Dear Ms. Smith,

To start, I want to thank you for your intensive efforts in organizing the upcoming event,
scheduled on March 7, for our children here at Jackson hospital. Everything is planned and in
place to run smoothly and provide a wonderful day for our patients. I especially appreciate your
time spent calling in outside sources to further this project.

Leading up to next Saturday I want to ensure these final few things get done:
- Follow up with the Portland Timbers players who have agreed to attend
- Finalize food services and plan for eating at 12:30 PM
- Print fliers that can be hung around the hospital as advertisement
- Remind families, nurses, and staff of the event so medical care can be arranged for the
patients

If you have any questions please feel free to reach out to Dylan Micks. I can’t wait for this event
and to see the impact within the community.

Please check in with me by March 5 to update me on the status of the above items.

SUBJECT: Children’s Inpatient Weekend Event

Dear Ms. Smith,

It has come to my attention that our upcoming event at Jackson Hospital, scheduled for March
7, is falling behind in planning preparation. I am aware this is a big task to take on especially on
top of your regular duties. As you know, this is a very important event that will have a great
community impact within the hospital. I strongly suggest teaming up with your fellow
department members to ensure this event is put on smoothly.

Before March 5 I would like you to connect with me after completing these tasks:
- Call around to our local sports teams and ask if they are willing to partner with us by
attending the event and hanging out with our patients
- Find a company willing to cater food for the anticipated 150-200 people in attendance
- Secure decorations, events, and games to add to the atmosphere of the day

I greatly appreciate your work, and as mentioned above hope you partner with others to put
this event on.

Please do not hesitate to reach out to Dylan Micks with questions or concerns surrounding any
of these tasks. I look forward to hearing from you on the 5th.

SUBJECT: Children’s Inpatient Weekend Event

Dear Ms. Smith,

I am reaching out to you on behalf of Jackson Hospital management. We are planning to put on
a large event for our children inpatients on March 7. As you know, life in a hospital isn’t fun for
anyone, let alone these kids who want to be running around outside playing. We recognize your
impressive organization work within your department and would love to partner with you in
putting on this event by appointing you the planning lead on this event.

We would greatly appreciate your help in the following areas:

- Connecting with local businesses and organizations for their support and donations
- Setting up decorations, events, and activities
- Securing a company willing to cater food for the anticipated 150-200 people in
attendance
- Advertising the event to patients and families

I encourage you to reach out to Dylan Micks or me with any questions and hope you will give
this some thought. You will greatly impact this production of this event and give these kids an
escape from their typical hospital day.
