SAP Singapore Office ‘Safe Re-opening’ Guidance


1) General staff are to continue with Work-from-Home (WFH) arrangements, till further notice.
2) General staff are to continue with telecommuting arrangements, to the maximum extent (conference calls,
virtual meetings).
3) Previously identified ‘essential staff’, during the Circuit Breaker (CB) Period, may continue to return to the
SAP Singapore Office, to conduct onsite essential business services, as required. These ‘CB-Period essential
staff’ had previously:
- Completed the ‘General Exemption’ Application List, in SAP SharePoint.
- Received prior ‘General Exemption’ MTI approval, for the duration of the CB period.
- Received the SAP-provided ‘Confirmation Letter for Employees and Service Providers of SAP’ document.
4) Post-CB Period, ‘additional essential staff’ may be identified, to return to the SAP Singapore Office, and
conduct onsite essential business services, as required.
5) For the scope of essential business services permitted on SAP Singapore Office premises, please refer to
the ‘SAP Scope of Onsite ‘Essential Business Services’ Section.
6) For the registration, and declaration, of ‘additional essential staff’ requirements, post-CB Period, please
refer to the ‘SAP Singapore Office ‘Safe Re-opening’ ‘Additional Essential Staff‘ Activity’ Section.

SAP Scope of Onsite ‘Essential Business Services’


1) Conduct of business-critical and continuity activities, that otherwise cannot be conducted via WFH, and
telecommuting, arrangements.
2) Completion of contracts, and transactions, that are legally required to be completed in-person, and on-
site.
3) Onsite access to specialized equipment/systems is required.
4) Onsite physical mail/parcel collection activities are required (can no longer be deferred, delayed,
postponed).
5) Onsite IT Services are required (can no longer be deferred, delayed, postponed).

Take Note:
- This applies to all essential staff on SAP Singapore Office premises.
- Where applicable, exceptions may be made, as required. Please contact Bryan Chua (Regional CMC), and
Jacqueline Gasper (LHRS) for assistance matters.

SAP Singapore Office ‘Safe Re-opening’ ‘Additional Essential Staff ‘Activity


1) Overview:
- It is imperative that WFH and telecommuting arrangements, be prioritized first. Please refer to the
‘SAP Scope of onsite Essential Business Services’ Section for further details.
- Only two staff groups will be permitted on SAP Singapore Office premises: i) ‘essential staff’, during
the Circuit Breaker (CB) Period, and ii) ‘additional essential staff, post CB period’.
- It is imperative that ‘additional essential staff’ returning to the SAP Singapore office, be kept to a
minimum, as much as possible.
- It is imperative that ‘additional essential staff’ are not forced to return to the SAP Singapore office. If
they are uncomfortable to do so, they may continue with the current WFH arrangements.
- In the event there is a resurgence of COVID-19 cases in Singapore, and the CB Period is re-activated,
‘additional essential staff’ will no longer be able to return to the SAP Singapore Office.
2) General staff are to collaborate with their respective people managers to identify suitable ‘additional
essential staff’, specific to their business function, services, and unit. Such identified ‘essential staff’ must:
- Fulfil the ‘SAP Scope of onsite Essential Business Services’ requirement.
- Be able to conduct all relevant activities, and where applicable, on behalf of staff not able to return
to the SAP Singapore Office.
3) Where applicable, ‘additional essential staff’ are to:
- Conduct team shift/splitting arrangements (depending on no. of ‘additional essential staff’ identified,
it is advised to have two/three separate teams in one/two-week rotational intervals).
- No cross-deployment will be permitted (‘additional essential staff’ from different teams are not to
physically interact with each other).
- Implement flexi-/staggered working hours (‘additional essential staff’ are advised to avoid anticipated
high vehicular and human traffics periods, and to optimize non-peak hours).
4) If ‘C-users and/or contractors are identified to be ‘essential staff’, it is the responsibility of the respective
contracting agencies, outsourced services providers, and vendors, to ensure that:
- The corporate/company entity is on the MTI list of permitted services, or,
- The ‘C-users and/or contractor staff’ have been granted MTI ‘General Exemption’, or ‘Time Exemption’,
approval.
- If not, they will not be permitted on SAP Singapore office premises.
5) Once ‘additional essential staff’ have been identified, people managers are advised to disseminate an
email approval to these ‘additional essential staff stakeholders’, verifying their ‘additional essential staff’
status (conduct this as an intra-business process).
6) For the registration, and declaration, of ‘additional essential staff’, people managers must complete the
‘Essential Staff‘ Excel sheet, located in SAP SharePoint.
7) The SAP Singapore Task Group will regularly review the ‘Essential Staff’ Excel sheet, in SAP SharePoint.
Where applicable, they may correspond with the respective people managers to seek clarifications, and
make amendments accordingly.

