CHAPTER I

INTRODUCTION

System analysis and design mainly deals with the software development cycle of

the system, it focuses on understanding and seeing every sides of problem to come up

with numerous ideas on how to solve each problem and improve the system in an

organize and acceptable manner.

Analysis evolves on reviewing each aspects of the existing system, to

understand what is needed to built. This includes gathering information on how the

existing system works and what does it consist, through this information the system

analyst can established goals, options, solution and improvement for the system and

choose what is the best software tools to be used.

System Design is composed of the needed requirements to meet the specified

goals on how to improve the existing system. This focuses on how to make the system

more practical, efficient, less costly, flexibility and more secure. When it comes to

system designing the analyst must focus on two aspects of the design. First is the

logical design wherein the analyst must determined the input, output, structure of the

system, its files, procedure and database. The second is the physical design this

contains the actual software and the working system the software used and interface of

the system.
The use of the internet in the business world has become a major trend in practice.

Internet now has become a powerful channel for business marketing and

communication and for new business opportunities as it is commonly referred to as “E-

business” or E-commerce”. E-commerce allows companies to have a better web

presentation of their products or services. It also provides communication between

consumers and companies. Now that business is in a vast competition, there should be

competitive strategy promotion or advertisement to promote the business to overcome

the other competitors’ innovation.

Nowadays online reservations for a hotel room are now becoming popular

especially to those people who like to travel. Mostly because of how the customer can

easily browse from site to site and chose an event or book a room he/she desires with

the time and date the user preferred in just a click of button. This saves them time,

energy and less hassle. With online reservation transactions are faster, the client just

simply type-in the information needed and send it to the company. Through this the

client and the company can easily coordinate with each other in a more flexible manner

to get the information needed for choosing an event or booking a room, thus making the

information more accurate. And since it is an online based system this will help in

adding popularity to the company because of its easy access and 24 hours availability

in and out of the country.

Online based system also gives benefits on diminishing double booking accidents since

the customer have a full access on viewing each rooms and availability. In addition
viewing of rates and the total amount of reservation will also be available for them to

view. Having an online based system will help the company be more organized and with

this they can easily handle any changes they might need.

FEMAR Garden Hotel and Resort (Taktak Rd, Antipolo, 1870 Rizal) still uses a

manual system order for their guest to reserve rooms and plan an event. They have to

gather information written down manually on their guest registration form sheet or the

guest will call or visit the hotel personally.

The concept of this study is to enhance the development of the existing system

into a online based system, as well as determining the problem that affects the use of

manual reservation system and to give solution to the existing system pertaining to the

customer’s needs in giving an easy access during reservation. They can access the

website whenever they need to check the availability or make reservations. With online

based system transactions are faster and easier, the customer and the company can

easily coordinate with each other in a more flexible manner to get the information

needed for choosing an event or booking a room, thus making the information more

accurate. Since it is an online based system, this will help in adding popularity to the

company because of its easy access and 24 hours availability in and out of the country.
Background of the Study

The proponents want to know the reasons of the company in using manual reservation

system. The proponents conduct a study towards the topic because they notice that

Femar Garden Hotel and Resort still uses manual reservation system. The company

uses an information sheet for their customer to fill-out the needed information that is

being asked. The information sheets are filed in a folder and stored in a filing cabinet.

The tendency is there would be lack of security of all the information and can be freely

viewed by anyone and might fall into the wrong hands that can be used against the

company and customers.

The study will emphasize the effects of using manual reservation and how an

online reservation will be substituted. Therefore, the proponents intend to find out

possibilities to enhance their manual system using an online reservation system.

not to spend a lot to be served at the utmost level. We all invite to experience an

exhilarating trip and enjoy the true meaning of "Filipino Hospitality"

 Statement of the Problem

An online reservation system gives a lot of benefits such as timely, reliable and

accurate report generation. As what the proponents had observed and interviewed, the

problem experienced by the company with their existing system are the following:

1.) The security of the existing system is low, therefore it is prone to data lost and

tampering from unauthorized users.

2.) There is no back-up plan or duplicate copy provided for each file, which may result to

possible loss of data.

3.) The process of monitoring the availability of each rooms and function halls are done

manually, therefore it is prone to errors, time consuming and can be possible cause of

double booking.

4.) All the forms, data and reports are kept in a filing cabinet, thus searching or retrieving

of files can be difficult and time consuming.

5.) The company can only accommodate customers that are near or within the vicinity of

Antipolo, giving them less exposure and limited access to other possible customers

outside their area.

 Objectives of the Study

The proponents will analyze and develop an Online Reservation System that will help

the company to progress and minimize the problems in the procedure of their

reservation procedure.

1.) Increasing the security and confidentiality of each files and report by providing a

security module that is accessible only to the authorized person in the company. The

system will have a login module for the administrator and the registered users each

having their own username and password, thus making the system more secured not

only for the company but also to other users.

2.) With the used of mySQL as the system’s back-end, the data and information is

accessible whenever needed, in addition since it is an online based system storing of

data and creating backup are easily done.

3.) The system will provide a monitoring module that will display the available and

unavailable rooms and function halls including the date availability thus avoiding any

possible double booking.

4.) Searching and retrieving of records would be easier since there would be a search

module that would filter all the needed records. Having a search module will lessen the

time of looking for records that is done manually on the existing system.
5.) The website created by the proponents will help the company to increase their
exposure to other possible client/s in and out of the country. Moreover the website will
have twenty four (24) hours access for end users.
