Chapter 1

Introduction

This part introduces the report for the developed system. It will equip the basic

overview of the whole system. This chapter presents about the problem and

background of the study, the statement of the problem, hypothesis, scope, limitations,

and the significance of the study. The objectives state the main goal of the system,

while the scope reveals who the user of the system and what the users can do.

The usage of QR codes and smartphone characteristics for barcode scanning

and decoding is growing as a tool in contemporary education due to the proliferation

of smartphones. The benefit of tracking daily attendance in class is that it can

influence school success. According to studies, pupils' academic performance

improves if they attend class on a regular basis. Checking attendance is a practice that

teachers follow every day in every class they attend. Normally, a teacher will call out

the names of the students and wait for them to raise their hands. Though this appears
to be effective, it may take a long time and be repetitive, which may lose the students'

interest or incentive to come to class. The traditional means of checking attendance in

the classroom takes time and consumes a lot of papers and money.

With the technology we have today, creating QR codes is quite simple, and they can

be read even if you use a barcode reader on your smartphone. Due to the

smartphone's ability to scan and decode a QR code, the rise of smartphones have

increased the use of QR codes. The perceived value or benefits that follow the

scanning of a QR code are a major motivator for continued use. According to this

view, the use of QR Codes will grow along with the popularity of related technology

like smartphones and tablets.

The proposed attendance system will be using websites that are completely

free. By scanning the QR codes of the students that they have generated free on the

internet. If the student has accumulated several absences, he/she will be sent to the

guidance office where a remediation plan will be formulated.

This study is a significant initiative in promoting an innovative attendance

monitoring system that is environment-friendly, cost-effective and easier access to

data. This system would also provide teachers with a proper motivational intervention

for students who are not always present at school. Moreover, this study would be

helpful to schools in building motivation that will improve students' attendance.

Background of the Study

Nowadays, technology has a huge impact and is an essential component in

practically all educational institutions. They started to initiate the organization with
technology. Usually, schools utilized paper and a pen to manually record student

attendance. It was one approach that

has been used in almost all institutions even the process seems slow and unproductive.

The proposed solution offers a QR code for the students to scan it via a

specific smartphone. To simplify the process of taking attendance by using a QR code

to track students’ attendance. Although the use of QR code in educational institutions

is not something new, it is intended to reveal the use of technology that can solve

daily problems.

This system will save not only time but also efforts that were supposed to be

put in by instructors during each lecture. It will speed up the process of taking

attendance and leave much time for the lecture to be given properly. Besides helping

the educators, the system may also notify the parents regarding the student's

attendance, and it is an alternative solution to prevent the students from playing truant

and trying to cheat on their attendance by asking friends to put initials on the

attendance sheet.

Theoretical Framework

According to Fadi Masalha and Nael Hirzallah, 2014, taking students’

attendance by university instructors during each class is a time consuming process

especially when classes are big. Some faculty policies require this task to be

performed by the instructor in each lecture. In other words, out of the total hours that

are assigned to a given course, which is typically forty-five hours per semester, up to

eight hours may be lost to perform this process that usually takes around ten minutes

per lecture.
Statistics in [1] shows that 42% of smartphone users have an average age of 26

years old. Thus, with the widespread of smartphones among university students, this

paper addresses the problem of such a waste in the lecture time and proposes a system

that offers to reduce it by almost 90%. The proposed solution offers a QR code for

the students to scan it via a specific smartphone application. The code along with

the student identity taken by the application will confirm the students’ attendance.

This way, the system will save not only time but also efforts that were

supposed to be put in by instructors during each lecture. It will speed up the process

of taking attendance and leave much time for the lecture to be given properly.

Figure 1 shows the conceptual framework of the system that involved admin,

lecturer, student and parent. Before class begins, the student needs to scan the QR

Code. They may also login to the system by entering the email and password that

have been provided by the admin in order to view their previous attendance list.

