So, some of you already know, our company, Lasertronics, will be installing new
computer software shortly. Paula Roddy, Quantum Software representative, will
present the demonstration on Tuesday, April 18, from 9 a.m. to 12 p.m. This will
show all how the new systems work. We cannot show everything the software will
do at this one demo, but for operating systems, word processing associates, and
payroll personnel, Tuesday’s demonstration will be helpful.

Subject: Standardizing Purchase Requests

Dear all,

This is to inform you all about the new standard procedure for the submission of purchase
requests. As you all know that in the past, too much confusion has arrived due to the fact that
our purchase request is not stream-lined and uniform which has resulted in an inefficient
processing of these requests. Some purchase requests are submitted using proper forms but
others are either submitted in the form of memos or randomly hand-written notes. The latter
form of these requests is illegible and very difficult to comprehend as well as pursue.

To create uniformity in the procedure of receiving these purchase requests, our purchasing
department has devised a manner in which we can follow a standard method of submitting
them. For this, now the employees must download the requests from the company intranet
and to ensure fast service, they should fill out these requests. The employees must make sure
to include the following information in the purchase request forms:

 The date, quantity of the item being purchased and catalog numbers
 Its detailed description, complete mailing address and the contact information of the
vendor.
 Delivery requirements and the method of shipping the purchased item.

After submitting the request, the purchasing department should keep the original version and
the sender of the request would keep a copy with him/her. Another significant step in this new
procedure of purchase requests submission is the approval you would have to get from the
budget manager on the request form which would make it eligible for getting proceeded.

I believe this new procedure would minimize the issues that we have been facing since a long
time and would be helpful in making our system more effective. I look forward to your

Subject: Complain for overcharging

Dear Sir/Madam,

This is regarding my stay along with two of my colleagues at your hotel. Your hotel came highly
recommended by my company but I, being the regional manager of my company, am
extremely disappointed by numbers shown in my credit card statement. At a time of
reservation, we were assured to receive weekend rates along with a hot breakfast at the
hotel’s restaurant- Atrium. Since it was highly recommended, I and my colleagues ordered
pancakes and sausage but we were charged $312 for three champagne buffet breakfasts. The
fact is we didn’t have a buffest and certainly no champagne. Although, we had reached the
restaurant before time, we could not enjoy the buffet and still were charged for it.

I do remember seeing other guests on my floor having continental breakfast in the lounge, but
I was not informed whether we had to eat somewhere specific to avail the weekend rate. We
were specifically told that we could order breakfast from the menu at the hotel’s restaurant
while making the reservation.

I have attached the credit card statement highlighting the unfair charges. I understand such
mishap can happen due to some ignorance or mistake. I would appreciate you to resolve this
issue soon. Our company has been using your hotel chain for a long time and wish to continue
doing the same in future.
