MAINTENANCE OF CRITICAL EQUIPMENTS AT CLOSED STORES (DUE TO LOCKDOWN)

Timely and periodic maintenance or regular checks of all critical equipment installed
at our stores is essential in order to ensure that all sites are protected against any
unwanted mishaps, specially fire hazards and intrusion.

This is also important from the perspective that time and energy of our field team as
well as management is completely focused on fighting Covid-19 crisis and support
the community during this difficult time.

List of Equipment to be monitored:


(This is focus on following equipment but not limited to):
1) IT equipment & server
2) Air Conditioning system
3) CCTV and monitoring equipment
4) Fire Panel & detection system
5) MHE battery charging sets
6) Lifts & escalators
7) DG set
8) Chiller / Freezers
9) Electrical Panels, Stabilizers, UPS Battery, MCBs, etc.
Points to be kept in mind while maintenance / checks of equipment:

1. Before starting inspection team needs to look for any foul smell also, should
allow fresh air circulation for few minutes and enter only in found safe to enter
or switch-on the lights.
2. Maintain social distancing between team members during inspection, and use
proper PPEs like mask and gloves shall be worn throughout the checks.
3. Ensure all non-essential equipment are Switched-off and plugs are
disconnected from socket; includes fans, exhaust fans, Iron / steam press,
POS machines, machines in Karigar room, etc.
4. Fire extinguishers are kept in readily accessible location & healthy condition
at all times.
5. Fire Panels & detection system, CCTV & other monitoring equipment shall
function as per the guidelines given by SLP team and should be in healthy
state at all times with intranet or IT connectivity for signal transmission.
6. Ensure all lifts and escalators (wherever applicable) are switched off.
7. Wherever applicable, if MHEs are not in use, MHE battery charging area shall
be switched-off and disconnect the plugs.
8. Expect for server & UPS room or any such critical area, air conditioning /
HVAC system shall be completely switched-off.
9. Electrical panels & UPS battery needs to be checked regularly and ensure they
are properly maintained.
10. IT server and IT equipment shall function as per the guidelines given by IT
team and should be in healthy state at all times.
11. DG sets shall be maintained as per the guidelines given by FM team. Advisable
not to keep stored Diesel in open area.
12. In case of food items stored in Chiller / Freezer, it shall be maintained in
healthy condition. If no stock is stored, chiller / freezer shall be switched off.
13. Check for any temporary electrical connections. All such connections shall be
immediately removed
14. Check for any rodent traces as the chances of rodent rampage in lockdown
period will be high and suitable control measures shall be deployed.
15. Check for any water leakage or other fire hazards like overstocking of fire
prone materials in panel room
16. If any deviation is noticed from above points, immediately call log shall be
raised by respective teams (SLP/IT/FM)
17. Before leaving the premise all switches/equipment, etc. which are not
required, to keep switched off again

Frequency of checks:

1) Within 12 to 24 hrs in case of call log


2) For locked premises, at least once in a week.
3) Maintenance schedule to be decided by particular team (FM/SLP/IT) and
share with other stakeholders for joint visit.
Process of Inspection:

1) To ensure the safety & security of stores, visits shall be planned as per
requirement to carry out inspection/maintenance of all critical equipment
mentioned above.
2) Any complain or call needs to be attended on priority.
3) Necessary permission letter / pass shall be obtained / available for
movement in that area.
4) A simple and handy visual checklist shall be prepared and shared with
other counterpart team members, so that minimum people are required to
visit one site.
5) After every check the status of critical equipment shall be shared with other
team immediately over mail / whatsApp / Jio chat etc.
6) Weekly report giving site wise maintenance details shall be published by
all equipment owners.

Note: Top most priority shall be to eliminate the chances of any fire incidents, if
required a decision should be made giving priority to fire risk elimination over
business data protection or surveillance monitoring. This is important as we
know that currently in most cities fire tankers and fire fighters are used for
sanitization purpose.