Then, the teachers need to login into the system by entering email and password. They

are able to view the user dashboard. The attendance results will be saved

automatically in the database. Additionally, the admin has the authority to manage

every user. They can login into the system to modify, delete, and update information

in the system.

Statement of the Problem

The purpose of this study is to determine Student Attendance using the QR

Code.

Most of the attendance system is manual, requiring each student to sign an

attendance sheet on paper, and the teacher needs to print a new attendance sheet every

week.

This specifically answers the following:

1. What is the profile of the students in terms of:

a. Age

b. Year Level

c. Academic Status

2. What is currently used to record attendance?

3. What are the risks of losing the attendance sheet?


4. What does it give an opportunity for students to cheat their attendance?
5. Are students able to use technology behind a QR code attendance system?

Hypothesis

Instead of utilizing the traditional approach, adopting QR code technology will

allow teachers to save time and effort because it is powerful enough, quick to compile

default lists for all students who did not attend and save all of the student attendance

records, and to evaluate the effectiveness of the system in order to notify parents

regarding the student attendance.

Scope and Limitations of the Study

Using student QR codes for attendance recording is an incredible, simple

solution to improve one of the most chaotic parts of the recording of attendance

during classes and examinations. This study will be conducted at Colegio de Porta

Vaga, a private school which is located in the City of Imus, Cavite. The school has

both senior high and college department.

The general scope for this project is to manage the process of taking attendance.

I. Admin

a. Has privileges to control and manage all lecturer, student and parent management.

II. Teacher

a. Teachers may login to the system with the username and password provided by

admin.

b. Teachers can edit, update and take attendance of the class.


c. Teachers can view the attendance list of the students and generate the report.

III. Student

a. Student needs to login the system which username and password provided by

admin.

b. Students can update the profile or register their parent information.

IV. Parent

a. Parents can login to the system which username and password provided by admin.

b. Parents may receive the attendance report via email and online system.

Significance of the Study

This problem was focused on minimizing paper work and saving time required

to get accurate attendance results for the students. Using QR technology, the proposed

attendance management system is implemented. The student's record is entered into

the system and tied to the QR. For simple identification, the code is uniquely

associated with each student's details. ID cards typically provide numerous benefits to

the user. In this study, we explore the advantages of using ID cards to record

class/exam attendance. One advantage is that the ID card will make it easier for

students to fill in class/exam attendance forms. When compared to the traditional

attendance system, which uses paper sheets, the time constraint of using an ID card to
fill in class/lab attendance is relatively small. Another improvement is the possibility

of processing the information directly on the card. The QR on the student’s ID card

must be accurate in terms of width and darkness in order to ensure the accuracy of the

data obtained. For this work, students have to sign in electronically with an ID card at

the beginning of each exam. Each student has their own ID card to fill in the

class/exam attendance signing system. By using this system, students can discipline

themselves to always carry their student ID card as it is compulsory for attendance

marking. The computer that implements this system is equipped with a QR reader.

Students fill in their class/exam attendance by scanning their card at the QR reader,

which automatically records the attendance information in the server. The reader, in

turn, communicates with the card, thereby acting as the intermediary before sending

the data to the server. The QR reader wiggles the QR on the ID card and records the

data on the server. That way, data can be processed instantly and completely

automatically.

Definition of Terms

Admin- (administration) has been used in the context of government, and

differs according to the jurisdiction under which it operates. In general terms,

administration can be described as a decision making body.

Attendance- number of people present in class.

ID card- a card bearing identifying data (such as age or organizational


membership) about the individual whose name appears thereon. called also
identification card, identity card.
QR code- (quick response code) a type of two dimensional (2D) bar code that

is used to provide easy access to online information through the digital camera on a

smartphone or tablet.

Scan-is the perfect tool to scan your QR codes anytime and anywhere.

Smartphone- a smart telephone that can be used to send and receive email,

connect to the internet, and take photographs and many more.

System- is a collection of elements or components that are organized for a

common purpose.

