Campus Recruitment Case Study

Business Scenario:

Company ABC (which runs a supermarket chain) is planning to buy the following items –
a. Painting services across 10 stores
b. Landscaping work for all the 10 stores
c. Setup and regular maintenance of its pantry at all the 10 stores (pantry will provide
tea/coffee for all its employees)

ABC’s Purchasing Manager, Mr. Buyer has created an eSourcing event (RFP: Request for
proposal) using an online application and has invited Supplier X, Supplier Y & Supplier Z to
participate

Process:

The organization policy mandates the buyers to conduct a detailed negotiation process with at
least 3 suppliers before selecting the supplier(s) supplying the goods / services. The negotiation
process involves request for proposal from the buyer to the suppliers. The proposal contains
questionnaire & pricing sections where information asked could vary like- Pricing related
questions such as price, tax information, etc. and non-pricing related questions such as- Provide
a detail of support and maintenance services. The number of questions could vary from 50 to
1000 questions per inquiry. Once the suppliers receive the online RFP request, they fill it up and
send it back to the buyers. On receiving the responses online, buyers analyze and compare the
responses on various criteria. Analysis involves collaborating with multiple stakeholders within
the organization and taking their opinion, including consolidation of the responses and
analyzing across various parameters. There could be a possibility that buyers ask questions to
the suppliers regarding certain clarifications. Once everything is finalized, the top supplier (need
not be based on price) is awarded the business.

The eSourcing application allows ABC to create a sourcing (RFP) online with all the required
information. Suppliers can log in online and provide their offers and the buyer can see all the
offers and finally decide on the supplier to award

Problem Statement:

Design web app screens / journeys – one for the buyer (Mr. Buyer) and one for the supplier X.

Deliverables:

 Wireframes for both the journeys – we don’t need visual designs; though interactions
will help
 The screens should be intuitive and self-explanatory and descriptions / notes are not
required
 We do not recommend any tool – feel free to use whatever tool that you are
comfortable with
