NAME FUNCTION
SLIDES/OUTLINE PANE The Slides/Outline Pane allows you to see all of your
presentation slides or an outline of your presentation.
STATUS BAR The Slides/Outline Pane allows you to see all of your
presentation slides or an outline of your presentation.
NOTES PANE This area is used for your speaking notes about a slide.
The audience does not see these notes, but you can print
them out as well.
THE RIBBON The most frequently used commands, like adding a new
slide or using different fonts, are found on the Home tab.
To change the design of your slide show, click on the
"Design" tab. To save your presentation, click on the
"File" tab.
TITLE BAR AND QUICK ACCESS TOOLBAR Above the Ribbon, you will see the title of your
presentation in the center of the gray title bar. To the left
of the title, you will see a set of buttons called Quick
Access tools. This little toolbar can be customized to hold
the commands you use the most like Save, Undo and
Redo.

HOME TAB
ICON FUNCTION
CLIPBOARD

Paste - Pressing the arrow below the Paste button will


display a list of the most common Paste Special options
including Paste Values and Paste Link. (Standard toolbar).

Cut - (Ctrl + X). Cuts the current selection to the


clipboard. (Standard toolbar).

Copy - (Ctrl + C). Copies the current selection to the


clipboard. (Standard toolbar).

Format Painter - Copies the format from a cell or range


allowing it to be pasted elsewhere.

SLIDES

New Slide - The button inserts a new blank Title and


Content Slide. The drop-down contains the slides: Title
Slide, Title and Content, Duplicate Selected Slides, Slides
from Outline and Reuse Slides.

Layout - The drop-down contains the commands: Title


Slide and Title and Content.

Reset - Reset the position, size and formatting of the slide


placeholders to their default settings.

FONT

Font - Provides a list of all the available fonts

Font Size - Lets you adjust the character size

Increase Font Size - Increases the font size of the current


selection to the next larger size in the Font Size box.

Decrease Font Size - Decreases the font size of the


current selection to the next smaller size in the Font Size
box.

Clear All Formatting - Removes all the formatting from


the current selection, leaving just the plain text.

Bold - (Ctrl + B). Toggles bold on the current selection.

Italic - (Ctrl + I). Toggles italics on the current selection.

Underline - (Ctrl + U). Button with Drop-Down. The


button toggles bold on the current selection. The drop-
down provides access to the Double Underline command.

Strikethrough - Draws a line through the middle of the


current selection.

Character Spacing - The drop-down contains the


commands: Very Tight, Tight, Normal, Loose, Very Loose
and More Spacing.

Change Case - The drop-down contains the commands:


Sentence Case, lowercase, UPPERCASE, Capitalize Each
Word and toggle case.

Font Color - The button changes the color of the font of


the current selection.
PARAGRAPH

Bullets - The button toggles bullet points on the current


selection. The drop-down contains the commands:

Numbering - The button. The drop-down contains the


commands

Decrease List Level - Decreases the indent by 1 or


removes the indent completely.

Increase List Level - Increases the indent by 1.


Line Spacing - Drop-Down. The drop-down contains the
commands: 1.0, 1.5, and 2.0. 2.5, 3.0 and Line Spacing
Options.

Align Text Left - (Ctrl + L). Aligns data to the left edge of
the cell.

Center - (Ctrl + E). Aligns data to the middle of the cell.

Align Text Right - (Ctrl + R). Aligns data to the right edge
of the cell.

Justify - Aligns text to both the left and right margins


adding extra space between the words where necessary.

Columns - The drop-down contains the commands: One


Column, Two Column, Three Columns and More Columns.

Text Direction - The drop-down contains the commands:


Horizontal, Rotate all text 90, Rotate all text 270, Stacked
and More Options.

Align Text - The drop-down contains the commands: Top,


Middle, Bottom and More Options.

DRAWING

Shapes – gallery

Arrange - The drop-down contains the commands: Bring


to Front, Send to Back, Bring Forward, Send Backward,
Group, Ungroup, Regroup, Align, Rotate and Selection
Pane.

Quick Styles - The drop-down contains the commands:

Shape Outline - The drop-down contains the commands:


Theme Colors, Standard Colors, Recent Colors, No
Outline, More Outline Colors, Weight, Dashes and
Arrows.

Shape Effects - The drop-down contains the commands:


Preset, Shadow, Reflection,
Glow, Soft Edges, Bevel and 3D Rotation.

EDITING

Find - Displays the "Find" dialog box.

Replace - The button displays the "Replace" dialog box.


The drop-down contains the commands: Replace and
Replace Fonts.

Select - The drop-down contains the commands: Select


All, Select Objects and Selection Pane.

Allows to insert another slide after another

Tables

Table - The drop-down displays the commands: Insert


Table, Draw Table and Excel Spreadsheet.

