Preface

Under the industrial training, I got the opportunity to work for Sri Lankan Airlines in

Katunayake, Sri Lanka. Due to the requirement of Higher Diploma in Business Management,

I have practiced conducting, ISO 9001:2015 international quality standard for a process of

Instapack Packing Process of Export Items under Export Division of Engineering and

Procumbent Department.

I have identified the current management system and based the details; the ideal management

system was introduced through building a system chart and a Gantt chart. The difference

between the current management system and the ideal management system was the main aim

to reduce the overall time of the procurement process, without effecting to the quality

standers.

Throughout this project, you can observe the critical path that is visible in the Gantt chart,

which made the time reduction and the process of shifting the existing resources from the

non-critical activates to critical activates.

Through this project you can observe the quality standers that I have used to develop the

system chat, the Gantt chart, and the recommendations are also presented based on the

international standards.

This project had made the path to gain the practical experience form the industry to clarify

the theories which we had learned inside the lecture rooms. And the experience which I gain

through the training period had made an impact to achieve the success in my personal and to

my carrier life.

The successful and the final outcome of the research required a lot of guidance and assistant

Executive Summary

This research is focused on system issue at Engineering Logistics Export Division in Sri

Lankan Airlines. As a result of four systems there are some drawbacks. This is a prevailing

problem at Engineering Logistics Export Division and it affects to the Export team and the

Sri Lankan Airlines. Hence the purpose of this study is to identify the existing problems and

introducing the new system. Analysis of this data found that time wastage, Non-Eco

friendliness, lack of interest workers due to various problems such as poor knowledge of IT,

negative attitudes towards the subject. Employees were under pressure when there were

delays to handover the reports to the top management. By identifying these problems and

practicing the new method will be helpful to get rid of shortages. Introducing ERP system is

an essential task to produce good service for future.

Chapter 1- Introduction

1.1 Introductory Paragraph

1.1.1 Company Profile

Sri Lankan airlines has established in 1979, as an Air Ceylon. During the 1980s, the airline

increased the number of destinations. By 1990, Air Lanka served 26 destinations. In

December 1992, the airline purchased its first Airbus A320. In 1998, Air Lanka was

privatized to the Dubai Arab Emirates. Emirates and the Sri Lankan Government have signed

an agreement for a 10 years strategic partnership. The Government retained a majority stake

in the airline but gave full control to Emirates for investment and management decisions.

Later the name was changed as “Sri Lankan Airlines”. In 2001, Bandaranaike airport was

attacked by the terrorists. In 2014 Sri Lankan airlines officially became a member of one

world alliance. There are subsidiaries in Sri Lankan airlines as Sri Lankan engineering, Sri

Lankan catering, Sri Lankan ground services and Sri Lankan holidays etc. The vision of the

airline is to be the most preferred airline in Asia and since airline operates business in the

high dynamic industry of the air transportation. At present the airline operates 43 destinations

from its main hub located at Bandaranayke international airport.

competent, proactive and diligent team. Our contribution is recognized and rewarded.

1.1.2. Nature of Business Operations

Sri Lankan Airlines is an air transportation business. It provides a reliable and pleasant travel

experience for customers. It also provides business partners with a variety of innovative,

professional and mutually profitable services. It fulfills Shareholder expectations of

profitably marketing. Sri Lankan Airlines contributes its service towards the well-being of the

Society. It is a competent, proactive and diligent team and provides so many facilities to the

customers. It consists of a Duty free shop, online booking, Child care, Entertainment,

Business class and Economic class facilities etc.

1.2 Statement of the Problem

I have worked with an Engineering Logistics Export section. This is the section that

exporting Aircraft components for repairs, exchanging items with other airlines and returning

aircraft loan tools. This section acts as a major part in logistics field.

A new packing machine named ‘Sealed Air Instapack Machine’ is established recently (On

28th August 2018). There is much wastage due to several reasons. The main reason is lack of

interest workers due to poor technical knowledge. Therefore, it causes to increase time

wastage and resources wastage.

The gap between the desired state and current state.

Based on that, cycle time is planned to reduce by 34.37% without affecting to the normal

process.

