GUIDE FOR THE ONLINE UNIVERSITY CLEARANCE

1. A google sheet will be created that can be viewed, edited, and updated by all the signatories of
the university clearance. This google sheet shall serve as “clearing house” for all the units to confirm
clearance of a student instead of the hard copy.

2. All units/offices will evaluate and clear the students (which includes their own college
clearances, requirements, overdues, etc.).

3. If the student is cleared,


a. The box is filled with green,
b. If not, then type and note the deficiency, lacking requirement, overdue, unreturned item,
etc. to the column under your unit.

4. Once all units have completed evaluating;


a. List of “not yet cleared students” will be sent to the different units for them to
contact the student to comply.
b. Email notifications will be sent (graduates of batch 2019-20) indicating that they are
“cleared” or “not cleared” (enumerating the units/offices) to contact.
c. Those who are “cleared” can now request TOR thru a link provided by the Registrars
office. This link can also be used to other graduates apart from Batch 2019-20, transferees and
returnees.

5. After students have complied with their deficiencies, lacking requirements, overdue,
etc., the unit/office will then update in the google sheet and erase the comment made to indicate
completion and compliance.

6. For graduates and alumni (before batch 2019- 20) who have not processed their university
clearance, they may be directed to this Request for University Clearance (72hrs to process their
