ABSTRACT

The objective of the study entitled “Student Attendance System” is to aid the institution in its

process in monitoring the attendance of its faculty members with the aid of the Barcode

technology. The study aims to use Barcode scanner for daily time in and time out of Student. It the

proposed system offers easy to understand directions and user friendly interface.

The system also Provide SMS Notification that send to parents of the student once they swipe

there I.D. with barcode. The system can also perform in minimal amount of time. The proposed

system also provides easy and fast searching and viewing of needed information given the database

that relevant information is stored on.

CHAPTER I

THE PROBLEM

Introduction

Now a day many school are using a manual attendance monitoring system which it is keep in

a form and the student need to sign in at the form of paper to prove that they are present that day.

The manual system is not effective because the other student also can sign for their friends that are

absent. Cheating will happen and then it will affect the student reputations.

The Student Attendance System is barcode base which utilizes barcode scanner to record and

maintain the attendance of the student. The purpose for the system is same as punch card that being

used nowadays. This system has also provided a SMS that the parent will receive once the student

swipes their I.D. to the barcode scanner. This will help the school and parents monitor the children

and keep them from making absences.

The administrator and the instructor can print a hard copy of student attendance, so they just

click at the button ‘print report’ then the report which exactly in the database will be printed.

These systems use a Graphical User Interface (GUI) where the tools provides are very users-

friendly.

Theoretical framework

This study is important because many school’s encounter the same problem during their attendance

monitoring. It may become stepping stone in a more organize and productive system of procedures

in the future. This study helps the school to innovated involving the use of computerization inside

the campus. And there are some school is using the system but not all are the same functions

Conceptual framework

This study is focus on the attendance monitoring of the students in the school. In order for the

Instructor can handle faster and easy way of recording and monitoring the daily attendance of the

student. The system will provide an efficient Way of record keeping activity. The system also

provides SMS that the parent will receive once the student swipes their I.D. to the barcode scanner.

This study aims to provide better result of student attendance monitoring system that can cover up

with the school needs.

Statement of the Problem

And the main problem here is that the parents of the student has no idea wither their child is

entering the class or not. As we can see now, all the attendances are keep in form of paper that the

student must sign it manually. This is not a systematic method where the form can be lost and may

be damaged. The Instructor also must put the form in any files folders that it needs some spaces to

put in rack or cabinet.

System Objectives

The design and development of Student attendance system aim to provide an interface for the

school and parents to monitor their student’s attendance in school.

1. Send SMS to parent telling them if their son/daughter present or absent.

2. Provide an efficient Way of record and keeping activity.

3. Reduce time and the database report can be viewed and be printed immediately by the

Instructor.

Scope and Limitations of the System

The Student Attendance System will manage the process of attendance the will be save in a specific

database. Once the student swipe his/her I.D. with barcode in the scanner it will directly save in

the database, and generate a message that will sent to their parents, It contain the time when their

children arrive in their school. When the system detects empty attendance, the system will

automatically generate a message to the parents via SMS. The system will use barcode to monitor

the attendance of the students.

The functional limitation of the project is based on the functional role of the users to the system.

There are one users to the system, the administrator. In terms of the admin, it has the capability to

perform the recording as well as the updating the records in terms of the student’ attendance

The Student Attendance System only covers the attendance of the student. This is not capable of

monitoring the attendance regarding their class schedule and the attendance of the faculty of the

school. The parents can’t access the system and the grades of their children this system is only for

the attendance of the students.

Significance of the Study

The Student Attendance System will benefit the following.

1. The School

The school can provide a more organized, accurate and effective attendance report.

To avoid the habitual tardiness of the student

2. The Parents

The system generates a message that will send to them and it contain the time when their

children arrive in their school.

3. The researcher

Enhance their potential in preparation and validation of the work system.

Develop and increase their knowledge and skill as a future programmer and system

analysis.