1.3 Objectives (Purpose)

Furthermore, there are several objectives to be achieved, they are mentions as follows.

 To identify an effective current system- Examining and getting advice from experts

and getting details from the operators and technicians.

 Identified the barriers - Getting the help of experts to work at the beginning and

making opportunities to train the workers at the same time. Then the work efficiency

will increasing and gain more profits to the company.

 Installing the new system-Finding information and getting help from other airlines

which is using new systems. If we get help from other airlines the new technology

will come to the industry. Then we can run the process very effectively.

1.4 Significance of the Study

This report is important to reduce the overall time consumption and usage of resources of the

packing process of the export items. By grafting the system chat and Gantt chat had helped to

identify the waste time consumption of the process. And the recommendations are help to

improve the system to gain the maximum quality outcome.

Background
Literature Review

ISO 9001:2015 Standard

ISO 9001 is a standard that sets out the requirements for a quality management system. It

helps businesses and organizations to be more efficient and improve customer satisfaction.

With more than a million organizations certified to ISO 9001, it's the most widely recognized

standard in the world. It sets out requirements for quality management systems and is suitable

for all types of organizations.

ISO 9001 has been revised to reflect the many changes in the way we now do business – new

technology, greater access to information, higher customer expectations, globalization and

increasing importance of service industries.

ISO 9001:2015 has lost none of the rigour of the earlier versions, but cuts bureaucracy by

being less prescriptive and focusing more on the context of each organization. It guides

organizations to build a management system suited to individual needs without imposing

irrelevant paperwork or requirements which add no value.

 Takes a risk-based approach, becoming a tool for preventive action

3.4 Conceptual Framework (Project Planning Process)

Waste Minimization

There are several definitions of waste minimization promoted by governing bodies in the

International Community. The United States Environmental Protection Agency (EPA)

defines the concept as follows.

Waste minimization refers to the use of source reduction and/or environmentally sounds

recycling methods prior to energy recovery, treatment, or disposal of wastes. Waste

minimization does not include waste treatment, that is, any process designed to change the

physical, chemical, or biological composition of waste streams. For example, compacting,

neutralizing, diluting, and incineration are not typically considered waste minimization

practices. EPA's preferred hierarchical approach to materials management includes source

reduction, recycling, energy recovery, treatment, and finally, disposal.

In contrast, the United Nations Environmental Program (UNEP) uses the following

definition. Waste minimization refers to strategies that are aiming to prevent waste through

upstream interventions. On the production side, these strategies are focusing on optimizing

resource and energy use and lowering toxicity levels during manufacture. Strategies that are

considered to minimize waste and thus improve resource efficiency in or even before the

manufacturing process are, for example, product design, cleaner production, reuse of scrap

material, improved quality control, waste exchanges, etc. On the consumption side, waste

minimization strategies aim to strengthen awareness and prompt environmentally conscious

consumption patterns and consumer responsibility to reduce the overall levels of waste

generation.

5S Concept

5S represents Japanese words that describe the steps of a workplace organization process.

English equivalent words are shown in parenthesis

 Seiri (Sort)

 Seiton (Straighten, Set)

 Seiso (Shine, Sweep)

 Seiketsu (Standardize)

 Shitsuke (Sustain)

In simple terms, the five S methodology helps a workplace remove items that are no longer

needed (sort), organize the items to optimize efficiency and flow (straighten), clean the area

in order to more easily identify problems (shine), implement color coding and labels to stay

consistent with other areas (standardize) and develop behaviors that keep the workplace

organized over the long term (sustain).

Conceptual framework was designed based on the analysis literature presented on chapter 2.

In order to select the most appropriate variables for testing, a comprehensive literature review

was carried out and various methods was used by the researcher to get the feedback from the

relevant individuals to prove the hypothesis.

This illustration shows that Customer play a vital role in defining requirements as inputs. The

outcome of the management system develop based on the above international standard will

be achieved using the PDCA (P-Plan, D- Do, C- Check, A- Action).

