Duties and Responsibilities

Officers shall be as follows: As an English Club officer, specified roles and


responsibilities ensure the club’s success on campus. In order to maintain the club’s
viability, each officer must perform his/her role and execute his/her responsibilities
promptly and efficiently. All officers must attend meetings, of course, there are
exceptions to the rule, however accepting more responsibilities as an officer translates
into higher expectations of your presence and participation. Below is a list of each
officer’s role and responsibility:

President:

1. Provides leadership and direction for the entire student organization.


2. Presides at meetings.
3. Understands and adheres to the school policies for the betterment and
compliance from the club.
4. Oversees all financial responsibility for the club.
5. Approves all club communications.
6. Mediates between the various student organizations, PTA organizations and
other stockholders
7. Updates the English Club’s constitution during each term.

 Vice President (Events Chair):

1. Provides leadership for the events committee.


2. Presides at meetings in the absence of the President.
3. Coordinates programs with the President and the events committee.
4. Provides data on previous club events to allow the Events Chair to benefit from
experience and suggestions for improvement.
5. Shares information on events to the Secretary for inclusion in meeting notices or
newsletters.
6. Communicates with the treasurer about the upcoming events in order to
determine costs for the events.

Decided by the Events Committee: Masters of Ceremonies (MC; event committee


member, but not the committee chair):

1. Hosts all events with confidence, excitement, and full awareness


regarding the event’s structure and purpose.
2. Maintains the event’s schedule and liveliness.
3. Prepares and begins each meeting with a different literary reading that is
brief poetry, short story, flash fiction, or an excerpt from a fiction or nonfiction
text.

 Treasurer (Fundraiser Chair):

1. Acts as a leader and provides an example for the fundraising committee.


2. Manages the finances of the club.
3. Informs the club about its financial standing.
4. Works with the Vice President for planning events, specifically dealing with costs.
5. Organizes all financial documents, including receipts.
6. Submits check requests for individual and/or club reimbursement.
7. Prepares budget proposals for SOBB meetings.
8. Oversees the club’s bank accounts.
9. Coordinates fundraising for the club.

 Secretary

1. Sends and responds to all emails from the club’s email address, including
summaries of the meetings, and reminders for meetings and events.
2. Maintains an updated roster of all club members and all official records of
meetings.
3. Prepares and sends club’s newsletters with information regarding events, writing
contest winners, and other appropriate information.

 Public Relations :

1. Provides leadership for the PR committee.


2. Manages the club’s presence on social media, (i.e. Twitter, Instagram,
Facebook.) and bulletin board.

1. Captures photographs of the club’s events and service activities.


2. Uploads and organizes photographs on a soft copy.
3. Sends photographs to the PR committee.

Constitutional By- Laws

ENGLISH CLUB CONSTITUTION

Section I. Name

The name of this organization shall be the “Laurelians English Club”; herein after
referred to as the “English Club.”

Section II. Purpose

The purpose of the English Club is to foster a community of students whose interests lie
in literature, whether discussion, writing, reading, speaking, teaching, or viewing, and
the different uses of the English language.

Section III. Offices of the Organization

The officers of the English Club shall consist of a President, Vice-President, Secretary,
and Treasurer. An individual member may not hold more than one position; the only
exception is the Secretary/Treasurer position.

Section IV. Membership Eligibility

Membership for this organization is open to all students currently registered as a


student in Pres. Jose P. Laurel National High School.

Section V. Officers Qualifications and Functions

The qualifications for officer are the candidate’s willingness to commit to the English
Club in the forms of both attendance and support for every held meetings.

The President shall be the chief executive of the English Club. The President’s
responsibilities shall include: setting meeting times and dates for both the entire English
Club and for officers exclusively, chairing meetings, maintaining the lines of
communication within the English Club by way of mailing list or other means necessary,
updating the officers and members of the English Club on any new developments (i.e.
activities, classes) pertaining to English, English Education, Linguistics, film, writing, or
TESOL or any English-related fields, on and around PJPLNHS campus, and in the
event of a tie on any voting issue, the President will have the deciding vote.

The Vice President’s responsibilities shall include: assuming the duties of the President,
Secretary, or Treasurer should they not be available at any time for any reason, taking
care of any paperwork or assignments the President bestows or is unable to complete,
setting quorum at meetings, updating the officers and members of the English Club on
new developments pertaining to English, English Education, linguistics, , writing, , or
any English-related fields on and around PJPLNHS campus, taking care of any press or
public relation needs, and any other miscellaneous tasks that the English Club as a
whole or the officers feel must be completed.

The Secretary will function as the recorder of the English Club. The Secretary’s main
functions are: to keep the minutes at any English Club meeting or event, handle
interested members and refer them to the President, to arrange speakers or additional
activities for the meetings, and to send “thank-you” notes and letters of appreciation to
any speakers, as well as keeping track of miscellaneous paperwork.

The Treasurer shall be responsible for: maintaining the English Club bank account and
miscellaneous funds, being the main coordinator for any fund-raisers the English Club
partakes in, and reporting fund availability to club officers and members as necessary.

