Minutes of the Meeting

Business Proper

I. STATUS OF GRADUATING STUDENTS

I.1. The call for teachers thru the Deans to follow up submission of grades.
Deadline : End of May.
Grades are needed especially for the graduating students to comply and speed-up the
submission of application for graduation to CHED. The lapse of time is in consideration to the
Lock-down when the submission was supposed to have been done late March.

I.2. Problems of some teachers coming from municipalities that are under lock down. Deans are
requested to advice teachers by way of the group chat to beat the deadline by end of May.

I.3. NO SUMMER CLASSES


A. For graduating students who may have failed in any subject during the last term shall be
allowed to enroll for the first semester either on tutorial basis or on regular class
schedule.

B. For IT and Education with summer program in their curriculum especially for the senior
graduating students , the deans shall device a means to allow an overload with proper
justification to CHED.

C. But with conditions where these subjects cannot be contained in the overload, the
students have to complete requirements until the new school ,year, or a special
summer class extension with due approval from CHED.

D. THESIS DEFENSE that have not been completed to qualify for graduation this semester,
the Registrar would accept a tentative rating for purposes of submission to CHED.
However, no credential or diploma shall be issued unless the requirement is complied
with and with the proper signification by the Dean.

E. For Graduate thesis defense, Dr. Torremoro shall set her guidelines to be disseminated
to the GS faculty and candidates.
F. For OJT requirement, MOA and evaluation are documents needed for submission to
CHED. In case the student was unable to complete the required number of hours
because of the lock down, CHED so ordered that the student continue his OJT in school
properly signified by the Dean. The task had to be properly undertaken by the OJT
Coordinator.

2. On the continuing queries by the Graduating Students

2.1. No Refund of Fees


2.2. Continue with the printing of program and Yearbook
2.3. If there is a balance from the total amount, it shall be used to defray payment for
the copy of TOR and other documents.
2.4. Schedule for pictorial has been set for June and July during the enrollment period.
To avoid the danger of contamination, candidates shall wear the hood under a
black polo shirt for boys and black dress or corporate attire for girls. No more Toga.
2.5. Ms. Rosario Cabreza shall plot the proper scheduling and the number of graduates
per pictorial session .Deans shall inform their respective graduates.

3. . School Calendar

3.1. Updated and finalized the started calendar plan before the lock down.
First Semester: August -December 2020
Enrolment Period : June 15-July 31
Classes Start : August 3
Prelims : September10-12
Mid-Term: October 8-10
Pre-Finals :November 12-14
Finals : December 17-19
3.2. Second Semester
Enrollment Period :November 16- January 8
Classes Start : January 11
Prelims : February 11-13
Mid-Term : March 18-20
Pre-Finals : April 15-17
Finals : May 13-15
3.3. Summer
June-July

* Exclusion of all extra socio-cultural, religious and sports activities of the department &
school in general.
*Note: The Samar College Collegiate School Calendar shall be refined by Ms. Grace Navaja
before its approval and final submission to CHED by June.

IV. first Semester Plotting Schedule Format:

4.1. (Semi) Blended Learning ( Modular, On-Line, Web-Based)


4.2. Schedule of classes: Mon-Wed; Tues-Thurs; Fri-Sat @ 1:30 hours/meeting equivalent to 3
hours per week.
4.2. Limited to 40 students per section
a. for Social Distancing, class shall be divided into two groups @ 20 per group.
b. Rotation Basis:
Group A @ 20 meets on Mon
Group B @ 20 meets on Wed
c. Same applies for TTH & FS
4.3. GEC subjects w/ prescribed textbook can follow the guide for modular lesson.
4.4. Major Subjects shall require the preparation of materials.
Subject teachers should be advised to start preparing materials before start of classes.
4.5. The approach to this Blended learning should be BASIC and SIMPLISTIC meanwhile
that the school through a long process shall adopt the formality of the system
4.6. PROPER ORIENTATION OF TEACHERS
4.7. Time-table for the professional training of teachers on preparing the Module Lesson.
4.8. Time-Table for training on Blended learning.

V. Enrollment Procedure
5.1. The consensus that the usual procedure with assigned officer to take charge of enrollment
per Department is effective.
5.2. Implement the policy with the Registrar providing the department with copy of the subject
evaluation for proper advice and strict checking of deficiencies before enrollment. Clerks do
not have the authority to advice enrolling students without the knowledge of the Dean.
5.3. observe social distancing and wearing of mask and strict entrance procedure @ the gate.
5.4. New method or procedure as endorsed by the administration.

VI. Other matters

6.1. Prompt information from Dr. Valles to the academic deans as to the approval of the
discussions agreed by the Council to expedite the preparation of subject offering and
schedule of classes for the first semester.