Process Approach For Management System Development

i. Write the transformation process from begin to end using the current management

system-Process Chart.

ii. Write the above process end to begin- System Chart.

iii. Set the quality standard for each activity of the process- Quality Plan.

iv. Develop an effective and efficient method for each activity of the process- Method

Data base.

v. Allocate resources to each activity by considering the method of the activity-

Resource Allocation.

vi. Set the time standard for each activity- Time plan.

vii. Schedule resources to minimize process cycle time- Gant Chart

viii. Identify the critical and non-critical activities- Critical Path.

ix. Identify the floating time of each activity and balance the resources- Resource

balancing

x. Allocate more resources in to the critical activities and reduce the process cycle

3.5 Validity and reliability

The questioner for collecting data and information of the current system is based on the ISO

9001: 2015 International Quality Standard and 5S Standard. Therefore we can obtain reliable

information.

3.6 Scope and limitations

Scope

 In this project, the only considering area is packing process of the export items.

Limitation

 There are several issues which we have to face during the research. Mainly, I have to

respect to the organizational rules and regulations, especially about the data

collection. The second limitation is the failure of sample respondents to answer with

truthfulness; results might not accurately reflect the opinions of all members of the

included population.

 Time limitation as always will be highly putting pressure to complete the research in

due time.

Several methods are followed by the Engineering Logistics Department to send the items

safely in Air freight containers. CAT 1 Containers are used to send sensitive electrical items.

Instapack is used for Aircraft component packing. This material can be molded according to

the shape of the item. Air Bubbles, Papers, Clear Seal, Sponge and special polythene bags are

also used for packing. After details have sent the vendors make arrangements for booking

flights.

In the present contest Sri Lankan Airline using more resources such as Stationary items,

Packing materials and Polythene etc. If the Company is trying to implement the Eco friendly

items and utilize the resources the wisely then company can gets more profits competitively

with other airlines.

By exchanging aircraft components in quality Standards Company can gain more profits and

also increasing the good will of the company.

11) How to establish recorded to provide evidence of conformity to above requirements?

Studies about processing have done on theoretically, practically and experimentally. Studies

on Dangerous goods handling and packing are done under IATA Dangerous good

regulations. Apart from that an opportunity has given to study how to dispatch an item under

AURA system. The attention has given on INCO Terms when delivering items to the

consigners.

Constraints

The issue that I have identified is related to the company and I have asked questions from our

officers they also said that there is a system issue in Sri Lankan Airlines. I have compared

with other airlines regarding that issue and revealed there are no any issues in other airlines.

Then after our export team also help me to get the details. System issue has occurred mainly

due to the following reasons.

 They are not using modern technology.

Recommendations

If Sri Lankan Airline Ltd should implement these suggestions it would be help to manage the

system very effectively. In the future all the business organization should manage to reduce

resources. In the present contest Sri Lankan Airline using more resources such as Stationary

items, Packing materials and Polythene etc. If the Company is trying to implement the Eco

friendly items and utilize the resources the wisely then company can gets more profits

competitively with other airlines.

Besides, there are major four soft wares are used to handle the exporting process. But it is

difficult to handle. So I have recommended integrating four systems and developing

particular software for the department. It is very effective and efficiency for the company and

also utilize the resources and can manage the time very well. These are the things that I have

recommended.

 To identify an effective current system- Examining and getting advice from experts

and getting details from the operators and technicians. ( Eg: New Methods to Packing

Process, Maintaining the Machine properly )

 Identified the barriers - Getting the help of experts to work at the beginning and

making opportunities to train the workers at the same time. Then the work efficiency

will increasing and gain more profits to the company.

 Installing the new system-Finding information and getting help from other airlines

which is using new systems. If we get help from other airlines the new technology

will come to the industry. Then we can run the process very effectively.

By exchanging aircraft components in quality Standards Company can gain more profits and

also increasing the good will of the company.

Conclusion

I have selected for my internship in Sri Lankan Airlines for six months and I have done my

research within the first two months. I have gained lot of experience in Airline industry and

worked with very friendly staff team and manages time and utilize resources. According to

that research I have recommended to develop the system to enhance the work efficiency in

that exporting process.
