 DESCRIPTIONS  
 
PRESIDENT  
 
(By-­‐laws-­‐-­‐  Article  II  ,  Section  1    )  
 
It  shall  be  the  duty  of  the  President  to  preside  at  all  meetings  of  the  Society,  to  
appoint  all  officers  not  elected,  appoint  all  committees,  the  Editor  and  the  Board  of  
Directors.  
 
The  President  is  a  member  of  all  committees  but  will  not  be  counted  in  determining  
a  quorum.  
 
Responsible  for  designating  times  of  the  Annual  Business  Meeting.  
 
Authority  to  sign  checks  if  the  Treasurer  is  unable  to  perform  duty  and  may  approve  
advance  payments  but  receipts  for  same  must  be  submitted  in  designated  time.

In  General:  
    Appoint  Standing  Committees  
1. Auditing—at  least  two  member  audit  in  time  for  report  at  
Annual  Business  Meeting  
2. Nominating—3  members  to  select  5  candidates  for  five

VICE-­‐PRESIDENT/SHOW  CHAIR  
 
The  Vice-­‐President  shall  preside  at  all  meeting  in  the  absence  of  the  President  and  
shall  assist  the  President  in  carrying  out  the  duties  of  his  or  her  office.  
 
(By-­‐laws—Article  II,  Section  2,  Article  III,  Section  5)  
 
Enter,  when  appropriate,  a  Past-­‐President  Award  in  competition  
    °$25  award  to  the  winner—paid  by  the  State  Society/Treasurer  
  *    Appropriate  when  the  Past-­‐President  passes  away  
  *    Contact  the  person’s  local  club,  a  relative  or  a  close  friend  and  draft  the    
         award  in  the  Past-­‐President’s  favorite  button  division  &  category.  
  *    Write  an  interesting  article  for  the  IBB  briefly  telling  about  the  Past-­‐        
         President;  
    Examples:   Who  is  the  person  
        How  long  a  member  of  Indiana  State  Button  Society  
        When  he  or  she  was  President  
        How  he  or  she  became  interested  in  buttons  
        The  person  favorite  button(s)  
        Include  a  picture  if  possible  
     
Determine  location  of  State  Show.  
 
Determine  THEME  of  the  Show.  
  *      Arrange  for  purchase  &/or  design  of  FAVOR  BUTTONS.  
 
Negotiate  and  sign  contract  with  the  hotel.  
 
Determine  square  footage  of  showroom  (currently  @  7000  sq  ft)  
  *    Table  space  for  Dealers  
  *    Raffle  area  
  *    Award  display  area  
  *    Registration  space  
Secure  Dealers-­‐-­‐send  letter  in  October:  
     Include  Dealer  contract.    
  >Include  copy  of  Show  Awards.  
     Include  SASE  for  response.  
 Receive  Dealer  contracts  w/  partial  deposit  
                        Send  Checks  to  Treasurer  w/  #  Dealer  tables,  dues  &  any  ads.  
 
Show  Chair  determines  Layout  of  tables  /Dealer  assignments    
 
Arrange  for  Award  Display  Racks    
  •    Set-­‐up  at  show    
  *    Storage  between  shows

Room  for  Annual  Breakfast  Meeting.  (@  1800-­‐2000  sq  ft).  
  *    Menu  &  cost  including  Favor  Button  
  *    Centerpieces  to  be  given  or  auctioned  
 
Room  for  judging.    (same  as  Breakfast  space?)  
 
 
Include  Reservation  Info  in  Fall/Winter  Bulletin  (to  Editor  by  Oct.  15)    
  *    Provide  Breakfast  Reservation  form/Cost  w/Treasurer  info    
  *    Provide  Hotel  Reservation  info/phone#  and  show  rate.  
   
Arrange  w/  hotel  for  Hospitality  table...confirm  if  snacks  may  be  brought  in  
  *    Coffee  &  Water  
  *    Donations  of  Nuts,  Candies      °Remember  Diabetics!  
 
Reserve  Block  of  (80?)  rooms  with  hotel  w/  show  rate.  
 
Meet  w/  sales  office  of  hotel  for  setup  and  requirements  of  3  day  show.  
  *    2  weeks  before  show;  hand  deliver  showroom  layout  to  hotel.  
 
