Managerial Communication

 Meaning of Communication: In Layman terms, Communication can be defined as


transmission or exchange of ideas, views, messages, information or instructions between two
or more persons by different means.

 Communication is the process by which meanings are perceived and understandings


are reached among human beings -D.E. McFarland

As the basic necessities, are required to be fulfilled, you also need to be equipped with
good communication skills, this is what will make you a happy and successful social
being.

Managerial communication is a function which helps managers to communicate with each


other as well as with employees within the organization. It helps in the smooth flow of
information among managers working towards a common goal.

Importance of communication:

• Exchange of ideas and information.

• Increases productivity and efficiency.

• Reduces duplicity of work.

• Assists in decision making.

• Helps in co-ordination.

• Good industrial relations.

• Development of managerial skills.

• Promotes cooperation and group building.

• Communication promotes motivation

• Helps in Altering individual’s attitudes

• Helps in socializing

• Assists in Controlling process


Management is incomplete without communication. A manger is the one who has to get work
done from others in an effective and efficient manner to achieve the goal of the organization.
Without communication no work can be done.

Nature of Communication:

1. It is a process: Steps are to followed in a sequential manner.

2. Meaning based

3. Communication is systematic

4. Communication is a social process

5. Dynamic process

6. Continuous process

7. Needs proper understanding

8. Leads achievement of the organisational goals

9. Dispels misunderstanding

10. It is contextual.

Forms or Types of Communication:

1. Non -verbal communication:- Non-verbal communication is the “without words”. In


earlier times, human beings communicated with one another by using body language.

2. Verbal communication:- Involves the use of symbols that generally have universal
meanings for all who are taking part in the process. It may be :_

(1) oral

Or

(2) written

(1) Oral communication:- is that channel of communication in which message is

conveyed in spoken form.

(2) Written communication:-is that communication in which information is exchanged

in the written or printed form.


3. Formal communication:- It is the form of communication that is used in professional
settings. There no room for slangs in such communication.
4. Informal communication:-It is the form of communication that is used with family and
friends. It may contain slangs and shortened form of words can be used.

Process of Communication

Step 1: Sender is the person who sends the message.

Step 2: Encoding is the process of converting ideas or thoughts into words.

Step 3: Message is send through some medium of communication like phone, letter etc.

Step 4: Receiver is the one who receives the message sent by sender.

Step 5: Decoding is the way of drawing inference from the message sent or breaking down
of message.

Step 6: Through some medium receiver send feedback to the sender of the message.

The process of communication is incomplete without feedback. Until and unless we got the
response from the receiver in the form of feedback we can’t say our communication is
complete.

Barriers to Communication

Barriers are the obstacles or hurdles due to which the message sent by the sender is not able to
reach the receiver in the same manner as expected by the receiver.
Types of Barriers:

1. Semantic Barrier
2. Psychological Barrier
3. Organisational Barrier
4. Personal Barrier

Semantic Barrier: It exists due to the following reasons:

 Badly Expressed Message

 Symbols with Different Meanings. Eg: Right,write

 Faulty Transactions

 Unclarified Assumptions. Eg: “Take care of goods”

 Technical Jargon-Use of technical words

 Body language and gesture decoding.

Psychological Barrier: It exists due to the following reasons:

 Premature evaluation-means driving conclusions before completion of message.

 Lack of attention

 Loss by transmission and poor retention

 Distrust

Organisational Barrier: It exists due to the following reasons:

 Organisational policy. Rules and regulations

 Status difference

 Complex organisation.

 Organisational facilities.

Personal Barrier: It exists due to the following reasons:

 Lack of confidence of superior in his subordinates-Lack of trust and confidence in their


subordinates.
 Lack of incentives.

 Fear of authority.