Take Note:
- Only ‘CB-Period essential staff’, and ‘additional essential staff’, post CB Period, will be granted physical
access to the SAP Singapore Office, from Tues, 02 Jun onwards.
- All other staff will continue to be unable to physical access the SAP Singapore Office.

SAP Singapore Office Access Control Procedure


1) Overview:
- Level 03 Access Points: Only accessible via the ‘Local Reception Services Desk-side’ access point. The
‘SAP Leonardo Center side’ access point will remain locked, and closed.
- Level 04, 05 Access Points: Only accessible, via the internal connecting stairwell on Level 03. The Level
04 and 05 access points will remain locked, and closed.
- Level 06 Access Points: Only accessible, via the Level 06 office access point.
2) Prior to coming to the SAP Singapore Office (before leaving the residence):
- Download, and activate the ‘TraceTogether’ App, for proximity contact tracing purposes (Bluetooth
must be turned on at all times).
3) Prior to entering the SAP Singapore Office (in the MBC ground lobby, lift lobby areas):
- MBC has appropriately conducted body temperature checks (at least twice daily).
- Proceed to Level 03, to first ‘check-in’ via the ‘SafeEntry’ QR Code Posters, displayed prominently on
the Level 03 office access point, for govt. contact tracing purposes (be advised to download a copy of
the ‘SafeEntry’ ‘Check-in’ Green-coloured Pass for documentation purposes).
- Complete the ‘SAP Declaration and Contact Tracing’ document, for SAP daily monitoring purposes.
This SAP document is located at the Level 03 common area, under the Smart Display dashboards.
- Anticipate potential large staff crowds registering for entry, into the SAP Singapore Office. Maintain
Safe Distancing measures (min. 01m/03feet wide physical spacing), and minimal physical
interactions/socializing with each other.
- Essential staff based on Level 06 must first proceed to Level 03, to complete this procedural process
first, prior to heading up to Level 06.
4) While on SAP Singapore Office premises (within the office):
- All SAP (D,I,C-users), and non-SAP (Business partners, clients, customers, visitors, guests) stakeholders
(even those going to Level 06) must abide with all Safe Management Measures in the Workplace.
5) Prior to exiting the SAP Singapore Office (in the MBC lift lobby areas):
- ‘Check-out’ via the ‘SafeEntry’ QR Code Posters, displayed prominently on the Level 03 office access
points, for govt. contact tracing purposes (be advised to download a copy of the ‘SafeEntry’ ‘Check-out’
Blue-coloured Pass for documentation purposes).
- Essential staff based on Level 06, may ‘check-out’ via the ‘SafeEntry’ QR Code Posters, displayed
prominently on the Level 06 office access point (be advised to download a copy of the ‘SafeEntry’
‘Check-out’ Blue-coloured Pass for documentation purposes).
6) The ‘SAP Singapore Office Access Control procedure’ must be conducted on a daily basis.
7) The ‘SAP Singapore Office Access Control procedure’ must be completed by all SAP (D,I,C-users), and non-
SAP (Business partners, clients, customers, visitors, guests) stakeholders visiting the SAP Singapore Office.
8) People managers are responsible for ensuring stakeholders’ compliance to the SAP Singapore Office
Access Control Procedure.

Take Note:
- Failure to comply with this Access Control Procedure may result in the suspension of ‘essential business
services’, the prohibition of ‘essential staff’ from entering the office, till further notice, and potential legal
labilities from relevant government authorities (fines, penalties, essential services suspensions, and office
closures).

