CHAPTER I

INTRODUCTION

Background of the Study

In today’s generation, we are suffering environmental disaster such as global


warming, flash floods and different diseases in Pangasinan School of Arts and Trades, not
only the school rather the whole world. Some school clinics use manual system in
generating reports of inventory and check-up. So we need to do something to help and
improve our clinics to make the job easier. Thus, automated based system for check-up
method of the school clinic of the Pangasinan School of Arts and Trades is the one-way
process to solve this problem.

Nowadays many systems have been developed to make life easier. The system will
include database that will record all the data. For the private hospital, usually they are
using digital system to record the patient information and other information that related to
the hospital. There are many systems for clinic management system, but it does not meet
the local user requirement that is still new in the electronic system. Here, it will be more
explanation of the system.

Project description

Clinic Registration System is developed to improve the clinic management and


automates the workflow that happens in the clinic. This system is considering all the
activities in the clinic. Patient will make registration first. If the patient never registered
before, patient information collected and stored in the database. However, if it is an
existing patient the patient data is search-using IC (identification card) no. This will
improve the record of the patient and save the time during the registration. At this time,
patient is assign to the doctor once the patient gets the treatment, the doctor will send the
report including the medicine name. The staff will view the report and complete the patient
record. After that, the staff will prepare the bills for the patient. The patient can choose
mode to pay cash or maybe the clinic is panel doctor for the patient. Then the staff will
update the medicine stock and the patient record will be kept in database. 2 The clinic
management system is very beneficial for a clinic/doctor. It will stores complete patient
record. The most important thing is it will make it easier for the retrieval of history
information of the patient. In case, if patient is allergic for certain medicine, the doctor may
detect what type of medicine. For the security, before the user enters the system they have
to input their username and password before log in to the system. The system has different
access for the difference user. For the management of the clinic, they may view the daily
report of clinic.

Problems Statement

Before this, the management of the clinic is done manually. There are some
problem arise especially for the data retrieval. Clinic has a problem of loss of patient data.
There is also redundant patient data if the patient not sure whether they have come to the
clinic before. So the clerk considers the patient as a new patient and adds new data.
Currently, the inventory for the medicine is done manually. The management of the clinic
also have to takes times to check for the medicine inventory.

System Scope and Limitation

The researcher’s goal is to develop automated based system for check-up


method of the school clinic of the Pangasinan School of Arts and Trades since the school
still using the manual system in generating reports of inventory and check-up. The system
provides a standard quality for security which had three users to access such as the Nurse,
Administrator, Physical Doctor and Dental Doctor. The Administration, access all the
modules in the system namely List of inventory, Consultation, Physical, Dental, and
Reports.

For the Nurse, the nurse can access and view only the list of inventory and report. In the
list of inventory module, the nurse can update and add inventory medicine and equipment.
And the report module the nurse can generate a report from the appointment and for the
whole report that rendered and transact in the system.

As for the Physical Doctor, the Physical module can be accessed, the menu in the Physical
module is the appointment and history report. The appointment is to view of the appoint
check-up rendered and to be processed. And for the history report is to generate a report
that has access in the appointment. The Dental Doctor has the same procedures in Physical
Doctor Module

Review of Literature

System General Objectives

The PSATCIMS are planned to develop and fulfill some of the problems that occurred in
both manual system and also current, to transform into computerized management system
and to develop a prototype of the system using vb application.

System Specific Objectives

1. To provide the quality reporting of records that transacts.


2. To provide managing physical and dental check-ups services.
3. To provide fast and reliable transaction in a real time base.

This study would be able to maintain and make the job easier for this school clinic.
With this, the school clinic could establish improvements especially in checking up the
patients and gathering all the data.

Definition of terms

The Pangasinan School of Arts and Trades Clinic Information Management


System complete all the terms of check-ups, appointments of
medication, inventory, and generate reports. This system provides the standards of
the clinic. All of the users of the system have different functionalities to complete each
task to operate.

The Nurse

 The nurse can add new medicine and equipment into the system.
 The nurse can appoint medication both physical and dental medication.
 The nurse can access only consultation, reports and list of inventory.

The Physical Doctor

 The Physical Doctor can access only physical module.


 The Physical Doctor can view the appointment that assigns by the nurse.

 The Physical Doctor can generate report into their module.

The Dental Doctor

 The Dental Doctor can access only the dental module.


 The Dental Doctor can view the appointment that assigns by the nurse.

 The Dental Doctor can generate report into their module.

The Administrator

 The admin can access all module in the system.

 The admin can add new users in the system.


 The admin can view the list of the student as well as the instructor.

 The admin can view all the reports in the system.
