This document describes the steps to grant a user access to a new Set ID and Business Unit (BU) for

Payables. It assumes
that new Set ID and BU have already been created. These steps must be completed before setting up payment terms
(based on Set ID data security) and payables options (based on BU data security).

Granting access to a new Set ID

1) Login to APM. Click ‘Search – Role Templates’. Search for template name = ‘FinancialsFunSetId’. This role
template generates the Set ID data role and grant.

2) Open the role template and go to the ‘Summary’ tab.


3) Click ‘Generate Roles’. This will generate the data role and grant for the new Set ID.

4) Go back to the Summary tab and expand the ‘Valid Roles’ section. Check that the data role for the new Set ID is
listed. Eg, if the new Set ID is ‘Vision Operations SET288’, there should be a data role called
‘FUN_FINANCIAL_APPLICATION_ADMINISTRATOR_JOB_ Vision Operations SET288’ listed.
5) Login to OIM. Click ‘Advanced Search – Users’. Search for the user that you want to grant access to the new Set
ID. In this example, we’ll use the ‘FIN_SUPERUSER’ user id.

6) Open the user and go to the ‘Roles’ tab.


7) Click the ‘Assign’ button. Search for the FUN_FINANCIAL_APPLICATION_ADMINISTRATOR_JOB_ <Set ID> data
role and click ‘Add’.

8) Login to Functional Setup Manager (FSM) with the user and navigate to the Manage Payment Terms UI
Task 'Define Payables'
> 'Define Payables Configuration'
>  Task 'Manage Payment Terms'
> Query back Payment Term 'Immediate'.
The new Set ID ‘Vision Operations SET288’ should be available in the Set ID list.
Granting access to a new BU

If automatic data role generation is working in your environment, the data roles and grants for the new BU should be
automatically generated when the new BU is created. In that case, you can skip step 1 to 7 and go directly to step 8.
1) Login to APM. Click ‘Search – Role Templates’. Search for template name = ‘FinancialsFunBusinessUnit’. This role
template generates the BU data role and grant required for the AP setup UIs.

2) Open the role template and go to the ‘Summary’ tab.

3) Click ‘Generate Roles’. This will generate the data role and grant for the new BU.
4) Go back to the Summary tab and expand the ‘Valid Roles’ section. Check that the data role for the new BU is
listed. Eg, if the new BU is ‘Ash BU 083011 01’, there should be a data role called
‘FUN_FINANCIAL_APPLICATION_ADMINISTRATOR_JOB_ Ash BU 083011 01’ listed.

5) Close the template and search for another template ‘PayablesInvoicing’. This role template generates the BU
data roles required for the AP transactional UIs.
6) Repeat the same steps to generate the data roles.

7) Go back to the Summary tab and expand the ‘Valid Roles’ section. Check that the data roles for the new BU are
listed. Eg, if the new BU is ‘Ash BU 083011 01’, there should be 3 new data roles called:
‘AP_ACCOUNTS_PAYABLE_SUPERVISOR_JOB_Ash BU 083011 01’
‘AP_ACCOUNTS_PAYABLE_SPECIALIST_JOB_Ash BU 083011 01’
‘AP_ACCOUNTS_PAYABLE_MANAGER_JOB_Ash BU 083011 01’
8) Login to OIM. Click ‘Advanced Search – Users’. Search for the user that you want to grant access to the new BU
for the AP setup UIs.
9) Open the user and go to the ‘Roles’ tab.

10) Click the ‘Assign’ button. Search for the FUN_FINANCIAL_APPLICATION_ADMINISTRATOR_JOB_ <BU> data role
and click ‘Add’.
11) Search for the user that you want to grant access to the new BU for the AP transactions UIs. In this example, we
are going to use the same user ‘FIN_SUPERUSER’. Add the following data roles to the user:
AP_ACCOUNTS_PAYABLE_SUPERVISOR_JOB_<BU>
AP_ACCOUNTS_PAYABLE_SPECIALIST_JOB_<BU>
AP_ACCOUNTS_PAYABLE_MANAGER_JOB_<BU>.

12) Login to FSM with the above user. Note that the AP setup UIs require a BU scope. They need to be accessed
from within an implementation project or assigned implementation tasks. Open an implementation project.
Expand Financials > Define Invoicing and Payments Configuration > Define Payables.
13) Click on the ‘Go to Task’ icon for task list ‘Define Common Options for Payables and Procurement’ and then
select the BU. Do not click the ‘Go to Task’ icon for task ‘Manage Common Options for Payables and
Procurement’ directly as you won’t be able to select a BU scope and you will get ‘You do not have permission to
access this information’ error.

14) Now, click the ‘Go to Task’ icon for the task ‘Manage Common Options for Payables and Procurement’.