SAP Business Partner, Client, Customer, Guest, Visitor Access Control Procedure
1) Non-SAP Entities must complete their body temperature checks by MBC.
2) Non-SAP Entities must subsequently complete the non-tenant Registration, located at the building lobby
registration desk.
3) Non-SAP Entities must abide with the SAP Singapore Office Access Control Procedure.
4) Non-SAP Entities must abide with all Safe Management Measures in the Workplace.
5) Relevant Essential staff are responsible for ensuring stakeholders’ compliance to the SAP Singapore Office
Access Control Procedure, and all Safe Management Measures in the Workplace.

SAP Contractors, Courier and Delivery Services Access Control Procedure


1) Non-SAP Entities must complete their body temperature checks by MBC.
2) Non-SAP Entities must subsequently complete the non-tenant Registration, located either at the MBC FCC,
or the building lobby registration desk.
3) Non-SAP Entities must abide with the SAP Singapore Office Access Control Procedure.
4) Non-SAP Entities must abide with all Safe Management Measures in the Workplace.
5) Relevant Essential staff are responsible for ensuring stakeholders’ compliance to the SAP Singapore Office
Access Control Procedure, and all Safe Management Measures in the Workplace.

Take Note:
- Failure to comply with these Access Control Procedures may result in the suspension of ‘essential business

‘SAP Business Partner, Client, Customer, Guest, Visitor’ Visiting SAP Singapore Office Procedure
1) Overview:
- Where possible, telecommuting arrangements should be prioritized, to conduct virtual conference
calls and meetings.
- Where applicable, essential staff may conduct onsite SAP Singapore Office visits, as required.
- This is provision on strict adherence to this ‘SAP Business Partner, Client, Customer, Guest, Visitor’
Visiting SAP Singapore Office Procedure.
2) Prior to coming to the SAP Singapore Office, request non-SAP entities to provide the following information
(an email correspondence is advised):
- The company/corporate entity is i) on the MTI list of permitted services, or ii) the entity
representative(s) has/have been granted MTI ‘General Exemption’ or ‘Time Exemption’ approval.
- The entity representative(s) has/have had no overseas travel, whether business or personal, within
the last 14 days.
- The entity representative(s) has/have had no close physical, and proximity, contact with any potential,
suspected, and/or confirmed COVID-19 cases, within the last 14 days.
- The entity representative(s) has/have had no close physical, and proximity, contact with anyone
issued with a Leave-of-Absence (LOA), Quarantine Order (QO), Stay-Home Notice (SHN), as issued by
relevant local authorities, within the last 14 days.
- The entity representative(s) has/have had no close physical, and proximity, contact with anyone with
previous, and/or current travel to identified COVID-19 affected countries, within the last 14 days.
- The entity representative(s) is/are currently feeling well/do not suspect to be unwell, and not
presenting any potential COVID-19 medical signs and symptoms (possible fever, flu-like symptoms,
etc.).
- The entity representative(s) agrees/agree to abide with all safe management measures and
guidelines, implemented and enforced in the SAP Singapore Office.
3) If all of the statements are ‘YES’, proceed with SAP Singapore Office visit arrangements.
4) If any of the statements are ‘NO’, politely decline their attendance to the SAP Singapore Office visit, and
consider alternate arrangements.
5) Prior to entering the SAP Singapore Office, ensure entities must have conducted the following:
- Download, and activate the ‘TraceTogether’ App, for proximity contact tracing purposes (Bluetooth
must be turned on at all times).
- MBC has appropriately conducted body temperature checks (at least twice daily).
- Proceed to Level 03, to first ‘check-in’ via the ‘SafeEntry’ QR Code Posters, displayed prominently on
the Level 03 office access point, for govt. contact tracing purposes (be advised to download a copy of
the ‘SafeEntry’ ‘Check-in’ Green-coloured Pass for documentation purposes).

6) While on SAP Singapore Office premises:

7) Prior to exiting the SAP Singapore Office:
- ‘Check-out’ via the ‘SafeEntry’ QR Code Posters, displayed prominently on the office access points,
for govt. contact tracing purposes (be advised to download a copy of the ‘SafeEntry’ ‘Check-out’ Blue-
coloured Pass for documentation purposes).
8) Respective account managers are responsible for ensuring stakeholders’ compliance to the ‘SAP Business
Partner, Client, Customer, Guest, Visitor’ visiting SAP Singapore Office Procedure.