Chapter 2

Review Of Related Literature And Studies

This chapter will discuss the relevant literature and studies, from both local

and foreign sources, where the study is anchored upon to provide evidence and

significant review of the topic grounded with the current study. The coherence and

consistency of this review of related literature illustrated from empirical studies.

Local Literature

Singh, 2016 analyzed QR code from the perspective of their

significance and uses. It was recommended to increase awareness about the

usefulness of the QR codes, to make public aware and be familiar with the QR code.

According to (Asare and Asare, 2015) For a QR code campaign to be successful, the

study suggests a company needs to have clear objectives, know who they are
targeting, provide valuable contents, place code at appropriate locations for ease of

scanning, decide on the right time for the campaign and finally execute it in a creative

way that anyone could efficiently adapt the system. It's been proven that the use of

this two-dimensional QR code is one of the best to use compared to barcode and

RFID (Radio- Frequency Identification). It can also be used in different teaching

strategies depending on the like of the teachers like games, reading, science, in math

and many more. In the study carried out by Durak et al. (2016) though it is easier to

use QR Codes, it is not possible to use them without technological necessities, so, QR

Codes would increase in line with the increase in the related technologies like

smartphones and tablets. The propagation of the smartphones and tablet PCs could

soon be the first choice when surfing and scanning quick response codes with the

support of internet access.

The study of Rizal et al. (2016) concludes that Smart Attendance System

Applying QR Code enables to speed up the process of taking attendance and would

save us valuable teaching time. He further stressed that this initiative helps students

avoid consequences that may result from poor attendances that should be stipulated in

the policy and academic regulations of the school. There are many other ways you can

use QR codes in school are becoming a popular tool in modern education. (Lamey,

2018 and Santisteban, 2017).

Teachers of the 21st century are generally enthusiastic to embrace the used of

modern technologies, considering a sound fiscal allocation and management.

Teachers are more likely wanted simplicity and efficiency with combine speed, ease,

and novelty with the capacity to hold a large amount of data that can actually do a lot

to enrich such classroom management (Lamey, 2018). It is in this context, the


researcher wanted to conduct the study to enabling awareness of the features of the

attendance monitoring system using the QR code. It also intended to determine

the level of acceptability of QR code attendance monitoring system as perceived by

particular teachers-user and the students of General Emilio Aguinaldo National High

School as participants of the study. Thus, this study is geared towards evidence-based

practice using this type of computer system that will serve as a preference towards

continuous improvement and work on the recommendation on how this type of

system can be adapted in the school context.

Foreign Literature

According to Falguni patil, Utkarsha Bhandria, Madhuri Kasa (2017), in

lecture or exams, signing of student is an important problem that takes time and

distracts the student, there are many solution. One of these can be suggested or

preferred. For example, the introduction of smart ID cards is a method that both

increases cost and cannot be adapted to every system with simple software support.

You will need to add a QR code containing student numbers to student ID cards.

Student identification cards can be read with a small application the reads QR code

content. As a result, we can say that the application we are doing is easily adaptable

to all system at a low cost. They are missing the explain the camera to scan QR.

According to Md Rizal Md Hendry, Mohd Noah A. Rahman and Afzaal. H.

Seyal (2017), There are various ways smart phones at an unprecedented rate have

revolutionized there are various technologies available that enable. One of these

technologies is QR code. A (QR) code is a two dimensional code used to record

thousands of characters and numbers in a small image created by Denso-Wave

Corporation of Japan in 1994. The QR code is arranged in columns and rows of black
and white colors designed to be ready by smartphone users (Shin et al., 2012). Users

utilize the QR code can simply use the software decode built-in into the applications

to convert scanned code images into the coded information and save it into the

database. The core of using QR code in the attendance system is to provide a reliable

and functional attendance tracking and reporting system, which enables administrator

to identify and rectify those students who do not meet the minimum attendance. In

addition, the attendance system using QR code will ultimately reduce administrative

labor manually and minimized paper usage, the methodology that used by the authors

is in the following sequence. A related background study is compiled and discussion.

