Warmest Greeting from Lafayette Boutique Hotel!

We are delighted to learn your interest in holding your above mentioned event at Lafayette
Boutique Hotel Yogyakarta. Based on your requirements recently, we have prepared the
following arrangements for your review and perusal.

Please review and confirm the minimum guarantee of attendance at least five (5) business days
prior to the event. To assure adequate food and staff, a minimum guarantee of attendance must
be received by 12 pm five (5) business days prior to your event. This is the minimum number of
guests for which you will be charged. Once guaranteed, the attendance can be reduced
before 2 days check in. Should the actual number of guests exceed the guarantee, you will be
billed for the actual number of guests in attendance to your event.

Any additional requirement of function space usage or equipment, can be provided subject to
availability with forty-eight (48) prior notice and applicable charges accordingly.

Charges will be based on guaranteed number of persons, or the actual attendance, or the
minimum guarantee of charges at acceptance, whichever is greater.

SERVICE CHARGE & GOVERNMENT TAXES


Prices quoted are subject to 21% Service Charge and applicable government taxes, unless
otherwise indicated.

RATE CONFIDENTIALITY
All rates should not be disclosed, directly or indirectly, unless explicit written approval is given
by the Hotel.

HOTEL PROVISION
Unless previously agreed by the hotel and at applicable corkage rate, no food and beverage
shall be allowed to be brought or consumed in the hotel premises.

MINIMUM GUARANTEED
The Client agrees to a minimum guarantee of persons attending the function or a minimum
guarantee of charges for food, beverage, room fees, and event package fees. A final number of
guests and invitees to be served must be received by the Hotel at least five (5) business days
prior to your function date. The Client agrees to pay the guaranteed number of persons, or the
minimum guarantee at agreement acceptance or the actual number of attendees at the event,
whichever is greater. Should the actual number of guests exceed the guarantee, you will be
billed for the actual number of guests in attendance to your event.

DECORATION & BANNERS

Banners, backdrops and other promotion materials not allowed to be displayed in any public
area of the hotel, instead only in the designated function room reserved. The client is kindly
requested to ensure that any set-up for props and backdrops installed by the client or the
client’s appointed contractor.

SECURITY DEPOSIT

Hotel requested a security deposit to cover damages occurred during the installation of the set
up and tear down of the decoration, if occurred, caused by the appointed vendors from the
organizer, after fully checked together with the Banquet Operation and hotel security at the end
of the event.

The nominal of estimated charged is required to cover the event at ballroom& rooms. The
money should be transferred to hotel’s account as stated below or paid by cash or credit card
open, before the Loading Letter produced by the hotel.

The full amount of money will be returned to the organizers / vendors. In the situation that the
damage is occurred, the calculation of the charges will be given to vendors / organizers within 2
(two) working days. If the damage is greater than the security deposit received, the vendors /
organizers should pay the actual charges.

ELECTRICITY POWER SUPPLY

The hotel will cover the electricity supply for the function rooms; air conditioners, standard
lighting and others up to maximum {1700 watt for Meeting Room} Additional charges will be
applied for more consumption then above at IDR 10.000/kwh/hour

TERM Of PAYMENT

 All Charges should be settled by Invoice


Important:
 The strict respect of the “Payment” delay will guaranty your
reservation. In case of non respect, the hotel has the right to
cancel the booking. In such a case, the hotel will keep the
payment already done.
 Settlement of Group Master Accounts can be made in the form of
Cash or Bank Draft or Telegraphic Transfer. Credit card
settlement of the Group Master Account will be accepted if
previous arrangements have been made with the Hotel.

All prices quoted in this agreement are stated in INDONESIA RUPIAH. If necessary, the hotel
will claim from the client any loss on the exchange arising from accounts being settled in other
currencies.

CANCELLATION POLICY

The following charges for the event will be applied if this booking is totally cancelled:

Within 11 days 50% of total contracted function charges

Should for some reason the event is postponed the same terms and conditions will be applied
as cancellation policy.

PREDUCIAL ACTIVITIES
In the event of illegal activities and/or activities which are in conflict of interest with the Hotel, the
hotel reserves all the right to immediately cancel any reservations and/or evict any
accommodations and shall be fully indemnified and saved free from all claims, suits, losses,
damages of any kind

FORCE MAJOR
The hotel will not be held responsible for failure to execute obligations specified herein directly
or indirectly occasioned by or through or in consequence of war, strikes, riots and acts of God or
conditions beyond the control of the Hotel or the Client.

make any amendments. We would appreciate your approval and confirmation by signing and
returning a copy of this letter by ASAP. We will then contact you to finalize all outstanding detail