Arrive  1  day  early  to  secure  space  &  keys.    Room  Pd  for  1  night.  
  *      Allow  the  Dealers  to  set  –up  Eve  before/Morning  of  Show.  
  *    Present  with  snack/fruit  basket    
 
DUTIES:  
  Set  up  (and  storage)  of  ISBS  Display  Racks  
  Temperature  in  show  room  
  Problems  w/  hotel  
  Must  be  present  w/  Security  to  open  showroom  each  morning  
  Must  be  present  to  lock  all  doors  each  evening  of  the  show  
 
MANAGEMENT:  
  Make  sure  someone  is  in  the  showroom  at  all  times.  
  Provide  at  Registration  Table  list  of  State  Club  locations  and  contact  info  
 
Announce  the  theme  of  next  years  State  Show  at  the  Breakfast  Banquet.  
 
Make  sure  each  Club  knows  its  Committee  Assignments  for  next  years  show.  
 
Provide  a  record  of  #  who  attended,  #  of  dealers  and  #  of  hotel  rooms  reserved.    
 
Write  a  report  of  State  Show  after  the  show  and  give  to  Editor  by  June  15th

SECOND VICE PRESIDENT/COMPETITION CHAIR

The Second Vice President shall be in charge of the competitive classification and assist
in the judging room.

(By-laws—Article II, Section 3, Article III, Section 5 )

Familiar with past competitions and has been a past judge.


Oversees all Judging decisions.

Provide for Fall/Winter IBB: Novt 1st

*Award Request Slips for next years State Show

Receive Awards from clubs & individuals:


Make sure awards are correct. Get approval from clubs or individual
before correcting or rewriting any award.

>Consolidate award listing for next year show & send to Editor
Preliminary list for Spring bulletin (Due by April 1st).
Final list for Summer bulletin (Due by Aug 1st).

Order Ribbons if needed: A-1 Awards/21st & Ritter Ave.

Ask/Email (at least 2 months before show) knowledgeable individuals to Judge:


2 Judges/1 Clerk per @6 Awards
Must have been a Clerk for 2 yrs.
Out-of-state Judges receive $25 stipend (full duration of judging).
All Judges receive a lunch.

>Create Judging Sheets for each award category (2 copies each/Judges,Chair)

>Create 4x6 Judging Cards for each award (1 ONLY for each award category)

*Provide Check-In Sheet (1 ONLY)

Check in trays at State Show/Clerks assist


Collect $1 per tray up to 15 then $0.50 each/ Non-competitive does not pay.
Record Entrant # on each tray slip.
Check Award Class/Sec./No. Buttons.

Trays  check-­‐  in  between  8-­‐930am  Saturday  of  the  Show.  
Judging  starts  promptly  at  10am.  
 
Arrange  for  Judges  lunch  
 
No  one  allowed  in  Competition  Room  unless  a  Judge,  Clerk,  Runner  or  Chair.  
 
Once  Check-­‐In  is  completed:  
Count  trays=Number  entered.  
Balance  entry  $  with  number  of  trays.  
         
 Clerks:  
  Stack  trays    according  to  award  #...wood  trays  on  bottom!  
  Put  4x6  Judges  Card  w/  correct  entry  stack.  
  Add  entry  #’s  on  back  of  card.  
  Write  total  number  of  trays  on  front  of  card  in  u/r/c.  
                         Compare    Award  #s  on  trays  w/  numbers  entered  on  Check-­‐In  sheet.    
  When  judged,  stack  on  table.  
   
Runners:  
  Count  &  measure  buttons  per  award  before  they  go  to  Judges.  
Put  ribbons  on  trays.  
Give  4x6  Cards  to  Chair.  
 Hang  Awards  serpentine  style  in  numerical  order  on  Show  Racks.  
*Awards  out  of  sequence  may  be  hung  as  long  as      
 appropriate  no.  of  spaces  are  left  for  those  not  yet  judged.  
 
 
Awards:   Less  than  3  entries  /  1st  &  2nd  place  awarded  
    3  entries/  1st,  2nd,  &  3rd    awarded  
    1  entry/Merit  award  
    More  than  2  entries  but  only  1  valid/1st  place  awarded  
*  Special  Awards—Get  $$  from  Treasurer  and  put  in  envelope  to  present  at  Banquet  
 
Supplies:  Pencils,  measures,  dots,  Scotch  tape,  scissors,  erasers,  masking  tape,  
  Reference  Books,  extra  lights  for  Judges,  extra  tray  slips  &  entry  sheets.    
 
 ANNOUNCE  Competition  Awards  at  the  Breakfast.  
 
Give  IBB  Editor  list  of  the  Awards  &  the  winners  of  each  by  July  1st  to  be  published  in  
the  Summer  Bulletin.

SECRETARY  
 
The  Secretary  shall  keep  a  record  of  all  meetings  and  keep  a  roster  of  all  members.  
 