Next, a detailed system design and workflow is proposed. Subsequently a discussion

on the findings is portrayed and finally a conclusion is drawn. In this research

paper miss to show the high-levels of concentration with student when use QR

code to record students attendance during examinations.

According to Sunil Jadhav, Akash Gagare, Pooja Gunjal, and Prof. Vidya

Jagtap (2018), the common way of getting attendance is manually. Usually the

student has to sign the attendance list in the class/lab during the examination. In this

approach students cannot cheat by signing for other student who is not present for

examination, so the researcher suggesting semi-automatic system to eliminate all

these problem, the design method of portable student attendance system based on QR

code using scanner so we are trying to solve the attendance control problem using QR

code system in this paper. This software of QR code system attend student improves

the time it takes manual attendance and human errors we are implementing a system

that will hide everyone student information (ID card) within the QR code, so when

the student scans the QR code at that time, the date the QR code scanning time will be
stored in the database. This paper did not give the details analysis about the

implementing the positive side of QR code during the examination time for student.

Local Studies

According to Michael Angelo Maleriado and Prof. Joseph Carreon (2019)

about the features of QR Code as Attendance Monitoring System, the study was

conducted to determine the features and acceptability of Quick Response (QR) Code

innovative platform as an attendance monitoring system. Purposive sampling was

used in the study involving 20 teachers who adapted the QR code and 36 students

who were exposed to the attendance monitoring system during the first quarter of the

academic year 2018-2019. Descriptive data analysis was used in the study using the

adapted standardized survey questionnaire intended for evaluating database interface.

The digital application was available and free on Android smartphones that can be

exported to Microsoft Excel, while the system doesn't require an internet connection

and ideal for a big class. With the combined evaluations of the teachers-user and

students, data revealed that QR Code as attendance monitoring system was generally

very highly acceptable in terms of reliability, efficiency, accuracy, usability, while

highly acceptable in terms of security and confidentiality. The views of the

participants imply that QR code as attendance checker was environment-friendly,

cost-effective, user-friendly, innovative, very fast and readable codes. Hence, this

study is geared towards evidence-based practice using this type of innovation that will

serve as a preference towards continuous improvement and successful adaptation of

the QR code that is essential in modifying and simplifying the checking of attendance

of students in the classroom.


Based from the research of Rodel Bacuna and Bryan Dadiz about Attendance

System Using QR Codes in Romblon State University-Cajidiocan Campus, checking

students' attendance has transformed from being a manual to an automatic process due

to the support of technology. When it comes to putting in place attendance procedures

that help the school generate attendance reports automatically, the Attendance System

has played a key role. An eSAM system based on a server and mobile device is

proposed in this study, along with a QR code that is provided to students at the

beginning of lectures. The system generates QR codes that contain course, section,

subject, date, and IN/OUT information. For attendance confirmation, students will

scan a QR code on their mobile phones and upload the data to a server. Facial photos

must be taken and sent to a server by students so that they can be stored in the system.

On a daily or monthly basis, the system creates summaries of student attendance for

teachers and the school, helping to keep an electronic record of students' attendance

while reducing paper usage to a minimum. On a particular day, students are notified

by email that they successfully attended the lecture. It was found that instructors or

school administrators can generate summary reports of students' attendance status,

including the date, time in/out, and number of present, absent, and late students in

each subject or section handled by the instructors, as well as provide a copy of the

summary reports in excel or pdf format by using the eSAM system.

This study primarily aimed to assess the efficacy of Scan Attendance Manager

Application using Quick Response Code as perceived by the teachers in Dagohoy

National High School, Dagohoy, Bohol, Philippines, School Year 2019-2020. It

utilized Descriptive Comparative research design through survey method. It was

concluded that the Scan Attendance Manager is a reliable application wherein

teachers could conveniently use to monitor class attendance by simply scanning the
QR code embedded to each student's ID. As expected, this application provides

efficient data output from detecting absent students to generating reports; thus, it is

advisable to use. As all teacher-respondents strongly agree, there is nothing to worry

about generating the reports since the data produced by the SAM application is

definitely accurate. It was also concluded that the Scan Attendance Manager app is

not only useful for classroom attendance; it can also be used to different kind of

activities considering that there will be attendance to monitor. Moreover, the

attendance data report was securely stored in the SAM database, and the teachers need

nothing to worry about confidentiality since they are the only ones who have access.

