1. INTRODUCTION

Coronaviruses (CoV) are a large family of viruses that cause illness ranging from the common
cold to more severe diseases such as Middle East Respiratory Syndrome (MERS-
CoV) and Severe Acute Respiratory Syndrome (SARS-CoV). A novel coronavirus (nCoV) is a
new strain that has not been previously identified in humans.

Coronaviruses are zoonotic, meaning they are transmitted between animals and people. Detailed
investigations found that SARS-CoV was transmitted from civet cats to humans and MERS-CoV
from dromedary camels to humans. Several known coronaviruses are circulating in animals that
have not yet infected humans.

COVID-19 is the infectious disease caused by the most recently discovered coronavirus. This
new virus and disease were unknown before the outbreak began in Wuhan, China, in December
2019.

On 30 January 2020, WHO announced that the COVID-19 outbreak was a Public Health
Emergency of International Concern.

There is currently no vaccine to prevent coronavirus disease 2019 (COVID-19). The best way to
prevent illness is to avoid being exposed to this virus. However, as a reminder, Enerflex
recommends everyday preventive actions to help prevent the spread of respiratory diseases,
including viruses such as; cold, flu and COVID-19.

People can catch COVID-19 from others who have the virus. The disease can spread from
person to person through small droplets from the nose or mouth which are spread when a person
with COVID-19 coughs or exhales. These droplets land on objects and surfaces around the
person. Other people then catch COVID-19 by touching these objects or surfaces, then touching
their eyes, nose or mouth.

People can also catch COVID-19 if they breathe in droplets from a person with COVID-19 who
coughs out or exhales droplets.

1.1 COMMON SIGNS OF INFECTION

Common signs of infection include respiratory symptoms, fever, cough, shortness of


breath and breathing difficulties. In more severe cases, infection can cause pneumonia,
severe acute respiratory syndrome, kidney failure and even death.

2. PURPOSE

This document is developed to provide guidelines to the EMEA business leaders and employees
for taking preventive measures on immediate basis and to prepare the respective teams to act

under more critical situation to ensure business continuity, health and safety of EMEA employees
and its customers during outbreak of Corona Virus (COVID-19) till situations becomes normal.

3. SCOPE

This procedure is applicable to all Enerflex employees, suppliers, sub-contractors at all Enerflex
office and sites in EMEA.

6. BUSINESS CONTINUITY PREPAREDNESS

6.1 RISK ASSESSMENT

Hazards and Effects Management Process (HEMP) conducted for COVID-19, four scenarios
are identified, each scenario has Prevention and Mitigation Controls identified, refer to
Attachment-1 for details.

6.2 GENERAL PREVENTION AND MITIGATION MEASURES

Below are the basic preventive measures to be followed by all EFX EMEA employees:

• Regularly and thoroughly clean your hands.

• Maintain at least 1-meter (3 feet) distance between yourself and anyone who is coughing
or sneezing.

• Avoid touching eyes, nose and mouth. (avoid touching your face)

• Make sure you, and the people around you, follow good respiratory hygiene

• *Stay home if you feel unwell. If you have a fever, cough and difficulty breathing, seek
medical attention. Follow the directions of your local health authority and inform your
supervisor.

(* If you are at site immediately report to site clinic or the nearest hospital as applicable)

Below are the specific preventive measures taken on all EFX operated offices and sites:

• Regular awareness session

• Provision of Hand sanitizers

• Provision of face masks

• Regular deep cleaning of offices and camp facilities.

• Regular monitoring of employee health, limiting to obvious symptoms of infection.

• At sites all delivery personnel and visitor temperature monitoring.

• At sites, arrival screening questionnaire to be filled by all, including contractor, EFX,


visitors and customer representative.

• Provision of isolation room at sites where possible.

• Any team member who has infected (COVID-19) family member or closed relative must
report this to his/her manager and to HSE.

• Any employee has symptoms of illness to stay home until getting better and free of fever
and other symptoms, consult doctor for further advise and inform your manager.

• HR & HSE has right to ask employee to perform medical test & checkups as necessary.

• If someone results +VE COVID-19 then follow the hospital and health authorities’
directions, including recommendation of getting family members, teammates, friends and
other’s details who were in physical contact with him.

• Inform your manager before your personal vacation trip is planned, manager shall
collaborate with HSE for correct advise and measures.