Section VI. Ratification and Amendment

This Constitution will be ratified by a two-thirds vote of official members and absolute
majority vote of officers. Changes to bylaws require an absolute majority vote of officers
and three-fourths of official members.

Section VII. Financing and Funding

This organization shall be financed by student activity fee allocations and fund-raisers
and if necessary, the Department of English Language and Literature, hereafter referred
to as the “English Department.” Contributions from outside sources and/or working in
conjunction with outside sources and other organizations are encouraged but
dependent on both need and compliance.

Additional funds, including dues, shall be decided upon based on a full-group vote after
the officers are selected at the beginning of the year. The Treasurer shall call it to the
officers’ attention that additional resources are needed. At that time, the officers may
choose to ask members for dues; the members determine the amount they are willing to
pay by a vote. This may happen at any time during the year.
BY-LAWS

(a) All club officers shall be voted in by the members of the English Club during the first
weeks of June of each academic year.

(b) Officer meetings will be held biweekly as needed, and general meetings will be held
once a month every month during the academic year.

(c) Students interested in becoming members of the English Club and who are unable
to attend the first meeting may contact the Secretary to join, who in turn will notify the
President in order to add them to the official membership roster.

(d) All official members will be notified bi-weekly of updates by official mailing list
maintained by the President.

(e) Officers may serve a maximum of two terms in each office (i.e. two terms of
Secretary, followed by two terms of Presidency), with a maximum of four terms in office.

(f) A single “term of office” shall be defined as one calendar year.

(g) Members running for office may be nominated by other members or may nominate
themselves at the first general meeting. A simple majority of votes will determine the
newly elected officer(s). Each official member shall have one (1) vote. In the case of a
tie, if the previous year’s officers are present, they shall make the final decision.

(h) English Club business decisions will require a simple majority vote of officers. In the
event of a tie, the vote shall be passed to all members and require another simple
majority vote.

(i) If any office becomes open mid-semester or mid-year, the President, or one of the
standing officers shall call an emergency general meeting to fill the empty office. Until a
new officer is selected, the Vice-President or officer immediately below open-officer
position shall serve in that capacity.

(j) Quorum shall be set by the Vice President at any meeting where voting is necessary.
This shall be based on the number of members present at the start of the meeting, and
may be reset anytime during the meeting.

(k) Any unanticipated problems shall be dealt with privately during officers’ meetings
and presented to the members at the next monthly meeting.

Title : Language and Literary Arts and Skills Show

Scope : Students of President Jose P. Laurel National High School
Venue : School Gymnasium

I-Rationale :
In line with the annual celebration of the English Club on the month November
various events and competitions in literary, cultural and musical are
to be contested in English in order to learn and appreciate language skills
and proficiencies through relevant language activities and competencies with respect
to cognitive, affective and psychomotor learning domains. English language and
literature embody various skills competencies for effective and meaningful learners. In
other words, it is an avenue and opportunity of the students to showcase their skills and
talents through language and literary events. Meanwhile, their participation to the said
events will greatly enhance their skills and talents in language and literary contests.
Hence, Language and Literary Arts and Skills Show through English Month Celebration
2017 with the theme ” “ A Celebration of Arts and Culture through Reading”
is proposed to showcase the Laurelians students various skills and talents as well as
inspire the students to embrace the significance of English language and literature in
their daily lives.

II-Objectives:
This activity aims to:
1. Encourage Laurelians students to participate and showcase their skills and talents in
language and literary contests.
2. Develop skills and competencies in language and literary events.
3. Perform different literary events.

III-Description of the Activity:


1. This activity will be participated by the students of Pres. Jose P. Laurel National High
School. In other words, each year level will have 2 participants in each literary event
3. This activity is a competition of Laurelian students in showcasing talents and skills in
language and literary events. Hence, the reading of the criteria of each of the
literary events is emphasized.
4. The literary pieces to be used of this presentation are coming from the
participants.
5. The various committees involved of this event are the English Teachers officers
and appointed members.
6. This activity will award Certificate of Participation and Certificate of Recognition
to PJPLNHS students who participated in the events.
7. The events to be presented are categorized in English Category includes
oration, storytelling, declamation, poetry interpretation and extemporaneous
speech and other events like Essay Writing, Charcoal Rendering, Painting and Quiz
Bowl have separate contest venues.
8. Each of the events is guided by a rubric and the Board of Judges.

ACCOMPLISHMENT REPORT

To enhance and develop the students’ potential in the outside four corners of
the schools. The students must be guided individually according to their skills and
potentials that will make them productive and competent individuals specifically in
thinking critically in expressing themselves in English Language.

Annually the club thinks on how to be of service with the students in order for
them to explore the subject and let them discover how far they can go. In connection with
this English Club was organized last June 2017 through the guidance of our principal Nancy B.
Maralit, Supervision of our club coordinator Sincerely D.Revellame , SSG Officers and the joint
efforts of the members of this club have accomplished the following projects during the school
year 2016-2017.