There is a significant difference between the weighted average class attendance

percentage of the months before and after using the SAM app. It further signifies that

the attendance of the class after the teachers have utilized the SAM application had

evidently shown significant improvement; thus the Scan Attendance Manager

Application using Quick Response Code is useful not just by providing convenience

to teachers, but importantly it virtually eliminates absences. There is a significant

variance among the five classifications of the Efficacy of the Scan Attendance

Manager App as perceived by the teachers. Among the five classifications, teachers

have extensively perceived the efficient output that Scan Attendance Manager could

provide in terms of its general function in monitoring class attendance (Jeson J.

Galgo,2020).

Foreign Studies

These past few years, the use of technology in has grown rapidly faster than

we could ever imagine. Almost every year, new technological ideas emerged that are

smarter, innovative, and more affordable (Lamey, 2018). With all these technological
resources that we have or available, is there any way we can utilize them as part of the

educational strategies? In the educational world, our students have embraced this idea

since they were little. It can be said that students nowadays are digital natives where

they are already exposed to state-of-the-art technology such as computers, video

games, and internet, while teachers are considered digital immigrants since they

were not born into the digital aspect of the new technology (Santisteban, 2017).

QR codes are two-dimensional matrix barcodes used to provide easy access to

digital information through a smartphone. Last decade witnessed a steady growth in

commercial and business-oriented usage of these QR codes with the advent of smart

and web-capable mobile phones (Shettar and Indrayani, 2016). Indrayani, (2014)

explores the extent of the effectiveness and the efficiency of the use of biometric

systems on the preparation of national database based on the single-KTP number

(NIK) in Bandung using qualitative descriptive analysis technique. The effectiveness

of the use of biometric systems in the process of e-KTP in Bandung is effectively

categorized based on quality systems indicators such as Relevancy, Capacity,

Timeliness, Accessibility, Flexibility, Accuracy, Reliability, Security, Economy and

Simplicity. The Efficiency of the use of the biometric system is quite efficient because

the reviewing of the recording results can be done more quickly and automatically,

2014).

For a QR code campaign to be successful, the study suggests a company

time for the campaign and finally execute it in a creative way to stand out from the

business. However, the QR Code is still updating, therefore, further research

possibilities explore the security of using the QR Code for companies. With more and

more world-famous companies starting to use QR Codes, even as a key element of

their campaigns, the global knowledge of Codes will further grow steadily. Besides,

more and more mobile devices such as phones and tablets are capable of detecting

Codes with their cameras, which makes downloading and launching a special app not

necessary anymore and may lead to even greater acceptance and a broader target

group.

Methodology

Research Design

In the study, the descriptive research design was used. The descriptive

technique was utilized to provide a detailed structure of data and information gathered

through the use of a survey questionnaire. An unstructured interview was also done to

corroborate the study's conclusions, and it was evaluated, synthesized, and coded

appropriately. It described the platform's characteristics as well as the suitability of

QR codes as an attendance monitoring system.


Respondent of the Study

This study used simple random students in determining the samples of the

study. Senior high school students in Colegio de Porta Vaga were the respondents of

this study.

Research Instrument

A structured questionnaire was used to gather information from the

respondents. It consists of evaluation criteria that measure the level of acceptability of

the QR code website as an attendance monitoring system. To evaluate the QR code

website, there are five main components to measure the system of a computer

database interface, namely reliability, efficiency, accuracy, usability, security, and

confidentiality, and well as an unstructured interview with regards to the views and

opinions of the participants on the use of the QR code.
