Guidelines for the HIP Mentor Project 2020

1.0 These guidelines provide a detailed description of the operational structure for
the HIP Mentor Project 2020 under the Highly Immersive Programme (HIP). 

2.0 Overview of the HIP Mentor Project 2020

2.1 The HIP Mentor Project is a call for all retired English language educators
(teachers, lecturers, and officers) to render their expertise and service in
assisting schools to create a language rich environment on a voluntary
basis. Volunteers will be known as HIP Mentor.

3.0 HIP Mentor Project Objectives


3.1 To create an English language immersive environment that encourages
the use and mastery of the language among the school community.
3.2 To encourage fun learning English language activities.
3.3 To increase the confidence of the school community to communicate in
English.

4.0 HIP Mentor Project Structure


4.1 HIP Mentor Tracks
 Teachers - HIP Mentor will strengthen teacher capacity by conducting
workshops/seminars, develop communicative confidence among teachers
and share experience of types of HIP activities
 Students - HIP Mentor will cooperate and collaborate with teachers to
support student learning, increase exposure time to English language
outside the classroom and assist in conducting out-of-class activities for
students
 HIP Coordinator - HIP Mentor will strengthen coordinator capacity, share
ideas/strategies and support the HIP Coordinators to implement HIP
activities.
4.2 Target
 One HIP Mentor to three schools
 Level 1 and Level 2 HIP schools
 Engagement in school – 2 hours in a week x 3 schools = 6 hours a week
4.3 Timeline
 Project Time Frame – June to November 2020

5.0 Roles
5.1 HIP Mentors will guide the HIP Coordinator and teachers to develop and
implement out-of-class activities, conduct workshops and seminars for
teacher development as well as guide the HIP Coordinator and teachers
to monitor student outcomes.
5.2 School head will get to know the HIP Mentor, share the needs of the
school with the HIP Mentor and oversee the implementation of the HIP
activities.
5.3 HIP Coordinator will coordinate and implement online activities guided by
the HIP Mentor as well as coordinate workshop/seminar sessions
organised by the HIP Mentor for the teachers.
5.4 Teachers will conduct HIP activities assisted by the HIP Mentor and
evaluate the HIP activities with guidance from the HIP Mentor. 
5.5 JPN/ELTC acts as a mediator between state, school and HIP Mentor to
oversee the implementation of the project in schools, support the HIP
Mentor and conduct an impact study.  
6.0 Operational Procedures for HIP Mentors
 Get to know the School Head and HIP Coordinator.
 Find out the level of immersiveness and the types of activities that the
school has conducted prior to the project.
 Identify the type of support required by the school.
 Correspond via online i.e Google Meet, Microsoft Teams, Zoom, Skype,
 WhatsApp, email, phone calls.
 Have an online first meeting with the school head and the HIP
Coordinator.
 Have a meeting with HIP Coordinator.
 Guide HIP Coordinator to develop activities.
 HIP Coordinator will organise the implementation of activities in the
 school. HIP Mentor will be act as the moderator.
 Discuss and plan HIP activities that can be done with teachers.
 Guide teachers to develop and implement HIP out-of-class activities.
 Guide teachers to monitor student outcomes.
 Conduct online out-of-class activities.
 Identify the best practices of the school to be highlighted to the secretariat.
 Create an online fun learning environment for the students that promotes
meaningful and active engagement.
