled up.
 - After that is done : you just gotta wait to be in the tapisan. Once you get the tapisan it
will look something like this,

- There will be 3 bilangan. 1st is for semenajung malaysia residents. 2nd is Sarawak
and 3rd is Sabah residents. Just make sure you lepasi one of it. This does not mean
you can’t do HO in other states. You can. But the system just divides it as such.
- After you lepas tapisan, you just gotta wait for an email from KKM for ehouseman.
- The waiting period is about 10-12 months so use your time wisely =)

Dr Illiana is the founder of Medicorp - they do a lot of preHO courses . I attended the recent
PreHo crash course which I found really useful to prepare for HO-ship (just a suggestion)

STEP 4: Submit document to KKM

We need to submit our documents to KKM as well (no rush, just for documentation
purposes). Some say we submit it only after completing our eHO some say we can submit it
now. I’m unsure of this. However, I did submit my documents to them via email.

- To submit this we need Sijil Pendaftaran Sementara Majlis Perubatan Malaysia,
which we will get once we have filled up e-HO
- I submitted my Surat Layak Didaftar as well.
I am not too sure about this step but that was what I did.

After filling up your SPA, probably 1-2 months later your can check if you are registered
with MMC using this link :

Your MMC number will be stated in this link.

Step 5: filling up e-HO

- After receiving the email from KKM , you will then fill up your eho where you will
chose the hospital that you want to go. In the email there will be a date and time
where you can do the application. The application is open for a week. After filling
that up, there is a lot of paperwork that needs to be done. 1 month later, you will go
for PTM (programme transformasi minda) which will be considered your 1st day of
work.