SAP Essential Staff Visiting ‘SAP Business Partner, Client, Customer’ Office Procedure
1) Overview:
- Where possible, telecommuting arrangements should be prioritized, to conduct virtual conference
calls and meetings.
- Where applicable, essential staff may conduct non-SAP offsite visits, as required.
- This is provision on strict adherence to this SAP Essential Staff Visiting ‘SAP Business Partner, Client,
Customer’ Office Procedure.
2) Prior to visiting SAP Business Partner, Client, Customer Office, request non-SAP entities to provide the
following information (an email correspondence is advised):
- The company/corporate entity is i) on the MTI list of permitted services, or ii) the entity
representative(s) has/have been granted MTI ‘General Exemption’ or ‘Time Exemption’ approval.
- The entity representative(s) has/have had no overseas travel, whether business or personal, within
the last 14 days.
- The entity representative(s) has/have had no close physical, and proximity, contact with any potential,
suspected, and/or confirmed COVID-19 cases, within the last 14 days.

guidelines, for their office.
- The relevant local building management (landlord) will be conducting body temperature checks. If not,
the SAP Business Partner, Client, Customer will be conducting it instead.
3) If all of the statements are ‘YES’, proceed with SAP Business Partner, Client, Customer Office visit
arrangements.
4) If any of the statements are ‘NO’, politely decline the SAP Business Partner, Client, Customer Office visit,
and consider alternate arrangements.
5) ‘Essential staff’ will not be forced to visit ‘SAP Business Partner, Client, Customer’ office. If they are
uncomfortable to do so, consider alternate arrangements.
6) Respective account managers are responsible for ensuring stakeholders’ compliance to the SAP Essential
staff visiting ‘SAP Business Partner, Client, Customer’ Office Procedure.

Safe Management Measures in the SAP Singapore Office Workplace


1) Promptly travel from the residence to the office, and vice versa (do not make detours, run errands, and
minimize time spent outdoors).
2) Food delivery, takeaway, and home-prepared meals will only be available at this time, and must be
consumed in the designated pantry areas, and separated from one another.
3) Conduct only essential business services, while on office premises. Once completed, promptly return
home.
4) Do not conduct any activities with close, and prolonged, physical and proximity contact (events, meetings,
sessions, even during mealtimes and break times; Where applicable, exception may be made, as required).
5) Observe minimal physical interactions with others on office premises (no socializing, gatherings, even
outside the office premises).
6) Observe safe distancing guidelines, while on office premises (01m/03feet wide physical spacing).
7) Observe, and maintain, personal cleanliness and proper hygiene practices.
8) A facemask must be worn at all times, while on office (exceptions will only be made, during meals and
break times).
9) In the event that you are feeling unwell/suspect to be unwell, while on office premises, promptly notify
Bryan Chua, and leave the office premises, to seek medical attention (where applicable, ‘deep cleaning’ of
the workstation, and other relevant areas will be conducted).
10) In the event of a COVID-19 suspected/confirmed case on office premises, the office will be closed for
disinfection and sanitization activities, and all essential staff on premises during the incident will be home-
quarantined for 14-days. Once disinfection and sanitization activities have concluded, essential staff, not on
premises during the incident, maty return to the office.

Seeking Medical Attention, and COVID-19 Documentation Requirements


1) All SAP Singapore staff are reminded not to clinic-hop, and to guard against incipient outbreaks.
- SAP Staff are advised to visit only one medical clinic, if feeling/suspect to be unwell.
- Otherwise, staff must inform the medical clinic of all doctor visits over the past 14 days, for any COVID-
19 related symptoms (fever, cough, shortness of breath).
2) All SAP Singapore staff are reminded to submit any COVID-19-specific medical tests, regardless of the test
results.
- SAP staff must promptly notify their respective people managers, and Bryan Chua (Regional CMC).
- SAP staff must submit scanned copies of their COVID-19-related Medical Certificates (MCs), and
diagnosis documentations to LHRS (only for COVID-19-related symptoms, including acute respiratory
infections).
