Meeting minutes Catalyst – 06.02.

2020

General meeting

Attendees – Fox, Josh, Gabi, Jake, Lote, Masa, Dan, Bel, Jen, Emily, Flick

Absentees – Lawryn, Cat, Kate

Discussion point 1 - ROLES.

Coord – overseeing, managing, making things happen, troubleshooting, checkups, anything that
needs overlooking in big decisions.

GM – scheduling, taking minutes, looking over anything to do with, risk assessments, contracts, gdpr,
budgets for events, liaising between us and the venues

Casting – getting actors, breakdowns to be sent to casting, all actors recruited at once, scheduling
recalls and auditions, distributing contracts with the actors once casting has been done, IMPORTANT
GET BREAKDOWNS.

All the forms that are sent to you need to be sent out as soon as possible, even if you don’t know,
just put in tbc.

Marketing – Bel, Jen, Masa, Gabi. Coinciding with all requirements from mtview marketing, ensuring
every show has a brand, eg poster shots, idea/design idea, ensuring festival is uniform. Social media,
copies. When you add copies, make sure you know what the copy is for, and what the format
requirements for that is. There will be a day for directors and producers headshots. The only official
page we’re allowed is Facebook. Have a look over what they did last year for headshots. Similar to
how the marketing placement worked last year. Need to work out a schedule for marketing
materials.

PR outreach – making sure that we get across southwark as much as possible, get more coverage
from whatever we can. Getting our faces out there. Outreach = PR needs to organize a meeting. No
point in separating tour from mtview. Facilitation, like workshops.

Tech – ensuring trailing for directors show, liasing between tech teams at mtview and blue elephant,
helping with rigging, operation, design, taking up inventory lists of equipment, safety

Tour coordinators – have sent an email to BE. Soon to go see the space.

Action points: Please put on your depts meetings on the master schedule.

Fill in actor breakdowns by Monday 10 th Feb.

Discussion point 2 – meetings.


Group meeting – Cata general meeting around 4 pm each week Wednesday.

Next week Peter will be joining us from the directors course. Try to get the directors in for next
week.

Action points: Individual minutes to be on the drive for GMs to check.


Individual check ins with producers – doing a doodle poll for drop in sessions.

Josh to message Peter about meeting the directors for lunch next week, to explain to them what our
roles are. Dept. heads to join the lunch meeting.

Discussion point 3: New tour name

New name – unclear if we need to change the name. Changing the name requires changing the
marketing strategy for the new festival. Mtview doesn’t want us to have our own channel because
its more work for the marketing depts to monitor. We could use a subname for the tour.

Action point: take a vote later on the subtitle. Ask Pam about this.

Update on BE interaction – emailing, waiting on a response. Jen and Kate to have a meeting

Discussion point 4: budgets and legal.

Budget for production: 50 quid + common features that the directors have previously bought.

Producers are personally liable. That means we’re in a lot of financial risk, we don’t have companies
who can get sued. If we get sued, then our assets will be affected.

Currently, on the contracts we are liable, not Mountview. This should be under a collective limited
company, as it reduces liability.

Ask Pam section: when can we get access to the festival budget?

Other creatives: can we pay them?

Writers contract soon – GMs to go over them next week with Pam.

Does catalyst as a festival cover insurance?

Discussion point 5: Marketing

For collective things like photography. Photography will be done collectively, 10 minutes in and out.
To maintain uniformity.

AP: Inform directors that they cannot issue communications about the shows themselves, including
casting calls, marketing, etc.

Make marketing schedule.

DP 6: Casting

Send out breakdowns asap.

Manage possible backlash about not paying actors much.

Actors attached to shows – if you already have an actor, email casting first. Access to spotlight

Directors cant put out calls by themselves. Calls will go through mountview directly.
AP: casting to look over ethos. Work out how to ensure accessibility.

Everyone else to send out the actor descriptions.

GM to look over gdpr.

DP 7: PR

PR – if you intend to send an email for invitations, let Pam or Bel know first.

AP: Facilitations – let Bel know soon: things like panels, q&a, workshops. Fill in the facilitation
spreadsheet with what you want, if anything.

Go every month to Southwark Council Meetings. If you see events happening in Southwark, let Bel
now.

Start talking to third year actors.

DP 8: Tech

Get plans from BE and backstage. Producers will need more training in rigging/operating/stage
management.

Try to use stuff that is available for both mountview and BE equipment wise.

Try reblocking the producers shows during the free week between Mtview and tour.

AP: Fox to find some tech resources.

Jen to message BE for specs. Mtview specs on website.
