BSBADM311 – Maintain business resources
 Printers
 Computers
 Projectors

While the computers are the most accessed resource, the printers are the most used resource throughout the
college.

With hundreds of people relying on the printer’s each day for all their education and teaching needs the printers
are of high priority. Regular servicing for both printers are carried, maintenance is kept up to date, and materials
are monitored and kept in supply.

There are 2 main printers in the college one located on level 2, in the student’s common area which can be
accessed by all students and teaching staff. This printer is commonly used for:
 Printing workbooks
 Handouts for students
 Class activities

The second printer is located in the student services/reception area on level 1 and is used mainly by admin staff
and management for:

 Printing student attendance

 Documentation / information
 Printing letters and reminders

Each printer has three print trays which can hold a reem of paper in each. One reem of paper is 500 A4 sheets.
Each printer holds 2 xBlack tonner, 1x Yellow, 1x Blue and 1x majenta tonner with the majority of printing
being done in black and white.

The college ask for majority of printing to be done in black and white as the black tonners are more affordable
and easier to hold stock of then the color tonners.

Scheduled servicing on the printers takes place once each term especially when the printer are in high demand.
Regular maintenance is also kept up to date with the waste toner being replaced when required.

If one of the printers are not working then the college only has one printer available for all its printing needs.
This can increase the risk of the printers breaking down due to overuse.

On average the college orders 10 boxes of paper per week, each box contains 5 reems of paper result in a total of
50 reems of paper being used for the colleges printing needs on a weekly basis.

The college is looking at purchasing new printers which are more economical and sustainable to the environment
as well as being more user friendly for the mass amounts of printing which is done each day at the college.

Ideally the new printers would be durable, be able to print bulk documents have more storage space for paper as
the current printers can only hold 3 reems at a time which is less then a box of paper resulting in the remaining 9
boxes being stored in the staff room restricting storage space for trainers and other staff.

Task - Research
You are in charge of looking after all the ordering of supplies for Mercury College, you have been asked to
conduct research and gather information which will be presented at the next management meeting on the benefits

and present it showing the benefits (cost) and other to Mercury if they invest in purchasing the printers you have
chosen along with all relevant supplies for the printers i.e paper, tonner, services and parts.

Using the capital resource (printers) discussed in the case study you are required to conduct further research of
your own to complete the below task.

You need to monitor the usage of the equipment you have selected, this needs to include material usage for the
current printers. You can conduct primary and secondary research to help you gather your information.

printers, what would be the possible impact to staff and students at mercury college if there was a
resource shortage.

Resource Impact of a shortage to Mercury

Colour tonner  Impact would be no one would be able to print

in colour and this would limit production to
certain people.
 Incurred cost as color printing may need to be
outsourced.
- Have extra cost when need to use outside
