Chairperson:
1. Chairperson can be a Male/Female candidate from final year.
2. Deciding the dates for CAPE and getting permission for the same from VC.
3. Final decision making in all the meetings, but including decision made by vice-
chairperson and secretary.
4. Extending formal invitation to the chief guests.
5. Formal invitation to the faculties.
6. Conduct elections for the second years.
7. Organize the chapter members for the events that are to be held.
8. Form the teams for CAPE.
9. Contacting AD regarding the progress of CAPE.
10. Manage all the teams in CAPE and pull it together resolving the issues among them.
11. Ensure proper working of every team and pull in juniors for the chapter work.
12. Watch the marketing team closely and be well informed about the sponsors.
13. Manage the expenses and make sure it is not spent lavishly.
14. Conduct elections for the III and II years.
15. Preparing the annual report.

Vice Chairpersons:
1. Vice-Chairperson should be of two people, One Female candidate from final year and
One Male candidate from final year.
2. The candidate from third year will be one among the main authority and he will be
representing his class.
3. On Getting approval from VC for the conference, along with Chairperson.
4. Being the overall event coordinators for the departmental activities.
5. Making the invitations, event management list and also inviting the faculties, both in-
person and also sending e-mails.
6. Conducting time-to-time council meets.
7. Updating the IIChE Student Chapter drive after the completion of the events.
8. Preparing Souvenir and Year Book for that academic year.
9. Assisting Chairperson regarding the CAPE teams.
10. Conducting heads and overall team meets before CAPE and ensure everything is properly
done from time-time.
Secretary:
1. Secretary can be a Male/Female candidate from final year.
2. To maintain the MoM (Minutes of Meeting) notebook which contains a record of all the
meetings that were conducted along with the agenda of the meeting, a summary of the
discussions made on the given day and a list of the members who attended (including
their signatures).
3. To get the required permission to conduct events through the academic year. Prior to each
event, various permissions such as permission to use the auditorium, AC, projector, lamp,
table cloth etc.,
4. He is responsible for coming up with ideas for events that are to be conducted and for
obtaining the funding for the events.
5. The Secretary must also look into the splitting of students into various teams and
assigning them specific roles to ensure proper functioning and management of all
required activities to make sure the event runs smoothly.
6. To coordinate with the other council members of CAPE and invite the chief guests for the
events that are conducted.

Treasurer:
1. Treasure can be Male/Female candidate from final year, preferably hosteller.
2. Renew the amount in the Fixed deposit savings account
3. Collect the IIChE Corpus fund from Second years, Third years, and Fourth years and take
a DD for the IIChE Student Chapter membership of Second years
4. Take a printout of all three years’ key list and get it signed from each person to have a
proof for the above stated income
5. Make a note of every income in the income notebook and update the excel sheet on a
day-to-day basis
6. Make a note of amount given along with the concerned person’s signature in the
advances column before giving money to any member
7. Make it sure to collect the bills for each expenditure and reimburse any amount if needed
8. Stick the bills in the bill book from the backside of the bill book neatly and write the page
total at the bottom of each page
9. Write receipts for every income received and do not forget to stick a revenue stamp and
sign over it in the receipt, if the amount given is greater than or equal to INR 10,000
10. Get the bank statements in regular intervals and be UpToDate with the tally. Update the
passbook as and when required.
11. Update the latest version of excel in the google drive every once it is changed.
12. Upload the excel sheet comprising of the income and expenditure at the end of every
event
13. The overall excel sheet is to be updated by referring the previous years’ format.
Executive Members:
1. Executive members should consist of eight members, Two Male and Two Female
candidates from final and third year.
2. Will be assisting, supervising and executing the events.
3. Keep things updated to other council members and classmates. About event schedule,
timings, etc.
4. Brief check list should be prepared before any event.
5. Individually responsible with respective allotted and assumed work.
6. Work like printouts, memento, refreshments, auditorium arrangement, infra materials and
also includes other material distributional works.
7. Framing the planning panel with members before any event, in advance.
8. Updating things in drive after the event.
9. Should file the hardcopy of the files in a separate folder.
