Q1. What is Employee Compensation Structuring (ECS)?

Employee Compensation Structuring or ECS is an automated self service tool available on the intranet to help employees in defining their
salary structures as per approved compensation details within the policy/guidelines of the organization.

Q2. What are the benefits of using ECS?

 Provides interface to employees to submit their salary structure online.


 Assures that the breakups get defined without any manual errors.
 Facilitates the validation of chosen components as per compensation policy.
 Ensures implementation of uniform policies and processes across the organization.
 Online availability of salary details of employees for reference in future.

Q3. Where will I have to go to access the ECS Application?

Employees can access the ECS Application from their workstations through intranet. A link to access the ECS Application has been
created in ‘easyaccess’ under ‘myAirtel /MY SPACE’. After logging to ‘easyaccess’ employees will be required to select link ‘myAirtel / MY
SPACE / ECS’ to enter to ECS System.

Q4. What I have to do once I access ECS?

On accessing ECS you will be able to see the Business Rules related to the compensation structures. This will include definition of salary
components and the rules which have been defined in ECS including the limits (minimum and maximum cap) within which employee can
opt the amount under various elements. You will be required to go through these rules which will help you in defining your desired salary
structure in the ECS.

Q5. If I have a doubt or need a clarification on Business Rules whom should I contact?

Definitions and rules for all salary components have been defined in a very illustrative manner. However, in case you have any doubt or
need any clarification please get in touch with the Payroll SPOC/HR Manager at your respective unit/location.

Q6. What I have to do once I have gone through the Business Rules related to compensation structuring for all salary
components?

Once you have gone through the definitions of all salary components and have understood the rules associated with the same, please click
on the ‘Next’ tab which is available both at the top and the bottom of the page. Clicking on the ‘Next’ tab will take you to the main
compensation structuring page.

Q7. Should I immediately start defining my compensation structure once I reach to the main compensation structuring
page?

Before you start defining your compensation kindly check the following details which have been mentioned there:

Personal Details - Employee Name, Employee Number, Level, Band, Email ID, Function, Date of Joining and name of the
Payroll to which you belong.

Compensation detail -Total Cost to Company (TCC), Total Fixed Pay (TFP, Total Variable Pay (TVP) and Last Salary Revision Effective
Date.
Please have a look at the same before proceeding ahead.

Q8. What should I do if my personal/compensation details are not correct?

Please do not attempt to define your salary structure if any of your personal/compensation details are not correct. Also please highlight the
error to your Payroll SPOC / HR Manager through an e mail. Once the same is corrected (which will take 1-2 days) you can access ECS
again to define your structure.

Q9. If my details (Personal & Compensation) are correct should I start defining my structure?

If all your personal/compensation details are correct please have a look at the following:

a) Amount to be adjusted - You should keep this amount in mind while allocating the amounts against the salary components of your
choice within the policy parameters. For new joinees this will be the Total Fixed Pay (TFP) amount. For all other employees this will be
the differential of the revised Total Fixed Pay (TFP) amount and the sum total of salary components allocated in the earlier approved
structure in the system.

b) Requested Effective Date - This is the date you can request for your revised salary structure to be made effective. For all new joinees
this will be their date of joining. For others the following options are available :

i. If salary structure is being submitted first time after revision in Total Cost to Company (TCC) :

In this situation you will not be able to change the requested effective date as you will be submitting your salary structure as per the
revised Total Fixed Pay (TFP) first time.

ii. If structure based on revised Total Fixed Pay (TFP) was submitted earlier but now is being submitted again for
restructuring.

If the salary structure against the Total Fixed Pay (TFP) has been submitted & approved in the past but now you want to change the
same you can opt a different effective date for the same. However this date cannot be prior to the effective date of Total Fixed Pay
(TFP) mentioned above with compensation details. Also you will only be able to request an effective date for restructuring of your
salary components within the duration of “1 st day of the last month to 10 th day of the next month”. The following example explains
this rule:

Example 1 In Jun-07 you submitted your salary structure for approval first time as per revised TFP (effective 01-Jun-07) which is
approved by your Unit HR SPOC/Manager

And

In Aug-07 you want to change your salary structure again

Then

You can choose the requested effective date between the period 01-Jul-07 to 10-Sep-07.
Similarly in Sep-07 you will be able to choose the requested effective date between the period 01-Aug-07 to 10-Oct-2007.

c) Reason for Change - You will be required to select the suitable Reason for Structure changed from the drop down menu available.
Post this you may proceed with the salary structuring.