• Follow corporate travel ban restrictions

• Ensure IT infrastructure is maintained well to work from home if needed

6.3 STRATEGIC PREPAREDNESS AND EMERGENCY RESPONSE BY DEPARTMENTS


& BUSINESS UNITS

The following actions are defined as minimum requirements by the below mentioned department
under all listed scenarios in table-1 to support business continuity in regional offices and at
project sites.

6.3.1 SENIOR MANAGEMENT TEAM (SMT)

EMEA Senior Management Team (SMT) shall take proactive measures in advance to
develop, review and update Site Specific Business Continuity Plans and provide necessary
support to regional teams.

SMT shall ensure that employee backup plans are in place and communicated
appropriately.

6.3.2 IT & COMMUNICATION

IT department shall take proactive measures to ensure:

• Remote work ability

• Maintain IT support continuity

6.3.3 HUMAN RESOURCES

Human Resources department shall take proactive measures to:

• Monitor employee business-related travel including appropriate approvals.

• Address employee questions concerning absences and any other concerns.

• Ensure compliance with local regulations on sick time and pay

• Ensure employee emergency contact details are current and available.

• Ensure a regional contingency plan for payroll is in place that accounts

6.3.4 FINANCE

Finance department shall take proactive measures to ensure:

• Timely vendor invoices

• Employee payments, and other related matters.

6.3.5 HSE

HSE department shall take proactive measures to:

• Monitor country specific governmental and other communications regarding


outbreak and propose updates to internal positions.

• Prepare education materials for employees on health risk and good hygiene.
(including minimizing physical contact).

• Ensure adequate supply of disinfectant products (hand sanitizer, cleaning solution,


etc. at all facilities).

• Remove suspected employee from workplace and determine, to the extent


possible:

o Duration of potential contamination.

o Identify employees contacted during period of contamination.

o Employee’s whereabouts at workplace during period of contamination.

• Ensure safe and secure facility evacuation and shutdown, if required.

• Arrange for disinfection of impacted workplace, when required.

• Communicate to country’s health authorities, as required.

• Update team on MOH and any other related matters.

• Request employees who had direct contact with effected employee to work
remotely to the extent possible until asymptomatic (min 14 days) in collaboration
with HR.

6.3.6 SUPPLY CHAIN

Supply chain department shall take proactive measures to:

• Expedite requested PPEs delivery.

• Follow up with vendors to minimize delivery delays.

• Keep respective internal team updated on delivery schedules.

• Communicate with vendors to minimize face to face meetings.

6.3.7 OPERATIONS & PROJECTS

Operations & Projects department shall take proactive measures to:

• Apply developed business continuity plans to sustain operations

• Review material contents (customers and suppliers) to assess risk to supply chain
and projects in the event of business interruption & recommend mitigation steps.

• Evaluate inventory levels and alternate sourcing arrangements to mitigate risk of


disruption to existing supply chains.

• Ensure business risk is considered when entering into new contracts.

• Communicate to customers and suppliers as required.

If the minimum personnel cannot be maintained, consider remote work or reduce


services. In the event of somebody becoming Infected a minimum number would
have to go into quarantine, therefore keeping numbers of personnel available to
operate the plant.

o In case our field personnel are reduced, we would delay none critical
maintenance activities to focus on maintaining the compressors
operational.

o The deployment of additional human resources from other groups would


be considered but avoided if possible, in case of contamination from
outside sources, shall be communicated with HR & HSE for assessment.

o Essential materials i.e. Lubricating oils are being checked so we can


keep running in the event of an escalation in the situation.

o Staff are willing to extend their rotations in the event of travel delays,
quarantines etc.

6.3.7.1. GUIDELINES FOR COUNTRY SPECIFIC PLANS

Country Specific Contingency Plans are developed within EFX EMEA Operations, refer to
specific country plan for complete details;

• Work groups will be minimized in size and segregated as much as possible.

• Morning meetings will be conducted by discipline.

• Minimum number of personnel to be working together on equipment where


necessary to complete tasks.

• When not, on-site personnel are encouraged to stay at their designated desks /
offices and to avoid contact as much as possible.

6.4 PRIVACY

In the event of an employee contamination, ensure privacy of affected employee is always


maintained except to the extent necessary to ensure safe workplace or as otherwise
required by law.