(By-­‐laws—Article  II  ,  Section  4)  
 
MARCH     Send  the  Secretary  of  the  National  Button  Society  the  new  officers  for    
    each  State  Club  immediately  after  the  State  Button  Show  in  March.  
 
OCTOBER   Send  to  the  National  Button  Bulletin  the  dates  of  next  year’s  show,  
    including  location  and  hotel  room  costs  (see  National  Button  Bulletin    
    for  info  on  sending  announcement  of  the  State  Show  for  the  Calendar    
    of  Events.)  
 
 
Keep  list  of  Past-­‐Presidents  
Take  minutes  of  Board  Meeting  
Read  minutes  of  Board  Meeting  at  General  Meeting  of  the  members.  
Take  minutes  of  General  Meeting  of  the  members.  
 
Prepare  a  report  of  the  General  Meeting  of  the  members  and  provide  to  the  Editor  
for  publication  in  the  Bulletin.  
 
Manage  the  correspondence  received  by  the  Indiana  State  Button  Society.  
 
Maintain  &  keep  Indiana  State  Button  Society  records.  
 
Send  Thank  You  postcards  for  donations  made  at  State  Show.

TREASURER  
 
The  Treasurer  shall  collect  the  annual  dues,  receive  all  monies  for  the  Society,  pay  
all  bills  and  submit  an  itemized  annual  report  to  the  Society.  
 
(By-­‐laws—Article  II  ,  Section  5)  
 
Maintain  bank  accounts  for  ISBS  funds.  
 
Deposit  all  income  and  pay  all  bills.  
 
Prepare  an  annual  statement  at  the  end  of  the  fiscal  year  and  provide  to  the  Editor  
for  publication  in  the  Bulletin.  
 
Collect  dues  and  maintain  accurate  membership  list.  
 
  Collection  of  Dues:  
1. Provide  Editor  with  membership  notice  and  form  no  later  than  
March  1  for  publication  in  the  Spring  Bulletin.  
2. Set-­‐up  and  monitor  place  for  collection  of  dues  and  forms  at  every  
State  Show.  
   
  Maintenance  of  Membership  List:  
    1.      Maintain  renewal  forms  with  notation  of  check  #  or  ‘cash’  and  date    
                 paid.  
    2.        Compile  a  list  and  forward,  no  later  than  June  1st,  copies  to  the    
                   President  and  Editor  for  Publication.  
    3.        Advise  Editor  and  Dealer  Chair  of  when  additional  members  join.

EDITOR

The Editor shall have complete charge of the Bulletin. Three (3) Bulletins of the
Indiana State Button Society shall be issued yearly provided the finances permit.
Paid $60 per year.

Publish Tray Slips in Fall/Winter Bulletin (Nov.).

Publish Awards list for following year in Summer Bulletin (Aug).

Publish Minutes of Board Meeting in Spring Bulletin (Apr.).

Publish Financial Report in Spring Bulletin (Apr.).

Maintain assignment of articles list and inform each local club of their due date.

Write a ‘Letter from the Editor’ for inclusion in each Bulletin.

Determine, with the Treasurer, the amount to be charged for Advertising in the Bulletin
to help offset the cost of postage & printing.

PURPOSE:  To  Promote  the  Show  to  the  community.  
 
Contact  Local(where  the  show  will  be  held)  
  TV  Stations—Calendar  of  events  
  Radio  Stations  
  Newspapers—surrounding  area  and  free  publications,  too  
 
Contact  local  Visitor’s  Bureau        
  Send  8  months  in  advance  to  include  in  their  publications  &  websiteCreate    
 
4-­‐Up  Ad  for  Fall/Winter  ‘Indianapolis  Button  Bulletin’  (Due  Oct.1)  
    Others  can  then  copy  and  post  in  their  area  
 
Send  Show  information  to  the  Editors  of  surrounding  States  
(names  listed  in  National  Bulletin)  
°Illnois  
°Michigan  
°Ohio  
°Iowa  
°Wisconsin  
 
POST  FLYERS  in  antique  stores,  craft  stores,  and  antique/collector  magazines.  
  Usually  mags  will  advertise  1  time  for  free...  
   
  FLYERS—make  colorful  and  eye-­‐catching

Send  State  Clubs  a  flyer  asking  club  members  to  make  copies  and  post  in  antique  
  shops,  libraries,  college  art  dept.,  quilt  shops—anywhere  button  collectors  
  might  be  lurking!  
 