Q10. Are there any mandatory components which I will have to necessarily opt in my Salary Structure?

Basic Salary is a mandatory component to be opted by all employees while defining the salary structure. PF and Gratuity are other
mandatory components which will be calculated automatically from the amount opted in Basic Salary. Therefore, you are expected to
enter the Basic Salary amount while the PF and Gratuity amount will be populated by the system automatically.

Q11. What are the other components I can choose in my salary structure?

Employees will be able to view all the salary components which are applicable in his/her Band and Level. For easy understanding these
salary components have been divided in two parts:

a) FBT Flexible Elements - These components will attract Fringe Benefit Tax (FBT) on the amount opted. FBT up to the limits mentioned
in the ‘Business Rules’ page will be borne by the company. However, any amount opted beyond this cap will be accordingly adjusted in
your salary structure.
b) Non-FBT Flexible Elements - All other salary components will appear under this category.

Q12. What if I opt amounts against the salary components outside the defined rules/limits?

The system has built in validation to ensure that you don’t exceed the limits, and it will prompt you once you try to submit the structure
outside defined rules/values.

Q13. What is the next step once I allocate my salary under different components?

If you have opted for car hire/CLA you will have to confirm having completed the formalities (signed agreements) & submitted/availability of
the same with Local HR.

Q14. What options I have after I complete allocation of Salary structure?

You have the following options after completing allocation of salary under various components:

a) Submit - You can press the submit button once you are sure that you have met the entire requirement and are ready to send the same
to your Unit HR.

b) Save as Draft - If you do not want to submit the structure but want to save it and submit at a later stage you can simply press the
‘Save as Draft’ option.

Q15. What happens if I press the submit button?

On pressing the submit button system will check all the validation rules. If the amounts opted in all components are within the
rules/guidelines the, structure will be forwarded to Unit HR for approval. However, if any of the business rules are breached, system will
prompt an error message on the screen with details not met by you. You will need to correct all the errors and resubmit the compensation
structure to complete the process.

Q16. What if, I have saved my structure earlier how can I submit the same now?

When you click on the Save button instead of Submit button your modified compensation structure gets saved in draft form and status of
your submitted shows as “SAVED”. To resubmit the compensation structure which was saved earlier, you will need to click on ‘edit’ option
and after having done relevant changes you can click on Submit button to send the same to Unit HR for approval.

Q17. If I have successfully submitted my structure, how will I come to know that the same has been approved and
accepted for change?

You will get an email notification from the system, when the Unit HR will approve your structure.

Q18. What is the cutoff date by when one can submit his structure in ECS?

Normally for ECS cutoff date for employees will be 12 th of every month. Structures submitted till this date will be reviewed by
Unit HR Manager accordingly.
As an exception for Jun-07 this date has been extended till 14 -Jun-07.
Going forward employee will be able to submit their structures between 1 st to 12th of every month.

Q19. What are the steps to be done for opting for Car Hire.

Car Hire benefit is available to band B1 and above employees. To opt for this benefit, provide Car Price and Car Hire Charges
values in the employee compensation sheet. Scroll to the end of sheet, under section ‘Other Details’ provide Car Hiring
Information and Vendor Information. You can save the updated sheet as draft or submit it for approval. Please note that once you
do this, you will see a button ‘Upload Car Hire Documents’. You need to upload all the relevant documents needed to get this
benefit approved by Unit HR. Failure to upload document will lead to non approval of your compensation structure.

Q20. How do I opt out of existing Car Hire Benefit?

To opt out of Car Hire Benefit, make the car price and car hire charges as zero and submit/ Save As Draft.
