Storing and classifying your e-Portfolio Artifacts

Introduction

Your e-portfolio serves as an instrument to facilitate self-assessment and hetero-assessment and it also helps you to
keep a collection of artifacts you produce in the e-learning platform or in other websites associated to your English
learning process in PIFLE. It helps you to organize, archive and display pieces of your own work. Below, you will find
instructions on how to archive, organize and share your e-Portfolio.

What are artifacts?

Artifacts are all digital files you produce during your learning process; in this case, your e-Portfolio compiles all
artifacts produced in relation to your learning process in PIFLE. They could be videos, written pieces of text, forum
participations, evidence of self-reflection, evidence of independent work, and so on. They demonstrate the
achievement of a goal and attainment of knowledge and skills. In your e-Portfolio, you can include a wide variety of
artifacts that are not limited to what you do in the e-Learning platform; on the contrary, you are encouraged to add
artifacts demonstrating independent work, inside or outside PIFLE’s e-learning platform.

Artifacts help you document your best work and demonstrate you have accomplished the goals proposed for PIFLE
during your learning process. Organizing your artifacts will also help you build your personal and academic identity as
you complete assignments and reflect on your capabilities and progress with the help of the self-assessment
checklists and the holistic scoring scales that accompany the e-Portfolio.

With the following recommendations, you will set up your e-Portfolio digital storing space in less than five minutes:

1. Create a folder to store your e-Portfolio artifacts and keep track of them

Create a Google Drive folder in your institutional account with the word e-Portfolio followed by your name, as shown
in the figure below.

Then, create a folder structure, as follows, to store artifacts corresponding to each e-Task.

2. Classify your artifacts

Create a table like the one below in Google Docs or Google Sheets to list the artifacts, as suggested. Place the table
in the root folder of your e-Portfolio:

It will help you to keep track of the artifacts you store in Google Drive, as well as the ones that might be stored in one
of the many external websites that you could use to design and do your homework, or carry out independent learning
activities. As you begin to add artifacts to your e-Portfolio, it is recommended that you include them in the table. It is
not recommended to fill the table at the end of the term. It might be difficult to register all artifacts at once.

3. Share your e-Portfolio

When required by your tutor, share your e-Portfolio. In other for your tutor to be able to access it, you have to share
it, as shown in the image below.

Make sure the option “Can organize, add, & edit” is selected when sharing your e-Portfolio. This way, your tutor will
be able to make corrections, suggestions or adjustments.

4. Recommendations:

 Convert all attached or uploaded artifacts into web-compatible formats (i.e: JPEG or PDF) so that you and
your tutor will not need to own the original software in order to read it (i.e., Microsoft Office, Publisher, etc.).
 If you use external websites to produce and store artifacts, make sure you keep a copy of what you have
produced or designed in your Google Drive folder. If you cannot download or keep an offline copy, make
sure you add a link to your List of Artifacts file that can be accessed by your tutor.
 If you want to upload an artifact you designed or wrote on a piece of paper or any other analogic medium,
make sure you scan it at a proper resolution so it is readable on screen.
