06. Methodology to be followed:
The methodology for the proposed consulting work will be as below-
(a) Gap Analysis: iota Consulting will carry out a gap analysis
exercise in the beginning to understand the dimension of the
factory activities, existing management system, status of legal
compliance and available resources. The output of this gap
analysis will form the baseline of the organization in terms of
its EMS performance and iota will start an improvement
exercise from this point onward.

(b) Establishing Processes: iota Consulting BD will work with the


factory team and identified the processes needed for the EMS.
These processes will then be established with distinct
input/output/resources and controls and their interactions
will be mapped.

(c) Documentation: The next process will be to document all the


identified processes and write down procedures that control
all the processes. These procedures will be reviewed by the
highest level process owners and be approved accordingly.

(d) Training: Identified staff of the client will be given detailed


training on the standard, continuing for minimum of 2 days so,
that they can understand the language of the EMS and can
carry out activities in line with the documented procedures
etc.
The aim of these training programs is to create capability in
the organization to adopt and sustain the EMS.

(e) Implementation: The individual processes would be


implemented in this phase. The employees would follow the
established procedures while performing various task in the
factory and this will result in generation of records. These
records would be retained as evidence of implementation of
EMS. There would be specified monitoring and measurement
processes which would monitor the effective implementation
of the EMS. Emergency preparedness processes would also be
in place to take care of any un-anticipated deviation.

(f) Internal Audit: Identified management staff would carry out


audits internally, in order to confirm that the system is in place
and it is working. All the deviations identified during these
audits would be taken care of with correction, root cause
identification, and CAPA.

(g) Management Review: After one cycle of the Internal Audits, a


management review would be carried out. The review would
be done by the top management and it would ensure that the
EMS is adequately in place, implementation is acceptable and
resources are provided including consideration of all the
challenges and their resolutions.

(h) Invitation to External Auditors: Columbia Washing Plant Ltd.


would select a certification body which would carry out the
stage 1 and stage 2 audits upon invitation by the client. During
and after the audits, iota Consulting will work with the client
to assist conduct of the audit and closing of the NCRs if any.
This support will continue till the system is certified.

(7) Timeline: With full support from client, the entire process would
take 4 – 5 months to complete. Please refer to the gantt chart for
details.

Note 1: 15% VAT on above prices will be paid by Columbia


Washing Plant Ltd. and challan will be provided to iota.
All payment to be made to “IOTA CONSULTING BD” by
account payee cheque.
Note 2: Travel of consultant is not included in above price. Client
will arrange travel of consultants to the site from Banani,
Dhaka. In case iota has to arrange travel, the same will
be charged to client at actual basis.
Mode of payment:
40% of the total amount would be paid in advance during sign up.
20% of the total amount would be paid after completion of
documentation.
20% of the total amount would be paid before certification audit.
20% of the total amount would be paid after closing of stage-2 NCs.
