OCEAN FREIGHT

• We offer regular services for FCL, LCL as well as break bulk and Ro / Ro services to
and from any major ports globally. Our international networks enable us to handle
shipments directly from our terminal to terminal or even door to door. We offer door

forwarder or NVOCC operator. Our ocean services meets customer needs

CONTAINER FREIGHT STATION (CFS) FACILITY
 For inbound and outbound cargo we are well-equipped with Custom Bonded CFS
facility, in Nhava Sheva/Chennai/Delhi, which is taken on lease to ensure prompt delivery of
cargo at the desired location. This would further enhance the consolidation service especially
in Import and Export of LCL Groupage service. The dependency on Port Delivery System
that may delay the cargo movements can be minimized leading to more cost benefit to our

LOGISTICS & DISTRIBUTION

SHIPPING DOCUMENTS USED THROUGHOUT THE SHIPPING
PROCESS
THE ENQUIRY PROCESS
• The enquiry process starts with the buyer asking about the seller’s product details and
pricing.  Some Importers and Exporters find each other on trade websites such
as Alibaba and Global Sources then send new product enquiries.
Quotation Document
• The exporter will send a detailed quotation document for the products offered for
sale.  This document will include product specifications, pricing, currency, packing
sizes, Incoterm, payment details, port of loading, port of discharge and shipping
method.  Popular shipping methods include FCL, LCL, Breakbulk, Air, Courier.

THE ORDERING PROCESS


• When the buyer is ready to purchase products, they will have to create detailed
Purchase Order documents.  These documents are used to confirm exact details of the
goods to be supplied.
Purchase Order Document
• The buyer will send an official Purchase Order document to the supplier.  This will
confirm all product and pricing details, generally as stated in the supplier’s Quotation.
Proforma Invoice Document
• The seller will send an official Proforma Invoice document to reconfirm the details of
the goods to be supplied.
Note – Both parties must counter sign the Purchase Order and Proforma Invoice
documents.  These document represent a legally binding agreement between the buyer and
seller.  If there are any disputes relating to the order, these documents will be referred to in
a court of law.
Order Confirmation Document
• In some cases the supplier may also issue an additional Order Confirmation
document.  This is used to re-confirm the details of goods that have been ordered.

THE SHIPPING PROCESS


• After the goods have been ordered and produced, they exporter will package the
goods and arrange the export process.  The export will create the following shipping
documents.
Shipper’s Letter of Instruction (SLI)
• A Shipper’s Letter of Instruction (SLI), or Interim Receipt is a very important legal
document.  It is the shipper’s detailed document that gives full instructions to the
agent that is arranging the export shipment (this is usually the freight forwarding
company).  This document will state all specific instructions so the agent can correctly
arrange the logistics of the cargo.
Verified Gross Mass (VGM)
• A Verified Gross Mass document is only required if the goods are being shipped as a
full container (FCL cargo).  It is a very important document that states the shipper’s
verified gross mass of cargo.  Shippers must ensure that shipping containers are
correctly weighed and verified within important weight limitations.  
Bill of Lading Document (B/L or BOL)
• A Bill of Lading document is the most important document involved in the supply
chain.  It is a legal transport document that is issued by the carrier of the goods. 
When the goods are loaded on board the vessel for export, the shipping line will issue
a Bill of Lading to the shipper (exporter) to confirm proof of shipment.  The shipper
will send a copy of the Bill of Lading and other shipping documents to the importer.
Commercial Invoice Document
• The Commercial Invoice confirms all of the details of the goods that have been
shipped.  This includes shipper & consignee’s details, product information, pricing,
currency and Inco Term.
Packing List Document
• A Packing List is a detailed document stating how all of the products have been
packaged inside the shipment.  The document includes packaging types, quantities,
sizes and weights of all packages included inside the shipment.  Depending on the
method of shipment, a sea freight packing list or an airfreight packing list can be
created.
Packing Declaration Document
• An export packing declaration states the type of packing materials that were used to
pack the goods inside the shipment.  It’s purpose is to ensure that any timber
packaging that has been used is ISPM15 compliant.  This is to protect the spread of
insects and diseases that can be hiding away in timber packing materials such as
pallets, crates and dunnage’s.
Certificate of Origin (COO) or Declaration of Origin (DOO)
• The Certificate of Origin is the manufacturer’s declaration stating the country of
origin where the goods have been manufactured.  It is usually only required if the
country of export and country of import have a current Free Trade Agreement in
place.  The manufacturer can provide a Declaration of Origin document, and get this
approved by their local Chamber of Commerce.  The importer will use this in the
customs clearance process to reduce or eliminate import duties payable.

ARRIVAL DOCUMENTATION PROCESS


• As the shipment is arriving into the country of import the shipping line or freight
forwarder will send any applicable documents to the importer.  These can include
customs clearance documents, arrival notices and invoices for sea freight and local
handling charges.  Note that the International sea freight or airfreight will be payable
by the consignee/importer for Inco Terms FOB and before.

CONSOL AGENT
• Cargo shipping method in which a freight forwarder at the port of origin combines
several individual consignments to make up a full container load.
• This arrangement allows the goods to be shipped as containerized-cargo that offers
greater security at lower shipping rates.
• At the port of destination, the consolidated shipment is separated (deconsolidated or
regrouped) back into the original individual consignments for delivery to their
respective consignees. Also called grouped shipment.
FREIGHT FORWARDING
• A freight forwarder, forwarder, or forwarding agent, also known as a non-vessel
operating common carrier (NVOCC), is a person or company that organizes
shipments for individuals or corporations to get goods from the manufacturer or
producer to a market, customer or final point of distribution.
•  Forwarders contract with a carrier or often multiple carriers to move the goods. A
forwarder does not move the goods but acts as an expert in the logistics network.
These carriers can use a variety of shipping modes, including ships, airplanes, trucks,
and railroads, and often do utilize multiple modes for a single shipment.
• For example, the freight forwarder may arrange to have cargo moved from a plant to
an airport by truck, flown to the destination city, then moved from the airport to a
customer's building by another truck.
AIR FREIGHT
• Air freight parcel delivery is the transfer and shipment of goods via an air carrier,
which may be charter or commercial. Such shipments travel out of commercial and
passenger aviation gateways to anywhere planes can fly and land.
TRANSPORTATION
• Maritime transport, fluvial transport, or more generally waterborne transport is
the transport of people (passengers) or goods (cargo) via waterways. 
• Freight transport by sea has been widely used throughout recorded history. The
advent of aviation has diminished the importance of sea travel for passengers, though
it is still popular for short trips and pleasure cruises.
• Transport by water is cheaper than transport by air, despite fluctuating exchange
rates and a fee placed on top of freighting charges for carrier companies known as
the currency adjustment factor (CAF).
ICD MOVEMENTS

a particular ICD they should suitably advise the foreign suppliers so that the
containers are manifested to the particular ICD.

2.3 DUTIES AND RESPONSIBILIES OF DEPARTMENT HEADS


CUSTOMER SUPPORT
• Working as a Customer Support representative is a very varied role and involves
liaising directly with clients as well as suppliers.
• Customer Support representative process sales invoicing in accordance with
established procedures and standards.
• Receive supplier purchase invoices ensuring they are correct and passed to
appropriate department for processing.
• As a Customer Support representative working within Shipping and Logistics will be
required to ensure each shipment generates the maximum contribution to the company
by keeping constant focus on meeting the required service level at the lowest possible
cost.
• Maintain and file all records in accordance with company procedure.
• Constantly review working processes with carriers and transport companies to ensure
best practice, but also that fees charged are inline with competitors.
• Assist the sales team with quotations and client/product knowledge.
• A Customer Services Clerk job usually involves working in conjunction with the
Customer Services Team Leader, which may require you to produce reports and
statistics for meetings.

DOCUMENTATION : BOTH EXPORT AND IMPORT


DOCUMENTATION
• It's the documentation supervisor’s responsibility to ensure that the organization files
precise documentation for all its exports. Working in this position, the expert acts as a
link between customers and sales groups.
• This job requires you to be up-to-date on the processes of handling goods both
internationally and nationally.
Handling Export & Import Documentations
• The documentation supervisor, who has expertise in sea freight and export air
documentation, ensures that all exports are documented correctly.
• As a specialist, you provide applicable export documentation needed by each country
of destination. You also ensure that export laws and regulations for export
consignments under diverse payment terms are adhered to.
• It is your duty to submit timely document directives to independent surveyors and
freight forwarders to necessitate timely processing of exports. You also maintain up-
to-date export files in a structured and cataloged system.

SALES AND MARKETING EXECUTIVE


• A marketing manager in the cargo industry focusses on applying marketing
techniques to develop strategies for effective pricing of services, identify new cargo
destinations and expand freight services.

Main lead – LCL CONSOLIDATION
• Less than container load. A term used to describe the transportation of small ocean
freight shipments not requiring the full capacity of an ocean container – usually less
than 20 CBM.
• A fright forwarder may create a consolidation by putting together multiple LCL
shipments.
CFS lead
• The term CFS refers to cargo delivered at origin in less than container load quantities
to a CFS container freight station to be loaded into containers and to be unloaded
from the container at destination CFS.

Nomination
• It is the duty of an FOB seller to put the goods on board a ship nominated or
designated by the buyer. The buyer must nominate and present a suitable vessel which
is capable of loading with in the shipment period.
• The shipment period is usually a condition of the contract.
Existing customers
• It is the duty of an customer support team to keep track the customer record, once the
customers cargo delivery has done.

3. FUNCTIONAL DEPARTMENTS OF THE ORGANIZATION


3.1 OPERATION
• In the day to day operations of the ship including navigational safety, cargo, ballast
and tank cleaning and inspections.
• Maintaining safety standards and procedures is a key part of the job as well as
environmental management. You may also be required to act as a member of an
Emergency Response Team.

Custom Clearance :
• Customs clearance work involves preparation and submission of documentations
required to facilitate export or imports into the country, representing client during
customs examination, assessment, payment of duty and co taking delivery of cargo
from customs after clearance along with documents.
Some of the documents involved in customs clearance are :
• 1. Exports Documentation: Purchase order from Buyer, Sales Invoice, Packing List,
Shipping bill, Bill of Lading or air way bill, Certificate of Origin and any other
specific documentation as specified by the buyer, or as required by financial
institutions or LC terms or as per importing country regulations.
• 2. Imports Documentation: Purchase Order from Buyer, Sales Invoice of supplier,
Bill of Entry, Bill of Lading or Air way bill, Packing List, Certificate of Origin, and
any other specific documentation required by the buyer, or financial institution or the
importing country regulation.

4. CONCLUSION

• Learning is a never-ending process. Simple observation and theoretical knowledge


alone will not make a person expert in a particular field, practical experience is also
essential.
• My training in Cargo Care Shipping & Forwarding motivates my quest to learn and
work. This training gave me an opportunity to see the difficulties in running an
industry and I could realize the fact that behind the success of any industry there lays
hard work and sincerity. The days that I spent their taught me lot more and I had tried
to work to the best of my capacities and learned the maximum possible.