In  charge  of  having    the  ‘Display  Window’  at  the  Holiday  Inn  decorated  1  month    
  before  show  begins.      
  *      Dimensions:  60”  w    X    25.5”h  each  X    @  13”  d    (2  shelves)        
*      Must  get  key  at  end  of  show  to  take  display  down.    
 
$150  budget  designated  for  publicity—contact  Treasurer  concerning  fees  
imposed.

REGISTRATION        [Post  copy  of  Showroom  Rules  &  Regulations]  
 
Greet  all  attendees  in  a  friendly,  welcoming  manner.    Answer  any  questions.  
Let  them  know  we’re  excited  they  are  there.  
 
Registration  table  must  be  manned  at  all  times.  
 
Develop  a  sign-­‐up  sheet  for  one-­‐hour  table  shifts  
  *    Do  this  as  far  in  advance  as  possible  
  *    May  be  staffed  by  any  State  Member  
 
Collect  Entry  Fee  
  *    Cash  box  and  $20-­‐$30  in  ones  &  fives  
 
Sign-­‐In  Sheets  for  guests    
  *    Name  &  Address  
                           *    Collect  in  Registration  Binder  
 
Name  Tag  Cards  (from  the  Program  designer)  
  *    Ask  if  this  is  an  individual’s  first  time  at  a  Button  Show.      
             °If  so,  put  a  Gold  Star  on  the  name  card  (not  the  tag  holder).  
 
Name  Tag  Holders  (top  loading  to  allow  place  for  tickets,  folded  program,  etc.)  
 
POST  SIGN  w/  basket  or  box  to  recycle  name  tags  in.  
 
Provide:  
  *    Applications  to  join  Indiana  State  Button  Society.  
  *    Applications  to  join  National  Button  Society  (NBS  Secretary  has)  
  *    Examples  of  IBB  and  NBS  publications.  
  *    Flyers  &  Info  on  other  shows  or  button  related  announcement.  
 
Check  w/  hotel,  local  Chamber  of  Commerce  or  Convention  &  Visitors  Bureau  for  
  maps  and  information  on  the  area  to  provide.        
 
At  end  of  Show,  count  money,  note  on  front  of  envelope  and  give  to  State  Treasurer.

PRESIDENT’S  RECEPTION  &  JUDGES  LUNCH  
 
President  Reception  can  be  presented  in  one  of  many  ways:  
  It  can  be  appetizers,  a  simple  dessert  time,  or  assorted  ideas.  
  The  reception  is  meant  to  be  a  social  event,  not  a  meal.  
   
Choose  a  time  and  place  for  reception.  
Reserve  the  space  and  arrange  for  food  and  drinks  to  be  offered.      
 
Costs  must  be  approved  by  Board  of  Directors.  
 
In  lieu  of  payment  we  provide  all  the  judges  and  clerks  a  lunch.  
The  lunch  should  be  a  quick,  easy  meal  set  up  in  the  judging  room.

WAYS  &  MEANS  TABLE  
 
Purpose:  To  help  offset  costs  of  show  
 
Determine  how  money  will  be  raised...any  or  all:  
  *    Raffle  
  *    Silent  Auction  
  *    Sale  of  donated  items  
 
Ask  each  dealer  for  a  donation  (best  to  do  well  in  advance  of  show).  
 
Ask  each  State  Club  for  a  donation  (best  to  do  well  in  advance  of  show).  
 
IF  A  RAFFLE:      Determine  who  will  sell  raffle  tickets,  when  &  where  
  *    Make  this  info  clearly  known  to  all  in  attendance  in  order  to  get  a  large    
         response.  
  *    Try  to  offer  tickets  at  or  near  the  registration  table  during  showrooms  hrs.  
  *    Ask  for  volunteers,  in  advance,  to  sell  tickets  for  one  hour.  
 
   Obtain  Raffle  Tickets.  
 
   Provide  Bags  or  Containers  for  tickets.  
 
   Number  the  bags  or  containers  with  matching  raffle  item  #.  
 
   Sign  at  the  Registration  Table  announcing  raffle.  
  *    Cost  (eg;  $1  ea  or  6  for  $5)  
  *    Where  (from  whom)  to  purchase  tickets  
 
   Sell  Tickets  
  *    Best  they  write  name  &  contact  info  on  the  back.  
  *    Need  a  cash  box  or  a  safe  place  for  the  money.  
  *    Make  sure  someone  is  in  charge  of  all  the  money.  
     
