CHAPTER I

PROBLEM AND BACKGROUND OF THE STUDY

INTRODUCTION

According to a book impact of technology, We as human being cannot deny

the fact that many technological developments and innovations played a major role

in our lives. The kind of life we are currently enjoying now, it’s because of technology

developments. It’s improved our lives and the present things better, faster, easier,

and more convenient.

It made revolutionary changes to our lives. As human population grew,

people are very much aware for all thing. Like for example, which kind of plants to

grow in various climates and conditions. This may possible because of technology

enhancements. We all have now access to information how we can improve

agriculture, boost food production, increase food supply, results in making overall

life better for everyone.

A lot of changes and industrialization brought up by technology development.

The social changes brought by technology was introduced in 14th to 16th century,

when mankind struggling to improve our circumstances, and introduced printed

press which was acknowledged as one of the important technological development

on that time.

It is very difficult to compare any technology in respect of more effect and

impact than the other, although we can certainly appreciate medical breakthroughs

that technology has brought up in our lives like vaccinations, transplants and new

antibiotics. Times have revolutionized and the world has become faster.

Invention of telephone is yet another important milestone in technology

development. Before invention of telephone it takes days or months to pass

information from one place to another. Postal service was only source of

communication, with technology advancement everything is just a click away. Now

we can contact easily anyone from anywhere, sharing thoughts and information at a

much faster speed than ever before.

Technology has changed our lives so much; it has great impact on our society.

It has so much integrated to our lives that we cannot separate our lives from

technology. We have entered into era of revolutionary technological developments.

We use technology in every walk of life. From tape recorder to apple iPods, from

landline to smart phones from World Wide Web to internet search engines

technology is everywhere.

In today’s world tech market is loaded with latest technology gadgets and

users are also increasing day by day. As technology advances people are becoming

more tech savvy. Usage of technology gadgets is increasing on high frequency.

People are enjoying each bit of technology knowledge and it offers. Everywhere in

the world latest gadgets are welcome and so are their reviews and latest technology

news.

Internet is leaving behind all the barriers of old traditional methods, it has

BACKGROUND OF THE STUDY

When we visit UCorp Company in Ortigas Pasig City. We check what system

they have and what system they need. The proponents found out that they struggle

in checking or monitoring of their products, also the production is so slow because

they don’t have a proper checking or monitoring of their products which is an

inventory system. So, that the proponents encourage them to try our proposal for

them to have a Inventory Managements system.

An inventory management system is the combination of technology

hardware and software and processes and procedures that oversee the monitoring

and maintenance of stocked products, whether those products are company assets,

raw materials and supplies, or finished products ready to be sent to vendors or end

consumers.

Without an inventory management system, the goods and products that flow

through an organization will inevitably be in disarray. An inventory management

system enables a company to maintain a centralized record of every asset and item

in the control of the organization, providing a single source of truth for the location

of every item, vendor and supplier information, specifications, and the total number

of a particular item currently in stock.

Because inventory often consists of movable assets, inventory management systems

are critical for keeping tabs on current stock levels and understanding what items

move quickly and which items are more slow-moving, which in turn enables

organizations to determine when it’s time to reorder with greater accuracy. Overall,

We believed that having an inventory management will help them not only in

checking their products or there production, but also to save some important data

like for example: their list of their supplier (where the products came from), their list

of employees (where those employees who hold this system will record there data)

STATEMENT OF THE PROBLEM

The proponents discover that the company is struggling when it comes to

their inventories, they can’t determine the total number of their stocks or products

that can cause malfunction on the company.

GENERAL PROBLEM

There is no proper system that can easily manage their supply or products.

SPECIFIC PROBLEM

• How can they determine if their products are delivered properly?

• How can they determine if the products are complete or incomplete?

• How to secure and manage the records of their data.

• How to monitor the products entry.

• How to monitor the expiration date of the products.

• How to develop a system which will decrease the consuming time.

STATEMENT OF THE OBJECTIVES

The study is aim to determine the total number of their stock or products

that can lessen their workload and to be more productive.

GENERAL OBJECTIVES

To create and develop a proper system that can easily manage their supply or

products.

SPECIFIC OBJECTIVES

• To create a system that can determine if their products are delivered

properly.

PURPOSE OF THE STUDY

The importance of this study is to help the company to determine the total

number of their stock or product. They can consume less of time because of the

system. And in the other hand employees lessen their workload and errors, they can

also be more productive.

- It can help them to determine all files that they need about their stock.

- They can manage properly the exact number of their product.

- It will by having an organized way of recording Inventory for the

company’s business operation. It will provide precise, complete and faster

record keeping. It will also reduce the expense for paper works. The company

will have lesser difficulty in monitoring its inventory system

because everything will be done systematically.

- This will help reduce filling and storage problem and it will also help the

manager save a lot of time and energy in making inventory report.

The system will provide ease and convenience to the company’s

employees because the latter will not have to work manually. The

proposed system will provide an easier way of using the inventory system

since it will be computerized. This will minimize human error in

computing of sales since it will be computerized. This will human error in

tallying of inventory.

• Proponents

It helps the proponents, for the thesis that their conduction and it an also

give the proponents knowledge about interviewing and interacting with

clients.