IMAGES

Picture - Displays the "Insert Picture" dialog box.

Clip Art - Displays the Clip Art Task Pane.

Photo Album - The button displays the "Photo Album"


dialog box. The drop-down contains the commands: New
Photo Album and Edit Photo Album.

ILLUSTRATION

Shapes - Consolidated drop-down list of all the shapes


including lines, rectangles, basic shapes, block arrows,
equation shapes, flow charts, stars and banners and
callouts.

SmartArt - Displays the "SmartArt Graphic" dialog box


which lets you choose from the following different types
of smartart: list, process, cycle, hierarchy, relationship,
matrix and pyramid.

Chart - Inserts a Microsoft Graph chart.

LINKS

Link - Displays the "Insert Hyperlink" dialog box.

Action - Lets you add an action to the currently selected


object. Displays the "Action Settings" dialog box.
TEXT

Text Box - Inserts a textbox that can be positioned


anywhere on the page.

Header & Footer - Displays the "Header and Footer"


dialog box.

WordArt - The drop-down gives you a choice of Word Art


styles to insert.

Date & Time - Displays the "Header and Footer" dialog


box

Slide Number - Inserts the current slide number at the


current position.

Object - Displays the "Insert Object" dialog box allowing


you to insert embedded objects.

MEDIA

Video – Button displays the “Insert Video” dialog box.

Audio - The button displays the "Insert Sound" dialog


box.

THEMES
Consists of different backgrounds. One can also change
the color of the background

PREVIEW

Preview - Preview the slide transitions for the active


slide.

TIMING

Duration – How long do you want your slide to be shown.

Apply to All - Set the transition between all the slides in


the presentation to be the same as this slide.

On Mouse Click - Lets you wait until there is a mouse


click before moving on to the next slide.

After - Lets you move to the next slide after a specific


number of seconds.

PREVIEW

Preview the slide animations for the active slide.

ANIMATION

Contains different animations where you can choose


from to add up a little design to your slide

SLIDESHOW TAB
ICON FUNCTION

START SLIDE SHOW

From Beginning - Start the slide show from the first slide.

From Current Slide - Start the slide show from the active
slide.

Custom Slide Show - The drop-down contains the


commands: Custom Shows. Custom Shows displays the
"Custom Shows" dialog box.

SET UP

Set Up Slide Show - Displays the "Set Up Show" dialog


box.

Hide Slide - Hides the current slide from the slide show.
Hidden slides are indicated in the top left corner.

Rehearse Timings - Launches a full screen slide show


allowing you to rehearse the transitions.

MONITOR

Resolutions - Displays a list of available resolutions.

Use Presenter View - Toggles the display of speaker view


on a second monitor.

PROOFING

Spelling - (F7) Check whether what you’ve type is correct

Research - Toggles the display of the Research task pane.

Thesaurus - (Shift + F7). Toggles the display of the


Research task pane defaulting the research service to the
thesaurus.

LANGUAGE

Translate - Translate the selected text into a different


language.

Language - Change the language used to check the


spelling and grammar.
COMMENTS

New Comment - (Shift + F2). Inserts a comment at the


current selection.

Edit Comment - Edit the selected comment.

Delete - The button deletes the selected comment. The


drop-down displays the commands: Delete, Delete All
Markup on the Current Slide and Delete All Markup in
this Presentation.

Previous - Goes to the previous comment on the active


worksheet/workbook.

Next - Goes to the next comment on the active


worksheet/workbook.

Show Comments - Displays comments and other


annotations. Previously Show Markup.

VIEW TAB
ICON FUNCTION
PRESENTATION VIEWS

Normal - Display the presentation in the normal working


view

Slide Sorter - Display the presentation in slide sorter view
for fast slide rearranging.

Notes Page - Display the presentation in notes view for


editing the speaker notes.

Slide Show - Allows you to view the presentation in full

Reading View - Allows you to check the presentation in a


book like view

MASTER VIEWS

Slide Master - Displays the slide master letting you


change the design and layout of the master slides.

Handout Master - Displays the handout master allowing


you to change the design and layout of the printed
handouts.

Notes Master - Displays the notes master.

SHOW

Ruler - Toggles the display of the horizontal and vertical


rulers.

Gridlines - Toggles the display of gridlines on the slides.

Guides - Toggles the display of guides on the slides


ZOOM

Allows you to see the slide near or far

COLOR/ GRAYSCALE

Color - View the presentation in color.

Grayscale - Displays the "Greyscale tab" (include link)

Black and White - Pure Black and White

WINDOW

New Window - Opens a new window containing a view of


the current presentation.

Arrange All - Tile all open windows side by side on the


screen.

Cascade - Cascade all the open windows so they overlap.

Move Split - Move the splitters to separate the different


parts of the window.
