Manuals and Procedure Roll Out
1.1 MANUAL SPECIFICATION
In order to have an operational and functional O&M Manual based on best engineering practice and
client requirements the following points should be consider and included in the Manual tender
document.
‐ Manuals should be prepared according to QCS 2010 and tender instructions
‐ Front cover, reference number, date and signature, table of contents, list of
abbreviations and acronyms.
‐ At least one electronic copy in a PDF (printable OCR) format saved as single files per
volume not exceeding 500MB each plus one original hard copy and two copies. Scans
not allowed to be submitted.
‐ Manual folders should be standard A4 Size, 4 locking clips, durable, white hard racked
PVC covered binders.
‐ The binders shall have a clear PVC pocket on the front and on the spine for top entry
insertions.
‐ Main drawings to be in A1 size as well as A3 size landscape in a folder.
‐ All volumes of Manuals to have common index cover sheet showing contents of all
volumes.
‐ Each and every section to have a separate marker sheet.
‐ Detail literature to be included for specialize equipment (i.e PLC, SCADA etc)
‐ Unique tagging on equipment. According to Ashghal standards.
‐ All as Built drawings to be approved by the consultant and contractor.
‐ All suppliers contact details to be included in the manuals (local and overseas)
‐ A draft copy should be submitted to O&M department for review and approval.
‐ As build drawings to include dimensions, invert levels, plan, elevations etc.
o All drawings to be in CAD format
o Drawings folders to have a detailed indexing
‐ The electronic copy of the component list, the approved spare parts list and assets list
should be submitted in an Excel format.
‐ Under MCC section any sub‐section for any component to be included. The first page
to include all the details, i.e. Model, Part Number, Order Code etc.
‐ Any catalogues should be specific to the components used. If general catalogues are
included the particular model should be highlighted.
‐ Spare parts list to include cross sectional drawings and all relevant details.
Following the gap analysis and the identification of required specifications a standard template for
PS manuals was developed (Appendix 2).