• Future Researcher

The study will provide contribution for educational purposes. This study

would help future development of business transaction and attract

students towards the topic. The study enhances the knowledge of users

in the advancement of technology.

SCOPE AND DELIMITATIONS OF THE STUDY

The Study will be focused in the Inventory and Management System of

UCORP Company. The proposed system will eliminate paper works and time

consuming tasks. It will also provide fast and accurate reports in a timely manner.

This will enable the company to transact faster through the use of modules, menu

and submenus. The proposed system will be developed on VisualStudio.Net. The

system developer will use Microsoft SQL as the database handler.

The proposed system will generate Inventory reports respective to three

period of time such as daily, weekly and monthly to identify and keep the tracks all

data processing assets in the storage.

• Determining the users of the inventory.

• To be able to know the remaining stocks to be able to know the products

are fast moving.

• To be able to know what are the items are going to pull out for slow

moving.

• The system has a capability to inventory all the product in the storage

room.

• The system includes file maintenance that would automatically add,

delete, save and update. It can also retrieve information of all files.

CHAPTER II

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents a brief discussion of the literature reviewed by the

researchers which further enriched the conceptualization of the study and helped in

describing the cognitive design that guided the conduct of the researcher.

Foreign Literature

According to the U.S. Small Business Administration, Inventory refers to

stocks of anything necessary to do business (U.S. Small Business Administration,

2010) The U.S. Small Business Administration publication describes what constitutes

successful inventory management balancing cost versus benefits of inventory,

including Maintaining a wide assortment without spreading the rapidly moving items

too thin, Increasing inventory turnover without sacrificing service, Keeping stock low

without sacrificing performance, Obtaining lower prices by making volume

purchases, Maintaining an adequate inventory without an excess of absolute items.

Wal-Mart runs its stores on a perpetual inventory system. This system

records the quantity of items sold as items are purchased. The computer system at

Wal-Mart constantly keeps up with additions or deductions from inventory and tells

management what items are on hand. The organization also conducts counts of

employee manual counts of inventory periodically. When an item arrives at the Wal-

Mart distribution center it is scanned into the inventory system. When the items are

purchased by the consumer, the point-of-sale system reduces the inventory from

that purchase. According to Wal-Mart’s Gail Lavielle, a leaner inventory will help

clear out store clutter and help Wal-Mart focus on specific brands and products that

consumers want (The Associated Press, 2006).

According to Mr.Eugene F. Brigman, Fundamentals of Financial Management,

5th ed., Companies are increasingly employing Inventory System. A computer start

with an inventory counts in memory. Withdrawals are recorded by the computer as

they are made, and the inventory balance is constantly revised. When the recorded

point is reached, the computer automatically places an order, when this new order is

received, the recorded balance is increased. Retail stores have carried this system

quite far, each item has a magnetic codes, and as on item is checked out, it passes

over an electronic reader, which then adjusts the computers inventory balance, at

the same time the price is fed to cash register tape. When the balance drops to the

recorder point, an order is place. The researcher aim to develop a automated

inventory system which is technically, operationally, and economically. The method

used by the researcher to develop a automated inventory system is Descriptive

Method. The researcher conduct several interviews in order to gather information

about the present existing conditions of the inventory system, knowing its problems

and enhancing it by developing an automated inventory system. Questionnaires

were also distributed to all interviewees for additional information. Using the

descriptive method, the researchers also observe the functionality of the present

inventory system, which help them discover that Electronic Data Processing is

Advantageous than other.

Malcolm E. White Published at 2003; Merchandising means selling products

to retail customers. Merchandisers, also called retailers, buy products from

wholesalers and manufacturers, add a mark-up or gross profit amount, and sell the

products to consumers at a higher price than what they paid. When you go to the

mall, all the stores there are retailers, and you are a retail customer. Retailers deal

with an inventory, all the goods (products) they have for sale. They account for

inventory purchases and sales in one of two ways. Periodic and Perpetual. As the

names suggest these methods refer to how often the inventory account balances are

updated.

DESIGN AND METHODOLOGY

Among the six types of system Development life Cycle, Waterfall will be used

in this study. The waterfall model is linear sequential flow in which progress is seen

as flowing steadily downwards (like a waterfall) through the phases of software

implementation.

Research Design

The proponents adopt a descriptive method that will used as the design in

this study. On this chapter proponents apply a method that can cast light an

effective inventory Management System.

Details of the Technologies to be used

The study will employ through and scientific processes in possibly addressing

the identified mentioned in the previous chapter.

The following are the processes and technologies that the proponents will be use.

SOFTWARE REQUIREMENTS

• The proponents need to have a software to support and design the

profiling system. MySQL is the server to support the database, Visual

Studio.Net is the building for system.

HARDWARE REQUIREMENTS

• Primarily, one cannot start a system without a computer or laptop.

How the project will work

The proponents will utilize existing technology with some upgrades and

introduce a user friendly system through orientation and hands on training to the

ministry leaders. Too, there will be a dry run to test the project before its full

implementation. Consistent assistance and feed backing with the Parish leaders will

also be implemented.