Definition of Terms

In order to facilitate an understanding and clarify the terminologies used in this research, the

following have been defined:

Attendance system - a set of related procedure develop according to an integrated plan for

performing major activities in time and time out of the organization.

Barcode - is an optical, machine-readable, representation of data

Barcode scanner - a bar code scanner is an electronic device that can read and output printed

barcodes to a computer. It consists of a light source, a lens and a light sensor translating for

optical impulses into electrical signals.

Database - large group of integrated data that can be retrieve and manipulate to produce

information.

Manual System – a process of making forms using their hands. It utilizes more time and effort

in performing task.

Monitoring - The act of observing something and keeping a record of it.

SMS - (short message service) is a text messaging service component of most telephone,

internet, and mobile-device systems.

GUI-(Graphic User Interface) is an interface that uses icons or other visual indicators to interact

with electronic devices.


CHAPTER II

REVIEW OF THE RELATED LITERATURE, STUDY AND SYSTEM

Foreign Study

According to Mabaquiao, Tancangco & Valenzuela (2015), using Radio Frequency Identification

or barcode scanner in monitoring the attendance can help the security personnel, admin and the

institution to improve its security regarding the time-in and time-out of the students of the

college. With the help of the said device, time-in and time-out of students will be more efficient

and accurate. Their study was conducted to develop a system with RFID or barcode to create

definite report of the time-in and time-out. They concluded that automating and computerizing

the monitoring system will help the institution to provide faster, accurate, and reliable system.

Local Study

In a study of Jennifer C. Cuthcon (2001), on a Proposed Computerized Student Monitoring


System of the Information Technology of University of La Sallete Santiago City, she noted the
following:

1. Slow data processing

2. Inaccuracy of repots

3. Lose of unrecorded files

For those reasons, she recommends a computerized System:

1. To answer data security and fast, accessing of students information 2.

2. To lessen document in folder because it will already be placed and stored in diskettes

for more secured data storage.

3. To make the job of staff, cashier, faster and more accurate


CHAPTER III

METHODOLOGY

Fishbone Diagram

One of the most effective method to track the root cause or problem of the agency or at the area

were the study were taken which is the school, fishbone method is being used because researcher

can determine what problems are going to solve when the system is being implemented. The

diagram below shows what are the data gathered by the researchers. It shows the cause and effect

of the current system of the school.

Functional Decomposition Diagram

FDD is a diagram that shows the breakdown structure in smallest component of the system
that the researchers going to develop after studying analyzing the data that are gathered in
feasibility and planning phase. This will help track the functionalities of the system and let
you know the features that can are being added into the system.

This diagram shows all the processes of the system. It will help the researchers on creating DFD
because it is similar to context diagram that all processes are being displayed in one diagram. Step-
by-step procedure can be applied in the system as the diagram shows the flow of the processes, in
this way; user can easily understand the processes of the system.

The researcher Used Wireframe to show a certain view of what to be expect in the System.
It is useful for the researcher to guide them on how they develop the system. It is serves as the
blueprint of the system.

CHAPTER V

SUMMARY AND RECOMMENDATION

SUMMARY

Student attendance System with SMS is a kind of system that will inform the parents about

the attendance of the student. It also helps the school to manage the attendance of the students.

Student Attendance System uses barcode scanner for daily time in and time out of the student.

Provide SMS notification that send to the parents of the students.

In recording of attendance, if the system detects that the inputted student attendance is absent,

it will open another form that contains the SMS application and will ask the administrator or the

user of the system if he/she wants to send to parents a message telling that the student is absent.

These systems use a Graphical User Interface (GUI) where the tools provides are very users-

friendly. The buttons used an easy command for the user and the dialog box will appear if the

administrator key in the wrong password and edited the profile.

RECOMMENDATION
The researchers strongly recommended the implementation of the
Attendance Monitoring System with SMS. In Addition, the following are
recommended.

The proposed system is open for further development and enhancement in


terms of improving the following features:
