Job Description - Administrative Assistant

As an Administrative Assistant, you assume the duties and responsibilities of all clerical tasks

and administratively support office operations to ensure efficiency. Supports managers and

employees with a variety of administrative tasks related to organization, communication,

practice, and procedures. Responsible for confidential and time-sensitive material. Ability to

effectively write and verbally communicate, ensuring all Administrative Assistant duties are

completed accurately and tasks performed promptly. 

Responsibilities

1. Ability to produce and distribute correspondence memos, emails, letters, faxes, and other

forms.

2. Carry out administrative duties, i.e., filing, typing, copying, binding, scanning, etc.

3. Answer and direct calls to the proper channels.

4. Organize and schedule meetings, conferences, trainings, and appointments.

5. Confidentially handle sensitive information, ensuring all materials are adhered to,

according to company policy.

6. Develop and maintain a contact list and filing system.

7. Ensure familiarity with a variety of field concepts, practices, and procedures. 

8. Maintain supply inventory, order supplies, and verify receipt of supplies.

9. Maintain and acquire professional and technical knowledge via attending educational

workshops, personal and professional social networking, 

Requirements
1. Proven administrative and or assistant expertise

2. At least 5 – 7 years of experience in the field or related area

3. Preferred college degree, however, will accept high school diploma or equivalent

4. Excellence communication and writing skills

5. Attention to detail, strong problem-solving skills, organizational and planning skills 

6. Proficiency in time management, multi-task and prioritize assigned tasks

7. Proficient in MS office and day-to-day activities.

I believe, that Task Analysis makes the most sense when for analyzing the roles or tasks of an

Administrative Assistant. Task Analysis involves a systematic collection of data about a specific

job or group of jobs to determine what an employee should be taught to achieve optimal

performance (Werner, 128). The results typically involve the appropriate standards for job

performance, how the tasks should be performed to meet standards, and ensure the employees

have the proper KSAOs to meet standards. Task Analysis has five steps to its process:

1. Develop an overall job description

2. Identify the task

3. Describe KSAOs

4. Identify areas that can benefit from training

5. Prioritize areas that can benefit from training