   Determine  when  raffle  will  end  &  when  drawing  will  be  held  
  *    Make  sure  info  is  provided  for  printing  in  Program    
  *    Indicate  when  it  will  end  (usually  sell  last  round  of  tickets  at  the  
         Breakfast  Banquet).  
  *    Determine  if  person  has  to  be  present  to  win  
    °  If  not,  determine  how  winner  obtains  prize  (mailing  is  not    
         recommended!)  
 
During  the  raffle:  
  *    Have  several  helpers  lined  up  so  the  raffle  moves  along  smoothly.  
  *    Shake  tickets  really  good  so  everyone  feels  they’re  getting  a  ‘fair  shake’!

IF  A  SILENT  AUCTION:  
   
   Provide  bid  numbers  on  colored  squares  of  paper  
  *    Have  at  Registration  Table  but  don’t  depend  on      
               person  working  registration  to  do  this  job  
   
 Provide  3x5  cards  w/  matching  bid  #    
   *  Bidder  provide  name  &  contact  info  
   *  Keep  cards  filed  so  you  know  who  has  
                   which  bid  #  but    does  not  disclose  info  to  others    
 
Provide  an  information  sheet  and  pen  next  to  each  donated  item  (clip  bds  are  nice)  
  *    List  Item  Description  at  top  
  *    Bid  #_________________________      Bid  $______________________  
 
Determine  when  auction  closes  and  make  sure  everyone  is  aware  of  the  end  time.  
 
At  exact  time  auction  closes  collect  all  the  bid  sheets.  
 
Announce  auction  winners  by  Bid  #  and  collect  winning  bid  amount.  
  *    Checks  should  be  made  payable  to  ISBS.  
 
Determine  if  person  has  to  be  present  to  win.  
  *    If  not,  determine  how  winner  obtains  their  prize  and  how  ISBS  
         gets  the  bid  amount  (mailing  is  not  recommended).  
 
At  the  end  of  the  show:  Count  proceeds,  make  a  note  on  the  front  of  the  envelope  
     and  give  it  to  the  State  Treasurer.  
 
 
 IF  SALE  OF  DONATED  ITEMS:  
  *    Price  items  
  *    Determine  who  will  collect  the  money—have  the  table  attended  at  all  times  
 
 
However  the  money  is  raised;    
  Provide  sheet  for  those  making  donations    
    *    Get  names  &  addresses  
    *    Give  to  Secretary  to  send  Thank  You  postcard

 GENERAL  RULES  &  REGULATIONS  
 INDIANA  STATE  BUTTON  SOCIETY  
 
DEALERS:  
 
  Must  be  members  in  good  standing  and  have  paid  State  membership  dues  
when  applying  for  tables.  
 
  Dealers  are  limited  to  (4)  tables  per  dealer,  unless  the  showroom  allows  for  
more  tables.    All  table  assignments  are  at  the  discretion  of  the  Show  Chair.  
 
  Dealers  space  is  awarded  on  a  priority  basis  with  priority  given  to  those  
dealers  who  held  table  space  at  the  prior  year’s  State  show.    
 
  If  a  dealer  is  unable  to  attend  a  particular  year’s  State  show  or  leaves  the  
previous  years  show  early,  the  dealer  loses  his  or  her  priority  and  is  placed  at  the  
end  of  the  waiting  list,  if  any,  for  dealer  space.  
 
  A  dealer  who  reserves  dealer  space  and  then  must  cancel  that  reservation  
will  only  be  refunded  the  amount  paid  for  the  space  if  ISBS  is  able  to  fill  it  with  
another  dealer.    Final  payments  are  due  at  start  of  Show.  
 
  All  dealer  table  assignments  are  at  the  discretion  of  the  Show  Chair  who  has  
the  final  decision-­‐making  authority  regarding  dealer  space.  Please  remember  that  
the  space  that  is  available  in  the  showroom  and  the  number  of  tables  requested  by  
dealers  affects  the  dealer  table  assignments.  
 
  A  dealer  with  a  table  at  the  State  show  shall  not  be  the  Show  Chair  or  the  
Competition  Chair.  
 
   A  person  who  is  acting  as  a  Judge  of  the  competition  trays  is  limited  to  the  
entry  of  ten  (10)  trays  in  competition.  
 
   
Banquet/Reception  Tickets  
   
  If  an  individual  has  reserved  a  banquet/reception  ticket  and  subsequently  is  
unable  to  use  that  ticket,  the  ISBS  will  refund  the  cost  of  the  unused  ticket  only  if  the  
ISBS  is  able  to  cancel  the  reservation  with  the  hotel  at  no  cost  to  the  Society  or  if  the  
ISBS  is  able  to  sell  the  unused  ticket  to  another  individual.
